E-Mail Terms O Account – provides the rights to a storage area or mailbox. O Address – the person to whom a message is sent. O Attachment – any file that travels with a message. O Netiquette – Customs or guidelines for maintaining civilized communication. O Spam – Unwelcome e-mail and advertisements.

Advantages of E-Mail O Information can be distributed faster to many people O People can respond faster O Saves time and money O Time zones—no problem O Eliminates telephone tag O Can read at one’s own convenience O Messages composed and delivered any time regardless of holidays or weekends

Guidelines for Good E-Mail O Do not type everything in all capital letters (or all lowercase). O Be concise so your messages will be read and not just deleted. O Use short paragraphs for easier reading on a monitor O Leave a blank line between paragraphs for easier reading on a monitor

Guidelines Continued O Proofread and spell-check your e-mail before sending. O Use correct grammar, spelling, punctuation, and capitalization. O Provide a meaningful subject line that introduces your message. O Remember common courtesies like “Please” and “Thank you”. O Do not send messages out of anger because you can’t retract the message once it is sent.

Contacts/Address Book O If you are going to be using an e-mail address more than once, you will probably want to include it in your contacts (address book). O You can include additional information (i.e. address, telephone number, birthday) in your address book.

Distribution Lists O A distribution list is a collection of contacts. It provides an easy way to send messages to a group of people. O You can easily add and delete names in a distribution list, send it to others, and print it.

Cc (Carbon Copy) O Cc is an abbreviation for carbon copy. If you add a recipient’s name to this box in a message, a copy of the message is sent to that recipient, and the recipient’s name is visible to other recipients of the message. O You would use this when you are sending a message to someone that another person just needs to be aware of and read, but it is not to that person.

Bcc (Blind Carbon Copy) O Bcc is an abbreviation for blind carbon copy. If you add a recipient’s name to this box in a message, a copy of the message is sent to that recipient, and the recipient’s name is not visible to other recipients of the message.

Signature Block O A signature block is something that you set up and it will appear at the bottom of every message you send.
