DISCUSSIONS In the sessions, the following topics were extensively discussed amongst the participants. The conclusions of each issue formed a list of actions for next step. Feedback from Partners on: 1)Update of their tools 2) how to increase the number of tools 3) impact of current promotion strategies 4) how to increase the number of users 5) how to enhance the involvement of (more) partners in dissemination and update of the tools. 2013 - HR Assessments and Research

Functionality Improvement ActionAdditional Remarks To add a column showing the date of submission of the tool. This information would assist in reviewing the date of tool development and serve as a communication to the tool developer on submission of an updated version, where relevant. In the searchable function, this information can be used to define the number of tools added each year. Current status: DONE To add the number of search results to tool filter results. The information can be a communication tool to show the number of tools in specific areas to donors. To add a function of sending automatic emails/reminders to tool developers/contributors regularly. This function will facilitate in communication with the tool developers and contributors whilst also serving as a reminder to update their submissions and add new tools. To add more trainings in the PSM Toolbox by finding out the focal points of relevant organizations and calendars of trainings (eg. LAPTOP). It is envisioned that inclusion of training-related information on the PSM Toolbox would attract more visitors, particularly interested in capacity building activities.

Functionality Improvement ActionAdditional Remarks To add “Our Tool” function and make it publically accessible. The “Our Tool” function will be used to group similar tools in one place for easy accessibility and navigation. To add “LMIS” to PSM Area. LMIS is a cross cutting area and it is currently missing in the PSM Toolbox. Current status: DONE To add “Human Resource for Supply Chain Management” to PSM Area. To reflect the needs of tools in the human resource area. To change sub-category “HR Assessment and Research” to Assessment and Research”. The original title lacks meaning. It should be changed so that it applies to all PSM Areas. Current status: DONE

General ActionAdditional Remarks To survey users’ feedback on usability, tool gaps, tool applications, etc. Share the questionnaires with partners for feedback. The results will provide a strategic gap analysis of existing tools and promotion of new tools.

Communication ActionAdditional Remarks To develop a comprehensive communication strategy to promote the PSM Toolbox at different levels (countries, tool developers, donor organizations, training institutions, etc.) The communication plan will serve as a way of assessing what tools are missing and needed by the users. To make introduction video and 1-page handout, including mission statement, objectives and list of contributing partners; to promote and demonstrate the functions of PSM Toolbox. The video and handout can be used as a promotional tool and a training tool in PSM trainings offered by training institutions. To find out the focal points of relevant organizations to update existing tools and add new tools. Also encourage tool contributors to add outputs of applied tools in submissions. Adding outputs of applied tools should help users understand the values of the tools. To invite French and Spanish organizations to submit their tools to PSM Toolbox. This is to increase the number of tools in French and Spanish languages. The organizations such as Bioforce, AMP, ACAME, RHSC French/Spanish Working Group, ReMed, Resolog, Esther and Solthis can be approached accordingly.

Communication ActionAdditional Remarks To offer training/promotional materials (e.g. short videos) of PSM Toolbox to training institutions and encourage them to include it in their training curricula. This would help to directly introduce the PSM Toolbox to PSM professionals and eventually increase use of the website. The data of training institutions can be found via RHSC, LAPTOP, etc. To introduce and demonstrate PSM Toolbox via relevant events such as webinars and conferences. Initiating webinars for tool developing partners; other events such as PtD Conferences, RHSC Annual Meeting and Global Health Supply Chain Summit can be considered as well. To participate in Global Health Supply Chain community such as WHO, PtD, RSHC, IAPHL, Logivac, UNFPA, etc. to raise the awareness of the PSM Toolbox in the community. To use Twitter and RSS Feed to share PSM Toolbox updates with more people.

Funding ActionAdditional Remarks To develop a proposal for funding. Content should include general operation, technical functionality, communication and promotion plan, etc. Share the outcomes of this meeting with the System Strengthening Working Group (SSWG) of Reproductive Health Supplies Coalition (RHSC) and other organizations (ex. IPC) and brief them on the PSM Toolbox. This should highlight the efforts made to improve the scope and the functionality of the PSM Toolbox. This is a potential opportunity for discussion of funding sources for the PSM Toolbox that could be explored.
