2 OSP Goals To alleviate administrative burden, the University chose to adopt certification of effort on bi-annual basis.

3 3 Effects of the Change Due to the change, the percentage of effort certified will be a weighted average of cost distribution allocation over the six month period. Two examples will be illustrated – Simple –Complicated

6 6 SAP Certification Effort Certification occurs electronically in SAP every March and September. When employees records are ready for certification you will receive an email and reminders prompting you to take action within SAP. To certify for your employees, logon on the SAP Portal. https://ibis.sap.txstate.edu:50001/irj/portal

7 7 Step 1 Once you logon, you will see the SAP welcome page. Click on the “Worklist” tab.

8 8 What to expect from the worklist You will see a list of employees for effort certification.

9 Step 2 Click on one of the employees to certify

10 Approval Window A pop-up window will appear for the approval process Note: the “check” item is the only line you will be certifying.

11 11 Worklist Action Items Certify Reject Exit without action

12 12 Certify To certify the effort click on the “Certify” button and the certification of the employee is complete on the grant.

13 13 Rejection of Effort If an effort is rejected rather than certified, the PI’s and support staff will receive an email notification of the rejection. Once the rejection, occurs action needs to be taken to correct the effort; in many cases this may mean a PCR needs to be initiated to correct the employee’s HR cost distribution record.

14 14 Exit without action This will allow the record to stay in the worklist until the approver is ready to fully commit or reject the certification.
