3 THREE/FOUR STAGES OF ENROLMENT MY ASTON PORTAL (MAP)  1 st Stage - ON LINE ENROLMENT (student status = P before enrolment). Students will check and confirm their data and agree to the terms and conditions of the University.  2 nd Stage – UPLOAD PHOTO AND VERIFICATION All students are required to upload a photo and this photo is verified by ISA. (student status = P-EN after verification).  3 rd Stage - (OVERSEAS STUDENTS only) – PASSPORT SCANNING (includes scanning of travel documents, passports and visas. The Passport Scanning Check-In session will be available from 22 nd September.)  Final Stage - FACE TO FACE ENROLMENT (student status = P-EN before face to face enrolment and C (Current) after face-to-face is completed.) Students are able to view clearly in MAP the status of each stage

4 1 st STAGE – ON LINE ENROLMENT ON MAP Students will be able to check or provide further information on the following: Section 1: Personal Details Section 2: Programme Details Section 3: Student Finance Section 4: Education Background Section 5: Qualifications on Entry Section 6: Country of Residency Section 7: Declaration

5 FINAL STAGE - FACE TO FACE ENROLMENT Assessors are required to:  Verify their ID, personal data and documentation  Confirm the data that is already held  Check any flagged areas against applicant’s evidence  Check and confirm qualifications and fee status  Resolve any problems or disputes  Answer any questions the student may have  Remember the importance of first class customer service

6 New ID requirements UK National Students A valid passport If the student does not hold a valid passport we will accept: A full birth certificate together with one piece of photo ID from the list below: Driver’s Licence (photo card) A valid proof of age ID/Citizen card An Old college card HM Forces ID card NB We will not accept a driving licence without a birth certificate EU/EEA Students A valid passport National Identity card International Students Original Passport with Entry Clearance Visa Biometric Residence Permit

8 CREATING A POSITIVE STUDENT EXPERIENCE  Be available in a timely manner  Greet the student in a friendly way  Explain what you are doing  Listen  Be interested  Be helpful  Take the extra step  Don’t make promises unless you know that they can be fulfilled

9 IMPORTANCE OF DATA The quality of the data that is captured and confirmed at face-to-face enrolment is extremely important and assessors must be careful to ensure that the data is accurate and up-to-date. Highest qualification on entry combined with post-code on entry – impacts on widening participation funding. Student demographic/personal data – for example place of birth is relevant for widening participation and other funding. Entry qualifications generally (particularly incoming tariff scores) – impacts on league tables rankings. Evidence of employer sponsorship (where applicable) – impacts on whether we can access alternative funding streams for students.

13 Feedback from 2014/5 Explain to the student what you are doing e.g. ensuring they are charged the correct fees Do not change from SW to FT at enrolment advise students they can do this through their School Office up to end of 2 nd year. If students say they are having their exams remarked tell them we would need to see official confirmation of their regrade. They should take it to the School. Water will not be provided, please bring your own bottle if needed Additional qualifications (any level 3 quals that the student has added that are not necessarily part of their entry requirements) – Reminder slip to take certs to Schools for verification – will not result in temporary enrolment
