You can find all of them by clicking the Setup Icon located on the Menu or Tool Bar System Setup – What Makes the System Tick

June 23–24, 2016 Hyatt Regency Boston Harbor 5 Application Mapping Set up and map any number of applications needed for provider recredentialing. You can generate and auto-populate the provider recredentialing application. System Setup – What Makes the System Tick Facility Setup Set up the details about any number of facilities at which any number of providers can be affiliated. Privilege Templates Create privilege templates that then allow you to add privilege data to the practitioner folder. Print privilege lists with the recredentialing package. Letter Storage Area The Expiring Appointment Letter along with other letters needed for primary source verifications are stored here for your facility. Question Setup Create templates containing the attestation or disclosure questions you may want to use for your facility recredentialing needs.

June 23–24, 2016 Hyatt Regency Boston Harbor 6 1.Enter the Length of Appointments – Regular and Provisional 2.Select the Attestation Question Templates 3.Select the Letter Storage Area 4.Set the Additional Verification Setting for Work Gap Check 5.Check boxes for printing the expiring appointment letter, printing an application, printing privilege list 6.Select Number of days prior to appointment expiration to generate the expiring appointment Letter System Setup – What Makes the System Tick In the Facility Setup, go to the Settings Tab. Here you will configure recredentialing settings for your facility. 7.Select the expiring appointment letter for Regular Appointments, Provisional Appointments, and Allied Health Professional Appointments 8.**If your letters are customized to use an export file, select the appropriate export file name 9.Select the application to auto-populate and send with the expiring appointment letter SAVE!!

June 23–24, 2016 Hyatt Regency Boston Harbor 7 In the Facility Setup, go to the NPDB/OIG Tab. Here you will configure the settings you need in order to query NPDB through IntelliCred. You will also configure settings for your ability to automatically check your providers against the OIG’s List of Excluded Individuals and Entities. 1.Add the details for NPDB Data (Don’t skip any fields. All will insure your ability to query NPDB through IntelliCred.) 2.Add the details for OIG Settings (The Automatch On check boxes will be used as defaults when you scan the OIG Exclusions list) SAVE!! Here you will configure the settings to tell IntelliCred what information you need to verify based on the provider data. You will also set the default method you will use to pursue and obtain verifications. System Setup – What Makes the System Tick 1.Select each data screen name representing the data needing to be verified 2.Set the Verification Properties to include: When the verification will be needed And what will be used for the New Verification Default Method SAVE!!

In some cases, your Expiring Appointment Letter may actually be the entire recredentialing package. Select the Setup Icon from the Menu/Tool Bar and then select Letter Storage Area System Setup – What Makes the System Tick

June 23–24, 2016 Hyatt Regency Boston Harbor 10 System Setup – What Makes the System Tick Add all the additional pages you need in order to create a complete application package. 1.Highlight to select the appropriate Letter Storage Area Name for your facility 2.Locate the expiring appointment letter document and click to place a check in the box 3.Click the View/Edit Button to open and view the Expiring Appointment Letter 4.Modify the document as needed, including adding any more pages that may be needed for the recredentialing package 5.Save the document and then upload once again to the database SAVE!!

June 23–24, 2016 Hyatt Regency Boston Harbor 12 System Setup – What Makes the System Tick 1.Add the details related to your facility (company/organization) to the Organization Folder 2.Add the details related to the recredentialing application to the Application Detail 3.Map the data fields from IntelliCred onto the application SAVE!! 4.Return to the Facility Setup 5.Select the Settings Tab 6.Select the application needed for your facility recredentialing 7.If applicable, select other applications that may be needed for Provisional and Allied Health providers SAVE!!

June 23–24, 2016 Hyatt Regency Boston Harbor 14 When you use the Initiate Recredentialing function, IntelliCred will automatically create a new CURRENT Appointment Record and it will create and preserve the HISTORY of appointment cycles Practitioner Appointments and Appointment Status

June 23–24, 2016 Hyatt Regency Boston Harbor 16 Notifying Providers of Expiring Appointments 2.Locate and select the Expiring Appointments report 3.Follow the prompts to set the report criteria 4.The final prompt will be to run the report 5.The resulting report will show the practitioners having an expiring appointment according to the criteria you set 6.Print this report and use it in order to know which providers you need to work on

June 23–24, 2016 Hyatt Regency Boston Harbor 20 Notifying Providers of Expiring Appointments 6.Select the desired Process Method For emailing, your email must already be configured AND your practitioner must have an email address associated with the Mailing Address For faxing, faxing must already be configured AND your practitioner must have a fax number associated with the Mailing Address 7.Click the Continue Button When the Print Letters function is complete, a Red Check will be displayed adjacent to the letter name.

Initiating Recredentialing 1.Open the Practitioner Folder and then go to the Verification Tab to view all Action Items 2.Click the Recred Tab located to the right of the Detail Tab

June 23–24, 2016 Hyatt Regency Boston Harbor 24 When you properly initiate recredentialing in IntelliCred, the program creates a NEW, CURRENT Appointment record. Initiating Recredentialing You will notice that the previous Appointment Dates have shifted to the Prior Dates section. Enter any information that may be needed for this new record, such as: App Received Date App Signed Date Release Signed Date DO NOT enter any other Application Processing dates. IntelliCred will do this as you complete those work flow steps for the new credentialing cycle.

June 23–24, 2016 Hyatt Regency Boston Harbor 27 Using the Actions Area for Batch Processing All Actions for All providers are assembled into the Actions area of the system. Here you are able to batch a number of processes related to recredentialing. 1.Select the facility name from the Select Parent Facility drop down list 2.From the Analysis Tab, double-click the bar above the label that says, “Exp Appt Ltr” From the Action Item Detail Tab, you will see all Expiring Appointment Letters to send. 3.Click the Letters button. The batch print function is exactly the same in the Actions Area as it is in the Practitioner Folder. 4.Click the Process button.

June 23–24, 2016 Hyatt Regency Boston Harbor 28 You can still initiate recredentialing for one practitioner at a time in the Actions Area. The Actions Area gives you a convenient, central location within which to work that saves you from having to search for and select providers one at a time. Using the Actions Area for Batch Processing 1.Select the Detail Tab located to the right of the Outstanding Action Items Tab 2.Just like in the Practitioner Folder, view the items needing to be reverified 3.Make sure the box is checked for Missing Verifications 4.Click the Initiate Recredentialing Process button 5.Follow the steps you learned earlier to add any needed information to the NEW CURRENT Appointment record 6.Return to the Outstanding Action Items Tab to repeat these steps for the remaining providers

June 23–24, 2016 Hyatt Regency Boston Harbor 29 But the Actions Area is a SUPER place to be when you want the power of batching the recredentialing process. Using the Actions Area for Batch Processing 1.From the Action Item Detail Tab, click the Batch Recred button located on the Button Bar

June 23–24, 2016 Hyatt Regency Boston Harbor 30 Using the Actions Area for Batch Processing This will open the Batch Reappointment Process Window. You will see a list of all providers having an Expiring Appointment Letter Action Item. You are able to de-select providers if applicable. The About Options Button will explain the Run Options: 2.Click the Run Button to batch the Recredentialing process for all of the providers selected in the list IntelliCred has created all of the NEW Appointment records for you. And in the process, all of your providers also have a NEW Checklist, a new set of Disclosure Questions, a NEW set of Primary Source Verifications, and a preserved, historical record of the previous appointment. WINNER!
