SAT - Planning Campuses need to plan for the following: Accessing students’ prior College Board Account to register for the exam If new to the district students may have to create an account NOTE: STUDENTS are NOT to create a second account just for this registration!!! If not already done, create Kahn Academy accounts so that students will have access to test prep materials Practice SAT Campus Testing Plan due by September 16

SAT - Planning Gear-Up coaches will be available to assist students with the following: Accessing/creating College Board and Kahn Academy accounts Registering for the SAT exam SAT Practice

SAT – Student Accounts Students MUST create a College Board account that will allow them to access their PSAT, SAT and AP assessment results. This account also allows students free resources to help. (Many students created an account as juniors, prior to the April 2016 SAT Test) Students MUST use this account to register for the SAT between Aug 31 st and Sept 30 th

SAT – Student Accounts **IMPORTANT- Students MUST use their existing College Board accounts DO NOT create a second account, that complicates reporting and locating scores!!!

SAT – Student Accounts Protocol for creating College Board Accounts: Username is student’s full school email address Password is the First three letters of last name, first letter capitalized, next letters small case, then local ID number Example: Juan Martinez, Local ID # 123456 User Name: jmartinez@live.saisd.net Password: Mar123456 Note: If student cannot remember login or password, they have to contact College Board

SAT - Registration If students do not register online, they will NOT be able to test! Students will need the Test Center Code for your campus, when registering. Student Registration *Students will register using a Voucher in lieu of payment An online registration must be completed by Sept 30 at 11:59PM EST Each student must login to their College Board account to register If a student does not have an account, they can create one at sat.collegeboard.org If a student already has an account, they should NOT create another Registration takes approx. 45 minutes

Student Registration Schools will need to establish a time/plan to support registration – through English IV, for those who have it beginning on August 31 st Supervisors can see who has registered via SOAR to monitor student registrations Counselors can monitor registration via Counselor Registration Report Students complete registration during a scheduled time Students must have an admission ticket, these are generated during the registration process, on test day to be able to take the test. Ticket must be printed during the registration or the number can be copied to an excel document. This number is needed on test day. (Please collect and keep for test day)

Student Registration Students input Voucher number at the beginning of registration Students must click NO to “Do they have a fee waiver?” Students must click NO to Question/Answer Service (will charge students $18) At the end of the registration process, the system tells student no charge

Student Registration Campuses have until September 30 to register students using the student’s College Board online accounts After that, new to district students will use the stand-by, paper registration

Student Registration You must track of student registrations If a student un-enrolls from your campus, they need to be un-Registered from the test via the online account If possible, this item should be added to the Clear-out checklist Contact district Testing Office if you are unable to un- register a student who has transferred out of district Testing Office will need the total number of students who registered

Student Registration If student is transferring to a school in district, they do not need to un-register for the test – student will only need their registration number to test Losing school will need to send the registration number to the gaining school ** IMPORTANT!! Do NOT use a stand-by registration for an in-district transfer student!!

DAEP and Phoenix Student Registration Estrada and Phoenix students will register at Estrada or Phoenix but will test at their home campus Transportation arrangements to and from the testing site will be coordinated by home campus and Estrada or Phoenix

Student Registration - Standby Standby paper registration on Test Day is available for School Day administrations only This is for student transfers into school from out-of-district after October 5, etc. Should not be used in place of pre-test registration for large groups of students Not designed to support large numbers of students School will receive a limited number of standby registration forms Cannot support some SSD accommodations through standby registration Standby registration materials are included with test materials shipment

SAT School Day – Results Paper Score Reports Students who register online and wish to receive a paper score report by mail in addition to the online score report must request it when they register. Students can also get their SAT scores by phone by calling customer service, but there’s an additional fee.

Score Reporting and Scholarship Opportunities All students who take the SAT are eligible for 4 free “score sends” To send scores, students must log into their College Board account and add in the colleges or scholarship organizations to which they want to send the scores This can be done at time of registration or students can do later Students have until October 28, 2016 at 11:59PM EST to add score sends through their College Board account. After October 28, 2016 students are still able to have their scores sent to colleges and scholarship organizations, but there is a fee.

