If you want enable all of your employees to use your organization’s HUP benefit, employees must have access to an active organization email address with a domain that has been approved by the SA Benefit Administrator in VLSC. This is part of the standard activation process and requires no extra steps. Just ensure that all organization email domains have been added to the domains section in VLSC. Whitelisting allows the organization to enable employees who do not have a work email address (i.e., organization domain) to use another email address (i.e., personal email address). Blacklisting allows organizations to block employees who do not qualify for the program but have a work email address. Employee provides the organization an email address of their choice. The organization consolidates the list of email address received for these employees (it can encrypt if desired). The organization sends this list with its HUP program code to HUPbulk@digitalriver.com (Microsoft HUP Partner). This list is then integrated into the HUP platform systems. Microsoft notifies the Benefit Administration when the Whitelisting/Backlisting request is completed. The organization can then communicate and inform employees that HUP is available. On the HUP purchasing page whitelisted employees will now be able to validate their eligibility and blacklisted employees will be blocked from participating. 1.SA Benefit Administrator selects a group of employees to participate or not participate in HUP 2.SA Benefit Administrator sends an email to hupbulk@digitalriver.com including: HUP program code List of email addresses to be whitelisted/blacklisted Whitelisting/Blacklisting is done daily during regular US-based business hours. Many organizations choose to purchase HUP licenses allowing their employees to redeem HUP software at no cost to the employee. This allows organizations to encourage their employees to migrate and/or adopt new Office software on their home devices. What are the requirements to place a bulk order? If an organization is ordering at least 20 units, the SA Benefit Administrator can use the bulk order option to purchase software on behalf of its employees. To help ensure proper authorization, SA Benefit Administrators must place the order and pay through credit card, purchase order, or wire transfer. Bulk orders can be placed through the HUP Administrator Center. HUP Administrator Center Where can I place a bulk order? The HUP Administrator Center site allows SA Benefit Administrators to place bulk orders for employees as well as manage and track bulk order usage. Once you have purchased your Office licenses through a bulk order, employees may redeem the software by entering their email address through the normal process on the employee purchasing site. Targeted bulk orders allow organizations to purchase HUP for a specific set of employees. What are the best scenarios for targeted bulk orders? An organization wants to provide HUP software at no cost to a group of employees. Examples include: A specific team A department or division A specific email domain What is the process to place a targeted bulk order? 1.SA Benefit Admin places bulk order in the HUP Administrator Center HUP Administrator Center 2.SA Benefit Admin uploads email list of employees for which they want to purchase HUP 3.SA Benefit Admin submits order number and list of eligible email addresses or email domains in Microsoft Excel to the HUP Bulk Order Team (hupbulk@digitalriver.com) 4.HUP Bulk Order Team notifies the customer when email addresses are uploaded (within one business day) 5.Benefit Administrator sends employees a HUP communication informing them that HUP software is available and directing them to the HUP site to redeem HUP What is a targeted bulk order? What is my organization’s HUP responsibility? Volume Licensing customers are not responsible for their individual employees’ compliance with Microsoft Software License Terms (MSLT) for software that employees acquire through HUP. MSLT terms are between Microsoft and the individual employee. However, Microsoft does require that your organization limit HUP access to eligible employees and that your organization informs employees when they should discontinue using the software, such as when your Software Assurance coverage ends or when an employee leaves your company. Can employees gift or sell software purchased through HUP? No. The software may not be given away. The Home Use Program license extends only to the qualified employee, and may not be given away or sold. Is the HUP-licensed software eligible for rebate or offers? No. Software purchased through Microsoft HUP may not be combined with any promotions. Can employees purchase more than one licensed copy of any application? No. The program only permits the purchase of either Microsoft Office Professional Plus 2016 or Microsoft Office Home and Business 2016 for Mac (not both). Employees may be eligible to access additional Microsoft software, such as Microsoft Project Professional 2016 or Microsoft Visio Professional 2016. Return to table of contents

If an employee previously purchased an Office product from the Home Use Program and your organization still meets HUP eligibility requirements, employees may purchase the latest version of HUP. Can employees purchase, gift, or sell software purchased through HUP? No. The software may not be given away. The Home Use Program license extends only to the qualified employee and may not be given away or sold to anyone, including relatives or friends. If employees purchased previous versions of Office through HUP, are they eligible to purchase the current version of HUP? There is no specific expiration date to the HUP license. Employees are eligible to download, install, and use purchased products only while their employer’s Software Assurance agreement is active. Can employees install and activate the application on multiple computers? No. Employees can only install and activate their Office license on one device.
