Main Menu Clicking on the beespokeNewSystem Access file will open up the library system, use the password ‘Beespoke’ Each button links to a different section within the system You don’t need to use the navigation pane (left) or menu bar (top)

New Resource First of all, click the resource type that you would like to add. Eg. Book, Material & Design Then fill in the details for the resource type you are trying to add: Book – Author, Title, ISBN Material – Supplier, Material, Pattern, Date Purchased, Cost, Notes Design – Designer, Client, Number, Pattern, Materials, Date Commissioned, Date Purchased, Cost, Notes Then click Submit and then close the form using the small X

New Loan Firstly select the resource type that you are loaning Then select the employee that is loaning the resource and the resource being loaned from the drop down menu Lastly press the submit button and then close the form using the small X in the top right

Return Resource Firstly select the type of book you are trying to return Select the resource that needs to be returned from the drop down menu, this is in order of the Resource ID printed on each resource Click the return button, then close the form by pressing the small X in the top right corner

Report From the main screen, click on the report type you would like to see The report will then be displayed on the screen To print the report, click the ‘Quick Print’ button on the top left of the screen To close the report click the small X in the top right of the screen

New Employee Firstly, click New Employee at the bottom of the main screen. The new employee form will then open Fill in the employees name then select the Job Title and Department Name from the drop down lists Click submit, then close the form using the small X at the top right of the form

Resource Enquiry To find out which resources are currently available in the library you can use the resource enquiry function Firstly, click Resource Enquiry at the bottom of the main menu The drop down menus show the resources that are available in the book, design and material category Once you have finished, click ‘Back’ to return to the main menu

Text Fields Used to enter text into the system Eg. Employee Name, Book Title Click on the box to show the cursor, then start typing If there are any validation errors with the field, a notification when trying to save the record

Combo Boxes Used to select from a limited list of options Click the arrow to show the list of allowed options Select the required option from the list Speeds up data entry as the user won’t need to type anything

Date Picker Ensures the user can only enter a date so stops invalid input Used for example in the loan date field To select a date click the calendar icon, then select the required date Todays date can be selected quickly by clicking ‘Today’ at the bottom of the calendar screen

Buttons Clicking buttons makes the database do a certain action Each button is clearly labelled so it is clear what each one will do For example on the main screen clicking ‘New Book’ will open the form to add a new book to the system