Reports No optional, additional student, or score verification reports authorized **Only the four student reports covered with registration are allowed

SAT School Day – Reports Online Score Reports Students will receive an online score report and must login to their College Board accounts to access their scores. Campuses must notify students that results are available via College Board accounts CTCs – you must brief counselors that they are responsible for making sure students view scores Counselors must confirm that ALL students have seen their results by TBA date

Khan Academy Road to Success Khan Academy is designed to engage students in 30 minutes of productive practice on a daily basis. All questions in the Khan platform meet SAT test specifications. Four full-length SAT practice tests are available. Practice is focused on priority areas. Khan question format and design mirrors the design/format of the online SAT. Each question will provide answer explanations, step-by-step solution, and hints. Students will be able to write an essay and have it scored in Khan Academy. In the spring, students will also receive feedback about their essay. To get started, visit https://www.khanacademy.org/sat

Make-Up Test Date Saturday, December 3, 2016 Students must log into their College Board Account to transfer their Registration by November 22, 2016 11:59 EST

Makeup Administration Students who miss the initial test administration, and who were registered in advance of the initial test date, are eligible to take the SAT on the makeup date The makeup date is December 3, 2015 (December weekend SAT administration) Students who are taking the makeup in December must go into their online College Board account and transfer their registration to the makeup date. Students should wait approx. 1 week after the initial test date to move their registration Registrations must be transferred by Nov 22, 2016 at 11:59PM EST

SAT - Materials The number of tests delivered to each campus will be based on the number of students at that campus that registered online Only a very small amount of additional materials will be included for students new to the district that arrive after the registration window closes

Services for Students with Disabilities If your school has not designated an SSD Coordinator, complete the SSD Coordinator Form to request access to SSD Online at https://www.collegeboard.org/students-with-disabilities/ssd-online/get-access Schools may have more than one SSD Coordinator (but must have at least one) One SSD Coordinator is designated as Primary and receives all communications from the College Board Other SSD Coordinators may access SSD Online to input accommodations requests

Services for Students with Disabilities Accommodations are requested through the College Board’s Services for Students with Disabilities (SSD) office using the SSD Online System Requests for accommodations should be submitted by the school’s designated SSD Coordinator(s) by August 31, 2016 Any student that participated in other College Board assessments and received approved accommodations will not need to reapply unless their accommodation needs change. This includes PSAT/NMSQT and Advanced Placement tests

Services for Students with Disabilities The accommodation request process can take up to 7 weeks and does not begin until ALL documentation is received by College Board If additional documentation is required or if a request is resubmitted, approval can take seven more weeks. Process needs to start EARLY!

Planning for Schedule on Test Days Testing time with breaks included is 4 hours, 22 minutes (with essay)

Planning for Schedule on Test Days School schedules will require some adjustments Students will have breakfast prior to the test Lunch periods - Testing cannot be interrupted for lunch, so lunches must take place after testing is complete Students may eat snacks during scheduled breaks Bells must be silenced during test administration

Planning for Schedule on Test Days There is one 10-minute, one 5-minute and one 2-minute break allowed as follows: 10 minute break after Section 1 5 minute break after Section 3 2 minute break after Section 4

Planning for Test Days Students are not permitted to bring cell phones or other electronic devices into the testing area Please collect and hold onto prohibited electronic devices until after ALL testing is complete If a student device makes noise, or a student is seen using it, the student will be dismissed and their scores may be cancelled

Taking the Test Test supervisor reads all instructions verbatim from a testing room manual The test supervisor will tell students when to stop and start the each section. Students may work only in each section in the allotted time and may not go back Students may not skip a section or work ahead

Late Arrivals Once testing has begun in a room, late-comers cannot be admitted to that room. The supervisor has the discretion to designate a room for late-arriving test-takers but once testing has started, no other students may be admitted Once the first break has occurred, no more late arrivals can be admitted

