3 Intermediate Session #2 UNCLASSIFIED 3 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil Video Email –Video Email allows site users to upload video files to the Army FRG site and send emails to their loved ones containing links to the viewable videos. –FRG Administrators do not participate in the uploading or sending of emails through the Video Email module. Users of the site upload their own videos and send their own emails from the site. FRG Administrators do not need to do anything, but may be asked questions by the site users about the functionality. –Site users can upload videos and send video emails as follows: Log on to the Army FRG site and switch to a Unit site. Click on the Video Email link under the Resources menu. The Video List page will be presented containing a list of the videos that were previously uploaded by the user. Each user only has access to the videos that he/she has uploaded.

A Description for the video must be entered along with the selection of a video file. Acceptable video file formats include mpeg, mpg, Windows media files (.wmv,.avi,.afs), and Quicktime (.mov,.ram) The Upload File button is clicked to upload the video to the Army FRG server and add the video to the Video List. –Each user is allotted 10MB to store all their videos. –The Video Email functionality is not intended for large video files.

5 Intermediate Session #2 UNCLASSIFIED 5 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil Video Email –An email containing a link to the video is by clicking on the Send link in the row of the video that is to be sent. Enter the name of recipient, the email address, and a note. Click the Send button to send the email containing the link to the video. To send to multiple people, put all their names and email addresses in the appropriate fields, separated by commas. Make sure the order of names and addresses match.

The email is addressed from the email address of the user that sent it (based on the user’s profile). The email contains the comment entered by the user and a link that is clicked on to view the video. The recipient does not need to subscribe to FRG site (no login is required). –The videos uploaded by the site users are stored on the Army FRG server until the users delete them. –Users can also edit the video properties or replace them with other videos.

7 Intermediate Session #2 UNCLASSIFIED 7 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The Postcards feature enables site users to send virtual postcards to their loved ones from within the Army FRG site. –The Postcards are created and configured by the FRG Administrators of the Unit sites. –FRG Administrators create Postcards by assigning an image, configuring the postcard’s orientation (horizontal or vertical), and other settings. –Once Postcards have been added the Unit’s FRG site, site users can select a postcard, personalize it, and send it from within the site. –Postcards are administered by FRG Administrators by clicking on the Postcards link in the Content Modules section of the Control Panel. –A new Postcard is added by clicking on the Pencil Icon to the right of a Category and selecting Add Postcard. Browse for an image file that will be used for the postcard. Image files can be.jpeg,.gif,.png, and other image files. The image file must be less than 15 MB. The Name and Description help users when selecting a postcard that they want to send to a recipient. The Text Display setting determines where the user- added text will appear in relation to the post card image. –Text on Side is good to use with vertical images while Text on Bottom is good for horizontal images. The Released Status radio button should be selected in order to make the Postcard available to site users. Click Save and Return to add the Postcard to the site. Postcards

8 Intermediate Session #2 UNCLASSIFIED 8 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –Site subscribers can send Postcards to their loved ones by clicking on the Postcards link in the Resources menu. –All of the Postcards in the Featured category will be displayed for selection. –If further Postcard categories exist, they will be displayed below the featured Postcards. The user can click on the categories to view the Postcards contained in the various categories. Postcards

Postcards –If unsatisfied, the Edit link can be used to edit the Postcard. –If satisfied, the Send link is clicked to send the Postcard.

13 Intermediate Session #2 UNCLASSIFIED 13 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The Streaming Video functionality enables you to upload videos to the Army FRG server so that they can be viewed by the subscribers to your Unit’s vFRG site. –Pages within your FRG site can be configured to display a list of videos contained in a selected category or to play a single video automatically when a page is loaded. –Videos are added to the site by entering the Control Panel and clicking on the Streaming Videos link in the Content Modules section. 14 Intermediate Session #2 UNCLASSIFIED 14 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –New videos can be added to the vFRG site by selecting a category, clicking on the Pencil icon, and selecting Add Video. –The following properties must be entered into the Add Video page: Video File to upload – Browse for the video file that will be uploaded to the Army FRG server. –The Video file must be 15 MB or smaller. –The acceptable video formats include.mpg,.mpeg,.avi.,.mov,.swv,.flv, and.mp4. Title – The title of the video that will be displayed on the site. Description – The description of the video that will be displayed on the site. –Video Items can optionally be assigned a Release Schedule. The Video will only appear on the site to users on or after the date of the Release Date and on or before the date of the Expiration Date. Either field, or both fields, can be left empty and therefore the video will not utilize a release and/or expiration date. –The Status setting should be set to Released in order for the video to be viewable by site users. –The View option can be used to control the user type that can view the video (e.g. only FRG Administrators). –The Require Login checkbox should be selected to ensure only logged in users can access the video. –The Save and Return button is used to save the video settings, upload the video to the Army FRG server, and return to the Streaming Video categories. 15 Intermediate Session #2 UNCLASSIFIED 15 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The new Streaming Video now exists in the category to which it was added (e.g. Featured). –Site users are able to access the videos by clicking on the Streaming Video link in the Resources menu. –The video can then be viewed by clicking on the title of the video. The video will automatically play when the title is clicked on. Streaming Video

