Pre-College Members and Clubs Status Report and Recommendations FY14 BOD4 Update A Joint Presentation from the Outreach Committee and Membership Committee

Current Status of Pre College Members and Clubs Clubs The Society does not have a policy for pre-college clubs to affiliate with the Society The Society does not have a membership option and designation for pre-college women This creates a critical void in the Society’s ability to target, engage, promote, and advocate for one our most important stakeholder audience. Pre-College = K through 12 th Grade Specific focus on 6 th through 12 th Grade

Impact of Policy Void on SWE Regions and Sections The lack of a unified policy for pre-college clubs and pre-college members leaves SWE Regions and Sections without guidance or tools to answer pre-college requests The Outreach and Membership Committees have received requests for guidance from Sections and/or Regions where: High School clubs have formed organically are seeking SWE affiliation Pre-college women are seeking to individually affiliate with SWE Our current policy void creates a risk that SWE Regions or Sections will inadvertently discourage these pre-college women by denying them the opportunity to affiliate with SWE.

Recommendations After collaborative dialogue between the Outreach and Membership Committees, our joint recommendations are to take a phased approach to create a unified SWE policy for Pre-College Women: Phase 1 Adopt a policy to allow Pre-College Clubs to Affiliate with SWE Takes affect immediately Phase 2 FY15/FY16 Encourage Pre-College Clubs to Affiliate with SWE Provide program and content support Establish membership option for pre-college women

Policy for Pre-College Clubs Seeking SWE Affiliation and Branding The Society will allow pre-college clubs and organizations to affiliate and brand themselves with the Society of Women Engineers, provided all of the following conditions are satisfied and maintained: The organization is advised by at least one registered member of the Society. This member may be a K-12 Educator member of the Society. The club must maintain their operations and images in such a way that is consistent with mission and core values of the Society. Any use of the Society of Women Engineers logo, name, or brand must be used in accordance with the SWE Logo Policy and Guidelines, available here.here

Policy for Pre-College Clubs Seeking SWE Affiliation and Branding A pre-college club does not need to have the direct support, participation, or endorsement of a section or region in order to affiliate themselves with the Society as set forth above. While it is highly valuable and desirable for a pre-college club to work with a section and/or a region, it is not a requirement for affiliation.

Recommendations Phase 1 Adopt a policy to allow pre-college clubs to affiliate with SWE Basic premise is to establish the minimum necessary policy guidance to allow these clubs to exist, and continue using SWE branding No section or region support or endorsement is required for a club to exist and affiliate provide they meet minimum criteria Provide pre-college activity content via the SWE Outreach website to adult advisors of these clubs Do not discourage pre-college groups that form organically Implement immediately

Recommendations Phase 2 Encourage pre-college clubs to affiliate with SWE and provide a toolkit and content support Provide sufficient tools and guidance that sections and regions can go out and actively encourage these groups to form and affiliate with SWE if they have the capacity to do so Groups can still exist without a direct relationship to a section or region, but there will be programs, and content guidance to support both the clubs and the sections if they want to work together Create a membership option for pre-college women Encourage, support, and track pre-college activities

Recommendation for BOD Approval Approve and support the phased approach to create pre- college policies and programs Directly supports Strategic Goals #2 and #3 Immediately endorse and adopt the draft policy recommended by the Outreach and Membership committees Assist both committees in the promotion and execution of the phased approach to support pre-college women

Service Model: STEP Up Program Service Through Engineering Program Collaboration between high schools or after school institutions, SWE, and community Six teams of 2-5 girls; 16 mentors Four teams school-based, one GS, one BEWiSE 16 weeks, 10-30 hour mentor commitment Girls Scouts provided venue for group events Partnered with local children’s hospital to develop toys or tools for developmentally challenged children or their therapists.

After School Model: TEEMS Program Together Exploring Engineering, Math, and Science Collaboration between SWE and Girls Inc. Recurrent hands-on activities Ages 8-14 3 sessions, minimum Formal MOU with local affiliate $2,000 grant, funds disbursed at milestones Role model training for volunteers required
