Grow on What You Already Know! Multi-Customer Transaction In order to check out multiple customers on a single transaction, simply adjust the customer’s name on the subsequent line Payment Type Shortcuts Shortcut keys have been assigned to all “non credit card” payment types (i.e. F2 for Cash, F3 for check, etc.). Shortcut keys will apply the “total balance due” to that payment type respectively when utilized Employee Punch In/Out Every employee should have “Must Punch In” enabled in their profile. As soon as they login to Millennium, the system will recognize that they haven’t punched in for the day and prompt them to do so Employees can access the time clock by navigating to Schedules -> Employee Time Clock or simply hitting F11 on the keyboard Employees will have the ability to Punch In/Out as well as Break In/Out All time clock activity can be adjusted be navigating to that employee’s day in the Employee Schedule screen, launching the employee schedule editor (i.e. double clicking on that day), and adjusting either the “Actual” (right hand side of the screen) or “Break” (bottom right hand side of the screen) time

Practice, Practice, Practice!!! It’s very important getting your entire staff engaged into the transition from CMS/RMS to Millennium. The more staff members that are familiar with Millennium, the more data entry (i.e. Memberships, Schedules, Appointments, etc.) they can assist you with and will need to assist you with. Time is of the essence! The following is available for you to utilize in order to get your staff trained & prepare them for November 10 th. Create a Training Version of Millennium Select Utilities Menu in Millennium -> Create/Update Training This can be created on any computer that has Millennium installed Creates a replica of Millennium up until the date/time you create the training version. Any adjustments to Millennium will not be reflected in the Training Version unless you update it Icon created on Desktop Download & Install a Trial Version of Millennium Http://update.harms-software.com/downloads/trial/MillenniumMassageHeightsTrial.exe

Peripheral Installation/Configuration Credit Card Swipe We identified at the Pilot Locations that the current credit card swipes that are being utilized at the retreats need to be reprogrammed. POS applications handle the input/insert of credit card information differently than others. Technically, the current credit card swipes are not programmed to have a “carriage return” following the physical swipe of the card. Instructions will be provided in the supporting documentation of this webinar. Each credit card swipe will need to be reprogrammed on the “Black Out” day. If you do this ahead of time, they may not work properly in CMS/RMS. Receipt Printer We also identified at the Pilot locations that different retreats are using different types of receipt printers, so this is something that will need to be handled on a retreat by retreat basis. Again, POS applications handle the support of peripheral equipment differently than others. Basic instructions will be provided in the support documentation of this webinar. However, this may NOT satisfy the compatibility of the receipt printer with each retreat and may require a call into either Massage Heights/Harms Software Inc. to ensure it is functioning properly. Please Note: It’s imperative that each retreat confirms their receipt printer(s) is functioning properly before “Go Live” since it is responsible for printing the following: (1) Merchant Copy of Credit Card Receipt, (2) Customer Copy of Credit Card Receipt and (3) Itemized Receipt

Retreat Information There will be some additional information that will be required to enter into Millennium prior to going live on November 10 th. All of this information is specific to each retreat and should only take a few moments to complete. The following will need to be entered into the Business Information screen of Millennium. You can access this screen by navigating to Data -> Business Information. Items that need to be completed: Basic Retreat Information (Business Name, Address, etc.) Adjust Billing & Shipping Address (used when generating Purchase Orders) Adjusting Retreat Hours Establishing Tax Rates on Products, Services/Treatments & Memberships Insert Element PS/Merchant Information & verify that it connects properly

Gift Card Migration Gift Cards values will be “pushed down” to each retreat on November 9 th. The value of these Gift Card will be up-to-date as of October 8 th, 2009. Gift Card Sales & Redemption activity will not be reflected between October 9 th and November 9 th. All Gift Card sales & redemptions within this time period will need to be manually adjusted in Millennium. Gift Card Sales You will manually enter all gift card sales into Millennium on the “Black Out” for their original value and select “RMS Prepaid” as the payment method. For example, if Russell Hoff came in on October 15 th and purchased a $50.00 Gift Card, this transaction will need to be processed in Millennium’s Register/POS. The Gift Card Price & Value would reflect $50.00 in which this amount would be assigned to the RMS Prepaid payment method. These gift card sales must be entered into Millennium no later than 4:00 pm EST on Monday. Gift Card Redemptions Redemptions that have occurred between October 9 th and November 5 th will adjusted by Harms Software Inc. & Massage Heights Corporate on November 10 th (Go Live). However, you will be responsible for tracking any redemptions of gift cards that transpire between today and then in the event additional manual adjustments need to take place once you are live on Millennium.

Final Membership Data Transfer Let’s take a moment to revisit our initial objective in the CMS/RMS to Millennium transition period. We primarily and have continually focused on transferring EFT memberships regardless of whether or not payment/credit card information was on file. This means the following memberships have not been given our attention until now: PIF Memberships Frozen Memberships Suspended Memberships Employee & Frequent Guest Memberships Please Note: PIF memberships can be classified two different ways: (1) Month to Month or (2) Initial Term. PIF Members who are on a month to month should already be transferred over, especially if the expiration date is prior to November 9 th. Otherwise, if the expiration is after November 9 th, they will still be in their initial term. We want to focus on those whose expiration date is after November 9 th. The Member Status Report in CMS/RMS will identify your PIF, Frozen & Suspended Members The Client Membership Input screen will be utilized to add all of your PIF, Frozen & Suspended Memberships. Employee & Frequent Guest Memberships are considered “non counting” and can simply be assigned to each customer in their profile.

