4 AIAA-Related Issues (cont’d) AIAA Cost Reductions: Institute needs to reduce cost by $1M Aerospace America –Going on line –International members »On line version will be available starting in September »December will be the last automatic hardcopy delivery (Hardcopy delivery charge after that) –US Members: timeline TBD TAC annual net and AIAA budget –TAC positive net pays for other institute activities (e.g. Student Programs, Public Policy) –Looking at TAC products and how to improve margin for AIAA »Food is largest cost for TAC events (61%) and conferences (50%) and A/V is second (14%) »Staff is looking at expenses to see where expenses can be reduced –Reducing printed material and starting to use recycled material (Attendees will be able to print customized programs through new system)

5 TAC-Related Issues: Workshops Two types Part of conference program (included in conference planning and expenses) Before or after conference (can be included in conference planning and expenses but have not been in many cases) Issue: Financial risk to Institute Please include in conference planning form so workshop expenses can be accounted for ahead of time and meeting space is covered Workshops strongly supported by TAC!!

6 TAC-Related Issues: NIS AIAA co-sponsored conferences This is a wide-open problem with multiple conferences asking for AIAA support, yet no AIAA member involvement TAC/AIAA needs a process to decide what conferences we will co-sponsor or not co-sponsor NIS action item Hotel Room Rates Corporate rate cheaper at conference hotel Important to make room block at conference hotel DOE Working Group formed and put under the Ground Test TC

7 TAC-Related Issues: NIS (cont’d) Results from TAC New Initiatives Subcommittee: TC membership application form: –Updated for 2011 to provide additional information for TC Chair –Comments?? Other issues for TAC or NIS?

8 TAC-Related Issues: Conferences AIAA/TAC picked up the SAE International Conference on Environmental Sciences (ICES) Dropped by SAE because not in their “core” area Net positive conference for SAE so hopefully a good deal for AIAA Summer conference with some overlap with ASM Hosted by AIAA this summer TAC looking at how to bring SAE Working Groups into AIAA TC structure

9 ASG-Related Issues: ASM, NHF & Aerospace Expo Site Selection ASM, NHF & Aerospace Expo sites selected through 2018 Early selection for 2016+ necessary to maintain preferred time slot in early January as Hotel space is starting to fill ASM, NHF & Aerospace Expo has grown and will continue to grow, reducing the number of hotels that can host the meeting Hotels are willing to negotiate during these difficult economic times

12 ASG-Related Issues: TC Funds ASG is still leaving more than 50% of our funds on the table each year ($9,100/Year Total for ASG) VP TAC is very receptive to Student Paper Award Proposals Need good, creative ideas (with technical content) from TCs so we can utilize the funds for what they were intended!!! Recent approved items TC Polo shirts (TAC paid ½) Student recognition (e.g. Student Paper Award Fee) Still Time for FY10: Fiscal Year ends 30 September

13 ASG-Related Issues: Conference Improvement ASM Revamped starting in 2009 by adding New Horizons Forum & Expo (Revolutionary) Continuously looking for improvements through comments & suggestions Ways to improve other ASG conferences? High-level speakers Modified conference format Workshops & Special sessions 13

14 TC-Related Issues: Chair-Elects Selection: Make sure to get Chair-Elects selected immediately after you take over as Chair in May Timeline: Take office 1 May Select Chair-Elect by December of that year Chair-Elect training: Get Chair-Elect trained the following January at ASM. Chair-Elect can act as your deputy for 1 ½ years while you serve as Chair! Some TCs have the Chair-Elect serve as Secretary, which is an excellent idea!! Remember that TC Chair position is for 2 years!!

15 TC-Related Issues: TC Member Responsibilities Maintain current AIAA Membership (must be an AIAA member) Recruit new TC members Submit names for AIAA awards Submit names for AIAA elected offices Propose membership upgrades Propose session papers for AIAA journals 15

16 TC-Related Issues: Several (cont’d) Conference Site Selection Need to set up conference location 3-4 years into future Preferred date flexibility & more competitive hotel contract Technical Committee size 35 US Members Associated members 34 years old or younger International members Must get approval of ASG Director or Dep. Director to extend TC member beyond 3 year term Cost to AIAA when TC membership goes above ~50 –Dinner cost –Audio Visual (AV) and speaker system Other: TC Metrics 16
