3 3 Introduction In the consortia environment it is possible that lenders of various institutions can loan items from other institutions at the ‘other’ institution. We are not referring here to resource sharing (ILL) or transferring an item from one institution to another for the purposes of lending. We are referring to a situation where a patron from institution A physically goes to a library of institution B and loans an item.

4 4 Introduction In the situation of the consortia each member institution is ‘connected’ to the network institution. Additionally, there is also connection, to a certain extent, between the institutions. This is reflected by the solid and dotted lines in the next slide. We will focus here on the fulfillment connection between institutions.

11 11 For the purposes of this presentation the ‘Host’ institution is: the institution where the patron is not registered but wants to loan an item In this case the ‘University of Knowledge’ institution is hosting a patron from the ‘Open University’ institution The ‘Host’ institution

12 12 In the ‘University of Knowledge’ institution in the user management configuration menu we will look at the ‘Collaborative Networks > Linked Account Rules’ This defines how the User from another institution will be ‘created’ (or ‘copied to’) at the ‘host’ institution The ‘Host’ institution

13 13 In the next slide we will see that at institution ‘University of Knowledge’ there is a rule which states: ‘If the source institution is Open University then make the patron user group be ‘External Patron’ and have the patron card expire Dec. 31, 2014. The ‘Host’ institution

15 15 Considering that we stated that the patron who will be created in the ‘University of Knowledge’ will have user group ‘External patron’ … it is important that we have a rule for this patron group. This is a way to control the fulfillment behavior of patron at the host university who comes from a particular other institution. The ‘Host’ institution

16 16 Additionally the institution ‘University of Knowledge’ will be able to track usage of walk in patrons via the user group ‘External patron’ (or whatever group the institution determines will be assigned to these walk-in patrons) In this way the library will be able to get statistics and reports on how many of this type of user are registered, how many loans, overdue items, requests, etc. each one has. The ‘Host’ institution

17 17 For example here we have stated that if the User Group = External Patron then use TOU ‘4 day loan’ The ‘Host’ institution

19 19 Creating the patron and making the loan When performing the loan at the host institution it is possible to search for patrons from other institutions in the same network

20 20 After clicking “Find in other institution” the staff user can choose a specific institution and enter the ID and click “find User” Creating the patron and making the loan

21 21 The user will then open up and include details form the source institution as well as details from the ‘linked account’ rule Creating the patron and making the loan Name and email are from source institution User group and expiration date are from the linked account rule

22 22 We will click ‘Update User’ Creating the patron and making the loan

23 23 And now the user has been created in ‘University of Knowledge’ institution and can loan an item Creating the patron and making the loan Here is Samantha Stephens. She was copied from ‘Open University’ She has loaned an item in the ‘University of Knowledge’

24 24 The patron has been created in the University of Knowledge but is linked to the record in the Open University Creating the patron and making the loan

25 25 Now the patron is in the University of Knowledge and for future loans does not have to copied and linked from the Open University Creating the patron and making the loan