16 Intermediate Session #2 UNCLASSIFIED 16 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil Streaming Video –Rather than having users access the videos through the left navigation bar, the list of videos in a selected category can be added to any of the pages within your site. –This is done by opening the page (e.g. Homepage) in Page Builder and first creating a new Outlet (Add New Outlet) that will display the list of videos. –The outlet is then configured to display the list of videos (Video List) within a selected category (e.g. Featured).

18 Intermediate Session #2 UNCLASSIFIED 18 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –Pages within your FRG site can also be configured to automatically play a selected video when the page is loaded –This is done by opening the page (e.g. Homepage) in Page Builder and first creating a new Outlet (Add New Outlet) that will display a selected video. –The outlet is then configured to display a single video (Single Video) and the video is selected (e.g. Airplane Video). –The dimensions of the video can also be altered according to the size it should be displayed on the page. 20 Intermediate Session #2 UNCLASSIFIED 20 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The Announcement content module enables you to post announcements on the Unit’s vFRG site. –Announcements are content items that are somewhere between the FAQ and News content items. FAQ content items are short answers to frequently asked questions. News content items are generally long news articles with a headline, article description, and article text. Announcements are somewhere in between and are intended to convey an announcement about a particular event or topic. –Announcements are created by entering the Control Panel and clicking on the Announcements link in the Content Modules section. –A new Announcement is added to a category by clicking on the pencil icon to the right of the category and selecting Add Announcement. –Announcements require an Announcement Title and Announcement Text. –Optional Announcement information include the announcement Source, an External Link for the announcement, and the announcement Release Schedule. –The Status setting should be set to Released in order for the announcement to be displayed to users. –The View option can be used to control the user type that can view the announcement (e.g. only FRG Administrators). –The Require Login checkbox should be selected to ensure only logged in users can view the announcement. –The Save and Return button is used to save the announcement and return to the announcement categories. 22 Intermediate Session #2 UNCLASSIFIED 22 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The Services Locator content module enables you to post information regarding businesses in the area. –Locations are created by entering the Control Panel and clicking on the Services Locator link in the Content Modules section. –A new Location is added to a category by clicking on the pencil icon to the right of the category and selecting Add Location. –Locations require: Location Name Location Description Address City or Town State or Province Zip or Postal Code –Optional Location information include the Website URL and Phone Number. –The Status setting should be set to Released in order for the announcement to be displayed to users. –The View option can be used to control the user type that can view the announcement (e.g. only FRG Administrators). –The Require Login checkbox should be selected to ensure only logged in users can view the announcement. –The Save and Return button is used to save the announcement and return to the announcement categories. 23 Intermediate Session #2 UNCLASSIFIED 23 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –Forums provide a way to set up an area for users to talk amongst themselves, post questions, and provide feedback to other users’ questions/comments. Forums serve as a great mechanism for dispersed population to communicate with one another. FRG Administrators must set up the forums and forum threads for their Unit’s vFRG site. –Forums and Forum Threads are created by clicking on the Forums link in the Content Modules section of the Control Panel. –Unlike other content modules that contain categories, the Forum module consists of Forums that contain Forum Threads. 24 Intermediate Session #2 UNCLASSIFIED 24 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –A new Forum is created by selecting the Forum Forums entry, clicking on the pencil icon to the right of the selection, and clicking on Add Top Level Forum. –A Name and Description must be entered for the Forum. –The Forum’s Released? setting should be set to Yes if it is to be viewable by site users. –The Forum’s Featured? setting is no longer used. This can be set to Yes or No. –The settings in the Discussion Options section are not applicable in the Forum content module. The administration of the forums and threads is not done in the Control Panel. Rather, the forum thread settings can be altered by clicking on the thread from the user side controls (when logged in as an FRG Administrator). This will be demonstrated on a later slide. –The Content Viewable By setting can be used to control the user type that can view the forum (e.g. only FRG Administrators). Forum

