There is some prep work that needs to get done before migration can officially begin. The goal of the new platform is to reduce the burden of website maintenance, improve the quality of your content and prepare your council for Salesforce integration. Features Confidential and Proprietary - Not for Public Distribution - Do Not Copy 6 Forms and Documents This tool provides users with Advanced Search functionality to find forms quickly and easily. Users can search by Keywords, Categories, and Document Type. The search is customizable, allowing councils to add their own Categories. Google Tag Manager With this feature, councils can finally take advantage of powerful Google Tag Manager to embed (Facebook/Google/Twitter) conversion pixels and javascripts on any pages of the website. This feature will also allow tracking of file/PDF downloads at a global level. Google Tag Manager For more info, please watch an GSUSA's into to Google Tag Manager conducted by Philip Bae.GSUSA's into to Google Tag Manager Event Calendar The Events and Activities tool will help you manage and publish council events to the web. The tool will give users the option of viewing events both as a list or in a calendar view, as well as register for events. The section also includes an Advanced Search function. Events are searchable by Keyword, Region, Date, Program, or Category. The Advanced Search is also customizable, allowing councils to add their own categories.

Features Confidential and Proprietary - Not for Public Distribution - Do Not Copy 7 News Section Councils can easily input news stories to display on the homepage, as well as in a news section. Ads/Right Rails The right rail is available for banner-ad style callouts. They are commonly used for volunteer recruitment and/or Girl Scout signup. Staff Directory This feature allows councils to display council staff in an organized manner, with easy editing and management. Webforms Councils can now build electronic forms with the option to receive submissions by email or in an exported file.

This information is extremely important in the beginning of the migration process. Design Decision- Choose the design of your homepage Girl Scouts of Nation’s Capital Girl Scouts of Eastern Massachusetts Girl Scouts of Virginia Skyline Adobe License Information- provide the name, email and type of license (approver or author)

Week 2 Deliverables Confidential and Proprietary - Not for Public Distribution - Do Not Copy 10 Site Map-You will use the National IA as a reference and fill in any gaps. New Site Map Review & Approval- Your assigned Digital Product Specialist will send you an updated version of your site map after reviewed.

Week 3 Deliverables Confidential and Proprietary - Not for Public Distribution - Do Not Copy 11 Staff Directory Spreadsheet- Download here.here Forms Spreadsheet- Download here. Please send 50 Forms to us in a zip file. Please have the file names saved on your computer as the way you would like them to appear on the site. Digital Product Specialists will migrate 50 forms and documents, build 5 custom web forms, and migrate 10 embedded forms if you do not wish to use our Adobe Forms. Please note that ANY form that you would like to be hyperlinked on your site must be sent to us.here Events Spreadsheet- Download here. Digital Product Specialists will populate 50 events. For the color field you have the option of choosing which color you would like to be associated with each category. Review the GS Color Palette and indicate which color you would like to use by entering in the number associated with the color. Example: #EC008Chere.GS Color Palette Event and Form Categories- In word document format, provide your Digital Product Specialist a list of your top 10 frequently accessed forms, as well as a list of categories for events (8 max) and your list of categories for forms (10 max). Review GSUSA's suggested top 10 forms categories and top 12 event categories. Councils may use these if they like or make up their own.top 10 forms categoriestop 12 event categories

Week 4 Deliverables Confidential and Proprietary - Not for Public Distribution - Do Not Copy 12 Images- Select images for your internal pages as well as for your homepage carousel. Please have them saved as JPEGS. Homepage Heroes are 960 x 420 for large and medium, 500 x 655 for small. Feature Story Images are 530 x 220 Event and News Images are 530 x 220 (if applicable) Internal Page Heroes are 530 x 220 The Right Rail images are 170 x (x)- height is variable. (creating additional right rail images is optional) Footer Content- In word document format, provide updated copies of your privacy policy, terms and conditions and content monitoring (if applicable). Rewritten Copy- In word document format, submit all rewritten page copy. Billing Q&A Confidential and Proprietary - Not for Public Distribution - Do Not Copy 13 Q: Is the Council’s “go live” date when they need to pay the full migration fee of $15K and their Adobe licensing fees? A: The Council is billed within a month after they go live but sometimes this is delayed. The Council is billed for the $15k one time migration fee, and a prorated amount (depending on when they go live in the fiscal year) for their Adobe licensing fees and annual hosting fee. Q: When does a Council get billed for their annual hosting cost? A: Council’s will get billed a prorated amount of the $8k (if under 100 pages) annual hosting fee depending upon when they go live during the fiscal year (October 1 st -September 30 th ) Q: Once a council is live for a year, how/who is responsible for keeping track of their page count so that they are billed appropriately for their annual hosting fee, since this fee is based upon page count? A: At this time if you need to find out our total page count please contact your assigned Digital Product Specialist.

Next Steps… Confidential and Proprietary - Not for Public Distribution - Do Not Copy 14 Please have your council lead contact your assigned Digital Product Specialist to set up your 1:1 in Week 1 of your Migration Process.* 1) Receive an e-mail from Bob O'Connor that has a Docusign link. Fill out that contract and send back to your Digital Product Specialist and Thecla Mohansingh. This must be completed before we can begin Week 1 of the migration. These documents can be found on Pearl.
