Days and Times of the Meetings Two meetings per month: - 1 st & 3 rd Monday? - 2 nd & 4 th Monday? - Every other Monday? Scheduling around Holidays: - The following Monday? - The following day? - Keep it dark? Day vs. Night meetings: - Day or night meetings only? - One day and one night meeting per month? - Reserve night meetings for significant items or community issues?

Agenda Format Eliminate automatic Committee review: - Eliminate committees (needs change to by-laws) - Reserve committees for study sessions and/or other functions? *need to define how study sessions are invoked Adopt user friendly format: - Adopt better explanation of agenda items New agenda format: - Adopt new format (next slide) with most items going directly on the consent or regular agenda *Need to define what goes on the consent and regular agenda and the process for putting items on the consent agenda *Need to spell out who and how items get pulled off consent agenda or addressed before voting *Define process for study sessions *Community event grants can be agreed upon before putting on consent agenda or pulled for discussion – Commission or applicant

Agenda Preparation & Distribution In order to give the Board, staff and public sufficient time to review the materials: -Post draft agenda two Fridays before the Board meeting? (with attachments) - Post supplemental agenda by the Thursday before the Board meeting?

Staff Attendance Staff should not be required to attend the Board meetings unless they are scheduled to address an item or directed to attend by the Executive Director * Staff members should be on-call if not at meeting (Under the direction of the Executive Director or designee(s)?)

Operating Procedures Once a new process has been adopted, operating procedures will be drafted for the benefit of all incoming Commissioners and Staff. It should also be available to the public.

Trial Period All adopted changes will be implemented and tested during a “trial period”. The trial period shall begin on ___________. The trial period shall be: - 30 days? - 60 days? - 90 days? - 120 days?
