CMC Background Colorado Mountain College serves nine counties in north- central Colorado. 12,000-square-mile district We have 11 locations, plus our virtual campus that serves nearly 20,000 students. We offer three residential campuses, each with its own personality, tucked into a spectacular corner of Colorado. We offer two-year academic programs guaranteed to transfer to all four-year colleges and universities in Colorado. DATATEL client since 2003

CMC Background I’m not a Datatel Programmer I’m a financial aid gal that knows how to complain and whine to the IT gal. Colorado Mountain College recently moved from a decentralized process to centralized with THANKS to our fabulous IT gal! AutoPackager allows FA to award fairly, timely and accurately. End-users have more time to counsel students and parents.

Tutorial Steps…how we made it happen. What is AutoPackager? –AutoPackager can automate the packaging process using rules to assign the appropriate awards to the appropriate students. –2011/2012 enrollment question removed from FAFSA. CMC is awarding all students based on full time enrollment, for fall and spring semesters. –CMC AutoPackages most awards to all our students. One person, down from 6, runs processing college wide
7
Tutorial Steps…how we made it happen. Student Criteria –Defined on the: Packaging Definition (PKDF) form Packaging Definition Rule Table (PRDL) –Packaging Definition (PKDF) Use the PKDF form to define criteria that applies to the student (i.e., eligibility, cost, need, gift). Multiple packaging definitions can be created to handle different types of students (undergraduate, new applicant, graduate, transfer, etc.).
8
Tutorial Steps…how we made it happen. PKDF CMC uses Global Packaging Elig Rule (PERL) Year in College Rule (PYRL) and Attendance Pattern Rule (PATR).
9
Tutorial Steps…how we made it happen. PKDF -> PERL You can define packaging eligibility rules for a packaging category or for a specific award. You can also control whether certain students are eligible for automatic packaging using rules.
10
Tutorial Steps…how we made it happen. PKDF -> PYRL You can calculate a student's year in college for purposes of automatic packaging using year-in-college rules.
11
Tutorial Steps…how we made it happen. PKDF -> PATR The Attendance Pattern Rule Table (PATR) is used to associate rules with Attendance Patterns for assignment to students. You can assign default attendance patterns to students based on rules.
12
Tutorial Steps…how we made it happen. PKDF -> PATR -> RLDE RLDE determines what attendance pattern is assigned to the student. A rule in Colleague is a statement that can be evaluated to either True (Pass) or False (Fail). Rules are not year specific and can be used from one year to the next.
13
Tutorial Steps…how we made it happen. PDRL: Packaging Definition Rule You can assign packaging definitions to students. The rule defined here tells the Automatic Packager which packaging definition to use to build the student's award package.
14
Tutorial Steps…how we made it happen. PDRL -> RLDE RLDE shows the definition that the rule uses to determine the packaging definition.
15
Tutorial Steps…how we made it happen. APCD -> Packaging Category Detail To setup Awards for automatic packaging, first define Packaging Categories.
16
Tutorial Steps…how we made it happen. APCD -> Packaging Category Detail
17
Tutorial Steps…how we made it happen. APCD -> PCRL You can determine whether campus- based or institutional need and cost figures are used for a packaging category as a whole or for a particular award within a packaging category using calculation result rules.
18
Tutorial Steps…how we made it happen. APCD -> PERL You can define packaging eligibility rules for a packaging category or for a specific award. You can also control whether certain students are eligible for automatic packaging using rules
19
Tutorial Steps…how we made it happen. APCD -> PERL -> RLDE The actual rule is defined on RLDE. In this case, the student must be considered undergraduate to be eligible for Pell.
20
Tutorial Steps…how we made it happen. APCD -> PARL You can determine the amounts that are packaged for a packaging category as a whole or for a particular award within a packaging category using packaging amount rules.
21
Tutorial Steps…how we made it happen. APAC -> Award Packaging. Datatel delivers several subroutines you can use in the setup of your awards on APCD and/or APAC: S.FA.PKG.AMT. PELL: Use in Amount Restrictions rule table. This subroutine uses the Pell tables to derive the Pell award amount during automatic packaging.

And That’s How We Made It Happen. Remember to consider to following set up forms -> Needs Analysis/Budgets/Cost of Attendance set ups—SBCC, SBCD, SBRD Award Period Definition—AWPD Award Distribution Code Maintenance—ADCM Attendance Pattern Definition--ATPC