Prepaid & Elevation Adjustments Let’s take another moment to revisit a secondary objective in the CMS/RMS to Millennium transition period. We have continually identified those members that were entered into Millennium and adjusted the quantity of prepaid & elevations remaining by cross referencing usage on the DFR Report in CMS/RMS on a daily basis. However, we were not taking into consideration any prepaid massage or elevation usage that may have been performed at a “non originating” retreat. The following will need to be performed on the “Black Out” day to ensure that each member in Millennium has the correct number of prepaid massages & elevations: Run the Prepaid Reconciliation Report in CMS/RMS from October 10 th to November 9 th. The section of the report that refers to “Retreats that you owe” will contain the information you need to make the appropriate adjustments to each member’s profile in Millennium You will utilize the Client Membership Input screen to make these adjustments (similar process as identifying prepaid massage & elevation usage on the daily DFR) Please Note: You may also run the Prepaid Liability Report to verify the correct amount of prepaid massages & elevations remaining. This is not mandatory, but a recommendation, since the prepaid massage & elevation quantities should have been adjusted on a daily basis and be up-to-date and correct.

Member Status Once you have completed entering in the remaining memberships from CMS/RMS to Millennium, it’s very important to validate your work to ensure that your future EFT drafts appear to correct, members have the appropriate membership in file, etc. The following reports should be utilized to cross reference the work that everyone has been doing so diligently before going live. This will help identify any problems or errors made throughout the data transfer process. Click on the “Report” Icon on the main Icon Tool Bar and adjust the Report Category to “Memberships” and the following should be available: DB001 List Members by Member Type DB015 Frozen Memberships DB039 EFT Master List DB040 EFT Status DB045 Suspended Memberships

Reciprocating Scenarios The Memberships & POS webinar reviewed a variety of POS transactions including: (1) First & Second Introductory Massages, (2) Prepaid Massage & Elevation Redemption, (3) Gift Card Sales & Redemptions and (4) Membership Sales. However, all of these scenarios were considered “local” environment transactions. This section will review similar situations, but considered “global” environment transaction. We will review the following: Adding a member from another retreat View member information across all retreat including prepaid massage & elevations remaining, transaction history, gift card balances, etc. Redeeming Prepaid Sessions from other Locations Redeeming Gift Cards from other Locations Please Note: The “Global” Search Button is located when referencing the paying guest whether you are scheduling an appointment or processing a POS transaction. This icon is also located on the main Icon Toolbar for quick & easy access to member information across all retreats. Please Note: You will always want to search for the gift card number locally first (assuming it was purchased at your retreat). If it does not exist, the next step is to search for the gift card across all retreats by utilizing the “Offsite Gift Certificate” button located when selecting the “Gift Card” Payment Type.

Inventory Count & Barcode Labels Your edition of Millennium has all inventory items (retail & operational) preloaded. A physical inventory/on hand count will be conducted on the “Black Out” day to ensure that all inventory items have correct on hand values on “Go Live” and moving forward. The process to update your on hand counts in Millennium is listed below: 1.Navigate to Inventory -> Inventory Reports 2.Run the MI025 Inventory Count Sheets 3.Perform a physical inventory/on hand count 4.Navigate to Inventory -> Count Inventory 5.Select the appropriate “filter” at the top and click the button entitled, “Load All Products that Match this Criteria” 6.Enter in Actual On Hand counts & click Save Please Note: It’s important to always hit “New” on the Inventory Count screen when conducting multiple inventory counts (i.e. one manufacturer at a time) Please Note: The Inventory Count screen contains a “check box” that validates the change you have made to the count prior to saving the selection. If this check box is disabled, the on hand count for that line item will not change upon completion of the inventory count (i.e. hitting the Save button)

Member Suspensions Massage Heights Corporate has created a Form Letter in Millennium specifically designed to assist in the process of collecting credit card/payment information for members whose EFT draft has declined and are now in a state of suspension. The Form Letter Screen will utilize Millennium.Mail to send out a mass email to all members in a state of suspension. This email should be sent out on the morning of November 10 th once you have verified that your EFT draft in Millennium processed correctly. The Form Letter can be located by simply navigating to Marketing -> Form Letters. The Form Letter is entitled, “Member Suspension. Please Note: Suspended Memberships in Millennium may be a result of either (1) their EFT draft was declined or (2) the member doesn’t have any credit card/payment information on file (The retreat was unable to obtain the credit card/payment information prior to transferring the membership into Millennium) Please Note: You will need to adjust the form letter by inserting your retreat information, email address, etc. prior to utilizing it. All necessary adjustments can be identified easily since they are presented in red, bold font.
