Licenses, Deals and Discounts CIO Summit 2016 Edward G. Happ Director of IT & Global CIO 3 June 2016 1

How can I get license donations?  Through Microsoft if you are from a country on UNCTAD’s LDC list (see the IFRC-MS Framework agreement) Send a request to alvaro.alvarez@ifrc.org and we will connect you with the appropriate folks  Through Microsoft O365 – for some licenses such as E1 and Power BI for non profits  Through NetHope license donations

How can I get license discounts? 1. Through Microsoft for non profits  Online via Office 365 for non profits  Through negotiated agreements with MS Select agreement for small NS (currently available for EMEA and Asia Pacific) Enterprise agreement for larger NS – This is done by the NS with its local license reseller For Navision licenses, by providing the negotiated IFRC agreement number to your local reseller agreement 2. T hrough Techsoup - http://www.techsoup.org/http://www.techsoup.org/ 3. Through NetHope donations to its members (on later slide…)

Framework agreement with Microsoft  According to the Amendment to the Microsoft Framework agreement, in countries where Office 365 for non profits is available, National Societies can submit their request onlineAmendmentMicrosoft Framework agreement  In countries where Office 365 for non profits is not available the request has to be done by IFRC Secretariat on behalf of the requesting National Society.  Office 365 for profits allows National Societies to get free E1 licenses, and to get other licenses at discounted rates.  For more details: https://products.office.com/en/nonprofit/office-365-nonprofit- plans-and-pricing https://products.office.com/en/nonprofit/office-365-nonprofit- plans-and-pricing

The process for requesting Office365  IFRC or the NS submits the trial request on the Office365 for non profit website  Tech soup then reviews and validates the request.  Normally it should now take a few days for the request to be validated  If your request does not get validated contact alvaro.alvarez@ifrc.org so that we escalate the issue alvaro.alvarez@ifrc.org  While the request is being reviewed, the admin can already start testing the platform.  25 E3 trial licenses can be used for testing. These should not be used for production as the E3 licenses will expire.  Once the approval is done, licenses are available to be added. The admin can add and assign licenses to users.  Office365 is ready to use for production.

Costs of O365 licenses  E1 (also called E2) for non profits is free as well as a few more licenses  Exchange Online Archiving for Nonprofits costs 0.94 CHF/user/month  Be careful while ordering and assigning  Many other licenses are not free although they are at a discounted price for non profits
