AIAA Topic: Conference Attendance U. S. Government attendance Restrictions are still in place for government travel No word on what will happen in FY14 Overall attendance is down for all AIAA conferences Conference attendance was down ~ 20% to 30% for all conferences held in FY13 (very few exceptions) Vended events were canceled or are not being held by AIAA – MDA canceled by the Missile Defense Agency – FAA chose not to use AIAA as event organizer because of government restrictions on conference organization See Slide 4 Negative impact to AIAA finances Below budget by $ 2.2 million See Slide 5 3

AIAA Topic: Conference Attendance 5 NOTE: AIAA always starts the year out at zero and attempts to create a budget that gets us to zero at the end of the FY. The vast majority of our events occur in the summer, and that is where we make up much of the negative difference. Any money that is above the line goes into the portfolio. Any shortfall is made up by dollars that are in the portfolio. The FY12 shortfall that started in July was due to the beginning of the government travel restrictions. The Board authorized passage of an unbalanced budget with the intent that cuts would be made during FY13 to make up for the shortfall.

TAC Topic: Forum Technical Chair and Associate Chair 16 The “AS Associate Chair” is a title that I have made up and is not listed in the AIAA NEM Forum organization. The goal is to have a back-up to the ASG Technical Chair. This back-up role would allow the next TC member to learn the organization and bureaucracy associated with planning the SciTech/AVIATION Forums. The AS Associate Chair would have a year to learn the process prior to taking a lead role (e.g. attend Forum planning meetings and participate in planning teleconferences). I would anticipate that the process internal to ASG would be that a TC member who has organized their TCs call-for-papers, sessions, etc. would move up into the AS Associate Chair role and then to the ASG Forum Technical Chair position. By combining smaller conferences into Forums, there will be fewer opportunities to learn conference planning. Also in a worst case scenario, the AS Associate Chair would move into the ASG Forum Technical Chair position if the current Chair cannot complete this task for whatever reason.

TAC Topic: What is the Integration Tier anyway? Format Not envisioned as traditional technical paper sessions but as sessions to allow dialogue and provide information that participants can apply at work Includes various format types including but not limited to: –Panel discussions focused on lessons learned, best practices, and case studies –Tutorials, seminars, workshops –Joint sessions typical at current conferences when multiple committees have an interest in the same topic 22

TAC Topic: How to build a strong Integration Layer Must be a combination of member and staff efforts Technical Group Directors have the big picture about their areas and can help identify topics Program committees have insight into relevant topics in their area Corporate members have insight into industry issues Emerging Technology Committee can help identify new trends in technology Staff has insight into industry wide trends and movements Students/Professors have insight into academic/education topics 23

Guiding principles for AIAA forums Ensure our Institute is relevant to aerospace professionals Ensure our conferences integrate a spectrum of topics of interest to the profession (technical disciplines, systems, policy, operations, etc.) and other areas of the Institute Ensure our overall events provide meaningful professional development and interaction opportunities to the broad aerospace community (conference papers/presentations, networking, education, exhibits, etc.) Ensure our events are financially viable (both for the attendee and for the Institute) Ensure that our conferences are “must attend” events for all those in our profession and can accommodate expansion into new technology and program areas 38

What do we want to accomplish with the Integration Tier? Expand the products that AIAA offers at its events to a broader swath of aerospace professionals than the R&D community, to whom it has most appealed historically Entice design engineers, analysts, systems engineers, etc., to join AIAA, or to become active if already a member, by offering compelling and topical subject matter, speakers and presenters Bridge gap between plenary and technical sessions and offer relevant and instructive topics and materials to the great number of aerospace professionals who may not think of, or see, AIAA as offering much to them in terms of professional career development, training, or networking 39
