QUICK REFERENCE CARD CASH OUT LEAVE Employee Self Service APPLYING FOR CASH OUT LEAVE After checking that you meet the eligibility criteria, discussed this with your line manager and applied for annual leave you are able to apply for cash out leave. 1.After navigating to Cash Out Leave, click the Cash out Leave radio button to apply. 2.Complete the form information: i.Effective Date: This will default to today’s date. ii.Cashing Out Leave Type: This will default to Annual Leave. iii.Cash Out Number: This will default to the number of hours you are contracted to work each week. Please note: Cash out leave must be taken in week blocks. If you are applying for a number of weeks, increase the cash out numbers. iv.Comments – enter any supporting comments you wish your manager to see. v. Please note: You must apply for cash out leave in week blocks and this must be in conjunction with taking annual leave i.e. by applying for one week’s annual leave you are then eligible to cash out one week’s annual leave. NAVIGATING TO CASH OUT LEAVE 1.After logging in, locate the My Time/Pay Transactions section. 2.Click Cash Out Leave from the screen. 3.You can select the following options: i.Cash Out Leave – this is where you apply to cash out leave ii.Cash Out Leave Display – shows you any cash out leave requests and their status iii.Leave Balance – shows you your leave balances – useful for checking that you meet the eligibility criteria iv.Leave Requests – this is where you can check any leave requests. This is important to check before applying to cash out leave, as you need to ensure your leave request has been submitted

QUICK REFERENCE CARD CASH OUT LEAVE Employee Self Service CANCELLING YOUR REQUEST You will only be able to cancel your request to cash out leave when your line manager has not approved it already. 1.After navigating to Cash Out Leave you can cancel or change your leave by clicking the Cash Out Leave Display radio button 2.From the View Leave screen click the cash out leave request. 3.To cancel the request click on at the bottom right hand side of the screen. 4.You will be prompted to confirm that you want to cancel the cash out leave request. To confirm this cancellation request click 5.You will receive a confirmation that your request to cash out leave has been deleted. Please note: If you try to delete a request that has already been approved you will receive the error message ‘ Deletion is not allowed. Request has been approved. CASH OUT LEAVE FAQS Q - I don’t have enough leave entitlements to apply for cash out leave, however I need to cash out leave due to hardship. What do I need to do? A – If you are being told that you do not have enough leave entitlements or are not eligible to apply for cash out leave yourself, you will need to discuss this with your line manager. They will then review the details and determine whether or not you can cash out leave. If they agree to allow you to cash out leave, they will then raise the cash out leave request on your behalf. Q - What do I need to do if I need to cancel my cash out leave request? A – If you need to cancel your cash out leave request you are able to complete this within the system. Please refer to the steps listed under ‘Cancelling your request’. Please note: You are only able to cancel requests that have not yet been approved. Please contact People Advisory to have this corrected. Q – When will I be paid my cash out leave request? A – Once your request has been approved you will be paid in the next pay run. As you are unable to future date this, if you wish to have your cashed out leave paid at a different date you will need to request it before you go on leave. APPLYING FOR CASH OUT LEAVE CONTINUED 3.Once you have completed the form click on 4.Click to confirm the request. 5.You will receive the following message to confirm that your request has been submitted to your line manager.
