6
+ COMMUNICATIONS: ALL Volunteers OR GROUPS Ability to select for EACH e-mail
7
+ E-mail options example
8
+ COMMUNICATIONS: Creating E-mail based on Contact Categories
9
+ Contact Categories: example e-mail Example: “What type of Volunteer are you?” College, Youth, Adult Question asked on application & stored in Profile Can send to only those selected based on answers
10
+ Contact Categories continued Can send e-mail based on SCHEDULED date: Select date/time, “on the schedule” or “not on the schedule” Option selected will receive e-mail Helpful when looking at upcoming shifts that require more volunteers
11
+ Contact Categories continued Can send e-mails based on # of hours a volunteer has logged EExample: Enter the beginning of the month & the end of the month with some significant amount of hours AAbility to send thank you e-mails to those who logged many hours AAlso provides ability to see who has not volunteered within time frame, and send them e- mail as well HHelps maintain personable relationships with volunteers !!
12
+ ASSIGNING VOLUNTEERS THREE ways to assign a volunteer: 1. MANUEL : Manage any OFFLINE volunteer (No access to computer// not comfortable with internet) 2. RULES: Predetermined rules (created by administrator) in the software that automatically assigns a volunteer as soon as they sign up 3. ADMINISTRATOR ASSIGNS THOSE WHO HAVE SIGNED UP
13
+ MANUEL ASSIGNMENT Better Impact is set up so that an event may either be LOCKED or UNLOCKED when volunteers have signed up Locked: Max # of volunteers needed for event Unlocked: Still need more volunteers The system is also designed to let you know if a volunteer is participating in another area at that time Example: If a volunteer has indicated they are only able to come on Sunday mornings, you can pull up all availability for Sunday mornings and assign where needed Prevents DOUBLE BOOKING
14
+ ASSIGN VOLUNTEERS BY RULES Pre-qualify volunteers based on interview/application answers & administrator’s set of criteria Make qualifications for specific volunteer positions EXAMPLES: Lock position once qualified volunteer has signed up for time needed Position is only visible to those who are qualified or accepted (approved by administrator example: passed a background check) Can determine if you want activity to have a sign-up cut off date Determine if you want to allow volunteers to remove themselves after confirming up to a certain amount of time

17
+ COLOR CODING SHIFT AVAILABILITY Administrators can see visual representation from color coded availability markers
18
+ Group Scheduling One group profile can represent multiple individuals Administrators can keep track of those who in the group by enabling group scheduling features Software recognizes that the profile represents a group of individuals Helpful for Little Sisters of the Poor because the software allows the administrator to keep track of families and/or youth under 16 who volunteer with their parent or in other groups
19
+ From Volunteers Perspective Improves NO SHOW rating because Volunteers have access to their schedule at all times Can remove themselves from a shift if unavailable E-mail sent to Administrator indicating cancelation Website is updated to show new availability SOCIAL MEDIA: o Volunteers can show pride in their work by posting their hours log onto their Facebook profile o Can link to Twitter and see tweets each time they log on the homepage MOBILE: o Ability to check schedule from their smart phone o Can pick up additional shifts (Administrator can also access Better Impact from smart phone)