25 Intermediate Session #2 UNCLASSIFIED 25 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –The Save and Return button is clicked to add the Forum to the site. –Forum Threads are added to a Forum by selecting the forum, clicking on the Pencil icon to the right of the selected Forum, and clicking Add Thread. –The Thread Name and Thread Description must be entered. –Pinned threads will appear at the top of the list of threads within a Forum –The Add email link setting determines whether or not the FRG Administrator’s email address will appear within the Forum Thread. –The Status setting should be set to Released in order for the forum thread to be displayed to users. –The View option can be used to control the user type that can view the forum thread (e.g. only FRG Administrators). –The Require Login checkbox should be selected to ensure only logged in users can view the forum thread. –The Save and Return button is used to save the forum thread and return to the forums control area. 26 Intermediate Session #2 UNCLASSIFIED 26 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –Users can access Forums and Forum Threads by clicking on the Forums link in the Resources menu. –The threads in the Featured forum will be displayed at the top of the page. –Other forums are available below the list of Featured threads. –Users can click on any of the Forum threads in order to post comments and view comments submitted by other users. –Users can subscribe to a Daily or Weekly Email Digest by selecting the appropriate option and clicking the Subscribe button. 27 Intermediate Session #2 UNCLASSIFIED 27 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil Forum –Rather than having users access the forums through the left navigation bar, the list of threads within a selected Forum can be added to any of the pages within your site. –This is done by opening the page (e.g. Homepage) in Page Builder and first creating a new Outlet (Add New Outlet) that will display the forum threads. –The outlet is then configured to display the forum threads within a selected forum (e.g. Deployment Forum).

28 Intermediate Session #2 UNCLASSIFIED 28 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil Forum –The threads within the selected forum are listed within the outlet on the page. –Users can click on the thread to post comments to the thread and view comments posted by other users. –The Reply buttons can be used to reply to the initial Post of the forum thread or to any other posts within the thread.

29 Intermediate Session #2 UNCLASSIFIED 29 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –Management of threads is accomplished by FRG Administrators from the user side of the Forum module. –An FRG Administrator would first access the forum thread in the same manner as a normal user. –Once on the Forum Thread page, FRG Administrators can: Lock or Unlock a thread – By locking a thread, users will still be able to access the thread and view previously posted comments. But, they will not be able to add new comments (posts). Enable or Disable a thread – By disabling a thread, The existence of the thread remains visible, but its postings cannot be seen nor can postings be made to it. Moderate or Unmoderate a thread – By setting a thread to be moderated, all comments/postings must be approved before they are visible to the public. Until a comment is approved, only the FRG Site Administrators can see the comment. Once approved, the comment is available for public viewing (other Unit site subscribers). If thread is moderated, users are able to view/edit their own posts before they are approved. FRG Administrators will have access to a green checkmark for all new posts, which they can utilize to authorize the comments. Delete All Comments – Use to delete all comments within a thread. Delete individual comments – The red “X” icon next to a post can be clicked on by an FRG Administrator in order to remove the post from the thread. Forum

30 Intermediate Session #2 UNCLASSIFIED 30 of 31 Shaunya Murrill/IMCOM, G9/shaunya.murrill@us.army.mil –When viewing a forum thread, users can select various options in order to customize their view of the thread. The Show Most Recent First option can be used to show the most recent post at the top of the list of posts. The user can switch between Show Most Recent First and Show Most Recent Last. The Flat mode option can be used to show all comments without using the indentations that show which posts are responses to other posts. Flat mode shows all posts on one level, regardless of if a post was a response to another post. Users can switch between Flat mode and Indented mode. Clicking the Printer Friendly option opens a new browser in which just the posts are listed, without any of the response, search, or other options. This allows the user to print out just the text of the posts within the thread. The Select Page Size drop down box can be used to specify how many posts are displayed per page. If set to a large number, the page could take more time to load. Forum
