2 Session Objectives Be able to operate a mobile device to administer a questionnaire and / or collect data Be able to ensure data quality checks during collection of the data and after collecting data Use mobile device to collect different types of data including text, date, choices, GPS data/ GIS Data etc Upload / Send collected data to a data aggregation server Train field enumerators / officers on use of ODK for data collection (Training of Trainers)

3 ODK – Open Data Kit Using ODK (Open Data Kit) for data collection Open Data Kit (ODK) is a free and open-source set of tools which help organizations create mobile data collection solutions. Developed by University of Washington Department of Computer Science & Engineering in 2009. On mobile devices it is an App and runs on Android devices from Ver. 2.3 Smart Phones, Tablets, Net books

5 Using Mobile Devices Switching on device and the home screen Software (Apps) available in device show as icons Tap icon to open an App Swiping right or left brings different pages Top of device has various settings. Swipe down to display menu. Bottom has home, back, settings buttons

6 Toggle Settings and Power Management Swipe down from top right edge of the tablet screen to see the notification menu Settings highlighted in green are ON and in white are OFF Tap setting to toggle On or OFF Turn OFF unused settings to conserve power WiFi, Bluetooth GPS should be on while registering householder then OFF

7 Data / Internet Connection Data connection should be ON when getting blank form or sending forms DO NOT need data connection while filling a form Switch to 3G if problem connecting internet using 2G Swipe down from the top right corner to show notification menu Touch the Settings icon In the Settings, touch the 'More…' option Touch the 'Mobile networks' option select 'Network Mode‘ option Change network mode to '2G/3G (auto)'

8 Installing ODK On Tablets Connect to the internet Tap on Play Store to open Apps installer page Search for ODK Collect Choose install to install the App in the device Installation should add ODK Collect icon in the list of Apps

9 ODK Collect And Server Settings Press Home button in device Open ODK Collect from added icon on installing Press settings shortcut button General Settings Configure platform settings URL: http://data.ilri.org/collect/acggonfarm Username: acggonfarm Password: chicken Exit the settings page back to ODK Collect main screen

10 COLLECTING AND SENDING DATA Main ODK Collect screen Get Blank Form – Download questionnaire to tablet Fill Blank Form – Main activity of enumerators Edit Saved Form – Review of the questionnaire Send Finalized Form – Upload the collected data Delete Saved Form – Delete any form from device / tablet

15 COLLECTING AND SENDING DATA Note and Text Note is a string which is not editable. Used for instructions and titles. Text is a string widget which is editable. Can accept different types of entries. Not used for calculations. Data Types and Widgets

16 COLLECTING AND SENDING DATA Integer and Decimal Widgets that accepts numerics. Shows a numeric pad Integer does not have decimal points Decimal has decimal points. Data Types and Widgets

22 COLLECTING AND SENDING DATA Image Used to take pictures which is linked with the data Uses the device camera to take the picture Bird tags picture while doing registration for counter checking Data Types and Widgets

23 COLLECTING AND SENDING DATA Filtering Used to reduce selection and force specific selection of items E.g. When you select a specific Country (Nigeria) only the Sub National Areas in Nigeria will appear. Then when you select Sub National Areas only the villages in that Sub National Area will appear Design and Question Types

24 COLLECTING AND SENDING DATA Skip management questions Used to jump off some questions which are not applicable E.g. Have any birds exited the last four weeks? If Yes how many birds exited and you are expected to enter the tag numbers of exited birds. Design, Question Types, Pages and Loops

25 COLLECTING AND SENDING DATA Grouping, pages and organization Pages used to group related items together for better understanding of the data being collected and its relationship E.g. Data about one chick while exiting appears in the same page Some questions are organized differently from the way they appear in the data sheet for better usability in tablets but it is intuitive Design, Question Types, Pages and Loops

26 COLLECTING AND SENDING DATA Required questions Questions that you cannot skip. They are automatically enforced to be entered If you try to move to the next page without answering a message is displayed saying the question is required Design, Question Types, Pages and Loops

