CMU Libraries’ Digital Assets Preservation Strategy Presenter Gabrielle V. Michalek Principal Archivist and Head, Archives/Digital Library Initiatives

Data longevity is supported through redundancy and back ups Overview Strategic decisions Primary tactics Practical imperatives Today’s talk

Digital Library CMU has been digitizing collections since 1995 Homegrown CMS / HELIOS Hybrid CMS / DIVA - 2000 Commercial CMS / ArchivalWare by PTFS - 2011

Digital Collections Over 1.8 million digital items Books, periodicals, archival materials, photographs, video, audio TIFF, PDF-A, MPEG-4, BWAV 25TB to date

Research Showcase CMU’s institutional repository since 2008 Born-digital collection Faculty publications, dissertations, theses and select student work 2TB to date Commercial CMS / Digital Commons by BePress

Other Digital Content Licensed e-journal content Federally-mandated research data sets

2010 Strategic Plan Preservation of digital content was 1 of 3 top priorities Move from DIVA to ArchivalWare was a step - 2011 Implemented primary preservation strategy in 2012 Joined LOCKSS and MetaArchive

LOCKSS / MetaArchive LOCKSS Alliance “Lots of copies keep stuff safe” LOCKSS technology is MetaArchive’s infrastructure MetaArchive Cooperative Consortium creating a digital preservation network A private LOCKSS network - dark archive Institution must be a LOCKSS member to join MetaArchive Content is stored on strategically-located servers worldwide

Content in MetaArchive ArchivalWare digitized collections Metadata TIFF PDF-A Mapping schemas for metadata crosswalks Digital Commons born-digital collection Metadata PDF-A HARDWARE / Dell PowerVault w/ 36TB raw storage or 30TB w/ Raid 6

Licensed E-Journals Set up LOCKSS Box Identify LOCKSS-compliant e-journals Content is automatically harvested, placed in dark archive HARDWARE / Dell PowerEdge w/ 8TB storage

Research Data Sets Responding to 2011 federal mandate to preserve research data CMU group is identifying/creating best practices Directing content to disciplinary repositories, cloud services and ??? Goal is to ensure persistent links to data stored elsewhere

Harvesting Content LOCKSS uses manifest pages and a plug-in to schedule crawling What Where How often BePress and PTFS are developing plug-ins to allow crawling

Plug-In Development Partnership integrates digital library standards into product design MetaArchive provides technical documentation, some tech support BePress updating their configuration, working with LOCKSS team PTFS in testing phase of harvest and restore

Practical Imperatives Keep a local copy Back up all digital masters to tape Back up BePress quarterly data dumps to tape Refresh back-up tapes as new technology emerges Store back-up tapes off site in a secure, climate-controlled environment

Summary CMU preserves 3 types of digital assets Digitized collections in ArchivalWare Born-digital collections in Digital Commons LOCKSS-compliant licensed e-journals And is taking steps to ensure mandated access to research data sets

Strategies MetaArchive dark archive LOCKSS Box dark archive Disciplinary repositories, cloud services and ??? Local back-up tapes

Conclusion Data longevity is supported through redundancy and back ups Methods change – Stay abreast of new developments Even small steps in the right direction have big impact