Planning for Calculator Use Please ensure each student has a cleared, approved calculator for the appropriate sections of the SAT The list is the same as STAAR, please refer to manual There is one Math section to be done with calculators and one Math section that is to be done without calculators

Planning for Testing Rooms Size of cohort testing and size of rooms used for testing determine number of rooms needed. Options for rooms include: Larger spaces, such as auditoriums and gymnasiums Smaller spaces, such as classrooms Seating diagrams for different room types are available in Test Center Supervisor’s Manual Spacing requirements and furniture requirements Location of testing rooms within the building Separated from other classes/tests on different schedules or taking different assessments Minimize noise and other disruptions when classes or other assessments break Area where there will be minimal noise/distractions from outside the building Access to restrooms

Planning for Testing - TestHound District will create the Test Administration in TestHound Campus Testing Coordinator: Add students who are testing Create rooms Attach TestHound rosters to College Board Seating charts

Seating and Furniture Requirements Use chairs with backs. Face seats in the same direction. Students must be 4 feet apart. Place chairs directly behind those in the preceding row. Separate each student by a minimum of four feet from right to left (measure from center of desk). Ensure unimpeded access to every student by staff. Seat only one student at a table measuring six feet in length or less. Seat students at least four feet apart and facing the same direction if tables longer than six feet are used. Provide a large, smooth writing surface, preferably desks or tables. Tablet-arm chairs must have a minimum writing surface of 12 x 15 inches. Study carrels, lapboards, language laboratory booths, and tables with partitions or dividers are not acceptable.

Planning for Staffing Needs The size of cohort testing, number of testing rooms and number of students in each room determine number of staff needed. Formulas available in Test Center Supervisor Manual Test Day staff requirements Not employed by an outside test-prep company. Have not taken the SAT within 180 days of the administration date. Does not have a member of immediate family taking the same test on the same date, regardless of location Does not have to be comprised of only teachers. May utilize aides, paras, substitutes, coaches

Planning for Staffing Needs Unless your school tests only a few students, you will need additional staff to assist the Test Center Supervisor. There should be a minimum of one Associate Supervisor (head proctor) for every 34 students. For rooms with more than 34 students, assign additional proctors to help. At least one Hall Proctor is needed, but more could be needed depending on the number of testing rooms in use.

College Board Online Training Online Training Deadline for TCs September 16, 2016 Access available through College Board Professional Account Mandatory Approximately 45 minutes to 1 hour to complete, broken up into modules Must be completed by each individual TC (supervisor) once. College Board Training Associate Supervisor Training (Proctors) Online Training, similar to Test Center Supervisor (TC) Training Available through College Board Professional Account Approximately 25 minutes to completed by September 30th Proctor Assistant and Hall Monitor Training Use printed materials from College Board for training. Completed by October 5 th

Test Materials Delivery Standard Test materials will be addressed to the Test Center Supervisor at the test center and will arrive no later than October 14, 2016 Let office staff know to expect the delivery. Must be stored securely, keep in secure testing room (same as state) Check contents of boxes within 24 hours of delivery using packing lists. Contact Test Administration Services (TAS) immediately if there is a problem with your shipment – see Supervisor’s Manual for specific instructions. Check materials daily until test day. Contact TAS immediately if materials show evidence of tampering. Non-Standard test materials for students on the NAR will be addressed to the SSD Coordinator. Procedures for keeping materials secure are consistent with those for standard materials.

If this service is not available in your area, Supervisors will receive an email with alternate directions for returning their materials. Once testing is complete, package all materials for shipment (this is different from PSAT!) Detailed instructions are included in test materials boxes and in the Test Center Supervisor’s Manual.

Test Materials Return Prepaid shipping labels, with the correct addresses for each box, are included with the test materials. Follow packing and addressing instructions exactly Test books, answer sheets, and test day forms are sent to different locations and explicit shipping instructions are in in the manual Errors in packing or shipping will lead to score delays for students.