27 COLLECTING AND SENDING DATA Loops – Specified loops and open loops Loops are used to enter the same repeated data more than once E.g. When registering birds with thirty birds the same questions repeated thirty times Loops controlled by asking a control question first e.g. How many birds are being tagged? Uncontrolled loop where the number of times is not pre- known. Asks to add a group Design, Question Types, Pages and Loops

28 COLLECTING AND SENDING DATA Other Specify Used when in the options there is an option of other Text box next to the question for specifying The question is not enforced but advised to enter it when the option is other Design, Question Types, Pages and Loops

29 COLLECTING AND SENDING DATA Calculation and Metadata Calculation is used to do a calculation based on previous entries – e.g. Calculating the number of loops when there are birds that have exited – Total number of individuals in the household and individual entries Metadata used to collect and store background information e.g. device information, date, start time and end time Design, Question Types, Pages and Loops

30 COLLECTING AND SENDING DATA When a number that creates groups changes the count of loops changes Swipe backwards to change the number which affects the groups E.g. Number of samples while doing Body Weight Changing Grouping Number And Editing

31 COLLECTING AND SENDING DATA Finalising form Finalising means setting the questionnaire as finished Option at the end of the questionnaire Used for setting the questionnaire as ready for sending to cloud server Do not finalise immediately as it allows to do any editing required Finalising, Editing and Sending Finalised

32 COLLECTING AND SENDING DATA Editing Collected forms not yet sent appear in the editing button Can choose the questionnaire and edit it to make changes Should be done when reviewing your entries on any issues Can choose the question to move to while editing Finalising, Editing and Sending Finalised

33 COLLECTING AND SENDING DATA Delete Saved Form Allows deleting any form within the tablet Can delete saved forms or blank forms Do not use this button you will loose any data on blank forms Finalising, Editing and Sending Finalised

34 COLLECTING AND SENDING DATA Send finalized form Used to upload a form to the cloud after it has been finished, edited and finalized Please Note : After sending you cannot edit the form and resend To send a finalized form you must have internet connection via WiFi or a data plan Select the forms to send and press “Send Selected” Finalizing, Editing and Sending Finalised

35 Longitudinal And Related Data Data collected at one point related to the other Test Data: – Country-Nigeria – Sub National Area-Kwara State – District-Kwara North – LGA Name-Moro – Village Name-Bode Sadu – Data Collector-Nigeria Enumerator 1 – Householder Name – Household Code-Allocated Number – Strain

36 Longitudinal And Related Data Recruited farmers are the only ones visible in the list and within their villages You can allocate sex to tags that have been entered for the household To update the longitudinal data get blank form before visiting the farmer Test bird entry and exit, using the same choices used earlier

37 Longitudinal And Related Data Forms where the enumerator will need to GET BLANK FORM before EVERY visit to the household are all those which record individual Bird Tag IDs: – Bird Sexing of Tagged birds (Day 1 – 2 – Nigeria or Week 4 – Tanzania only) – Bird Entries & Exits (From week 4 every 4 weeks to week 72) – Bird Health & Feeding (From week 4 every 4 weeks to week 72) – Bird Inventory (First visit – week 0 and then every 4 weeks to week 72) (to confirm – if linking the inventory across months) ALL OTHER FORMS ONLY NEED TO BE DOWNLOADED (GET BLANK FORM) AT THE START OF THE MONITORING AND IF / WHEN THE TABLET OR ODK HAS A PROBLEM

38 Issues To Note / Resolve Make sure internet connection when performing internet based activity e.g. Get Blank Form, Sending forms etc. List of all the enumerators in Nigeria with their allocated Villages (Village Code) List of all recruited farmers with Village Code and allocated strain Forms will change when data sheets finalized & after solving some issues e.g. List of Farmers Delete current forms in device and Get blank forms

39 Creating Calendar – Opening Calendar App Press the Home button on the device Open the calendar App

40 Creating Calendar – Event Page Press the plus icon ( + ) at top right Enter details for calendar event

41 Example Calendar Entry Visit Farmer 1 in Bode Sadu Every Four Weeks Starting from 1 st June 2016 for the next 72 weeks Should be reminded two days before the due date Set up the calendar entry Creating Calendar – Entries For Event

42 Set up the calendar repetition Press Done, then Done again to create the calendar entry Creating Calendar – Entries For Event
