4 Agenda Introduction Setup Example The table in action
5
5 Introduction This presentation will describe how a library may determine which fields and subfields will be copied from the bibliographic record to the 852 h and other subfields in the holding record. The functionality described here is available from the August 2014 release onwards.
6
6 Agenda Introduction Setup Example The table in action
7
7 Setup A new table exists in the Resource Management Configuration menu called “Call Number Mapping” It is located in the “General” section
8
8 Setup The purpose of this table is to define which bibliographic fields and related subfields should be copied to the holding record 852 field, and to which subfields in the 852 holding record field. It works according to the 1st indicator of the 852 field in the holding record
9
9 Setup The way the 1st indicator of the 852 field in the holding record is created has not changed The 1st indicator of the 852 field in the holding record is still created by one of the following three methods: Default holding record template Call number type as defined in the location Call number type as defined in the global parameter “customer_parameters” table A full in depth discussion about how the 852 holding record 1 st indicator is created is beyond the scope of this presentation
10
10 Setup
11
11 Setup Here is the full default call number mapping table
12
12 Setup Here are the “central” columns (more visible in PowerPoint) of the call number mapping table
13
13 Setup New lines may be added to the “call number mapping” table via the “Quick Add” section at the bottom of the table
14
14 Setup The following is a description of the columns in the “call number mapping table” (part 1 of 2) Enabled = A yellow checkmark means active, a grey checkmark means not active, clicking it toggles it. Making the line not active is like deleting it, but it can be easily reactivated. Up and down arrows = determine the order of the lines. The table is read top to bottom. It stops as soon as a match is found. Bib Field To Copy = The bibliographic field which contains the data which will be copied to the 852 holding record field. Bib Subfields To Copy = The subfields of the “Bib Field To Copy ” which will be copied to the 852 holding record field
15
15 Setup The following is a description of the columns in the “call number mapping table” (part 2 of 2) 852 1st Ind = The line will be effective only when the 852 1 st indicator equals whatever is in this column 852 Subfield 2 = Only relevant when the “852 1st Ind” is 7. The line will be effective only when the 852 1 st indicator equals 7 and the 852 Subfield 2 equals whatever is in this column 852 Subfield Destination= The subfields of the 852 field to which the “Bib Subfields To Copy” will be copied Description = Free text description of the call number type Delete = Deletes the line
16
16 Setup Regarding the “Bib Field to copy”: Use ?? For wildcards. For example 963?? includes 963 93623 963 7 Use null to denote that no bibliographic field should be copied
17
17 Setup The default version of the table may be restored at any time by clicking “Restore” on the top right
18
18 Agenda Introduction Setup Example The table in action
19
19 Example We will focus now on this setup and discuss and use it
20
20 Example If the 852 holding record field has first indicator 1 then If the bibliographic record has A 963 field then the 963 subfields k, h, i and m will be copied to holding record 852 subfields k, h, i and m. No 963 field but does have a 098 then the 098 subfields a, b, c and d will be copied to holding record 852 subfields h, i, k and m. No 963 field and no 098 but does have a 092 then the 092 subfields a and b will be copied to holding record 852 subfields h and I No 963 field and no 098 and no 092 but does have a 082 then the 082 subfields a and b will be copied to holding record 852 subfields h and i
21
21 Example In other words … If the bibliographic record has any of the following fields: 963, 098, 092 and 082 Then the first one matched in the table (read top to bottom) will be applied. Thus if the bibliographic record has a 098 and a 092 but does not have a 963 then the rule for the 098 will be applied because it appears before the line with the 092. It does not matter if the record has a 082 because it appears after the line with the 098.
22
22 Agenda Introduction Setup Example The table in action
23
23 The table in action Here is our bibliographic record It has a 082, 092 and 098
24
24 The table in action We create a holding record
25
25 The table in action Because the first indicator is 1 the 098 subfield a is copied to the 852 subfield h
26
26 The table in action Here is an analysis of what happened 963 is the first line for 852 1 st indicator 1, but 963 did not exist in the record 098 is the second line for 852 1 st indicator 1, and the first line which had a match. This it was used. The record also had a 092 but a match was already found in a previous line of the table (read top to bottom)
27
27 The table in action The bibliographic record fields are copied to the holding record when the holding record is saved or when the ‘update from bibliographic’ function is applied
28
28 The table in action The call number mapping table also works for records imported in an import profile, for example this record: It has a 082, 092 and 098
29
29 The table in action The record was imported via an import profile
30
30 The table in action The record was updated via an import profile Of the 082, 092 and 098 the 098 was copied to the holding record
31
31 The table in action This is because the holding record has a 1 st indicator 1. Of all the lines dealing with 1 st indicator 1, 098 appears first among 082, 092 and 098 This is the first of these three lines
32
32 The table in action Note: If the holding record call number is already filled in and the call number of the bibliographic record changes then The menu action “Tools > Marc 21 holdings > update from bibliographic” will update the holding record call number The action of saving the holdings record will not update the holding record call number
