How do we use Fluxx as a Data Collection Tool What information do we record in Fluxx? Organization Information Partner organizations – org descriptions, links to materials, POCs CSG Justice Center Contacts Consultants, funder POCs, grantee POCs, employees, policymakers, etc. Grant Management, Contracts, and Budgeting Consultant contracts, funding sources, etc. Grantee Information Program details and materials Project Information Project details and materials Staff Activity Site visits, external meetings, presentations, conferences, calls, emails, etc. Council of State Governments Justice Center4

How do we use Fluxx as a Data Reporting Tool Federal Grants: The Training and Technical Assistance Reporting Portal (TTARP) supports a major BJA objective, which is to improve the knowledge, skills, and abilities of professionals working in the criminal justice field. Through TTARP, the CSG Justice Center is able to show BJA it’s constant effort in achieving proposed goals. Private Foundation Funding: Additionally, the CSG Justice Center receives funding from private organizations, such as Annie E. Casey Foundation, Pew Charitable Trusts, MacArthur Foundation, among others. These have specific reporting requirements. Council of State Governments Justice Center5

Importance of Reporting A.Annual Proposals Award proposals and no-cost extensions are submitted to BJA and private organizations, annually Continuous reporting to BJA and private organizations illustrates the Justice Center’s constant effort in achieving proposed goals B.Activity Reporting Federal grants and private foundation funding requires the CSG Justice Center to continuously report activity that works to advance the field C.Semi-Annual GMS Reporting Narratives are written in January and July, these focus on activity taking place 6 months prior to reporting as well as planned next steps D.Periodic Requests Allows management to pull information directly from Fluxx Allows staff to filter information for data accuracy Council of State Governments Justice Center6

Organization Mapping: Nationwide The mapping feature allows a map display of organizations listed on the “organizations” card Council of State Governments Justice Center8

Organization Mapping: Maine Users are able to zoom into the map and view organizations with which the Justice Center works within specific states Applied filters in the list view will also be applied in the map view Council of State Governments Justice Center9

Email Feature Emails can be sent through Fluxx, which redirect to the staff member’s Outlook account Emails developed using the feature automatically create an entry in Fluxx for staff to complete The feature currently works for outgoing emails only Council of State Governments Justice Center12

Activity Card Each activity now reported is an individual form – replacing the “what are you doing” field Filters will function as usual, additional filters will include activity form type Data can be exported for all activities within one report Council of State Governments Justice Center15 Forms will allow data to be recorded more accurately, each activity will have specific data fields and performance metrics questions, thus eliminating conditional formatting

Archived Data Current On-Site and In-Office cards will be archived in the updated system What does this mean? Data will live in the system in the same on-site and in-office cards Cards can be filtered by the same fields that exist now, and data can be exported New entries cannot be created in the archive Council of State Governments Justice Center16
