1 Finance and Governance for Penn Regional Alumni Clubs Presented by Belinda Buscher, C’92 Donald Bonk, C’92 February 27, 2016

2 First Things First - Not all clubs are the same!  Club Size: Small, Medium, and Large  Club Age: New, Teenage, Middle-Aged, Established  Community: Urban, Rural, Compact, Spread Out  Geography and Culture  Regional Alumni Composition  Club Leadership

3 1. Fundraising Options A. Dues: Annual Auto Renewal Opt-In/Out Pricing Levels Higher Annual Donation Level with some Pre-Paid or Reduced Cost Event Prices B. Paid Events Plus Premium: Profit made above event cost for ticketed events - keeping excess cash for supporting other Club events and expenses throughout the year C. In-Kind Donation of Goods/Services

4 1. Fundraising Options, Cont. D. Other Discretionary Fundraising Options Optional voluntary contribution to the Club, in addition to regular dues. Raising money for a local scholarship fund, designated local charity, or other worthwhile community cause. Raising money via donations and or sponsorships for specific Club events (at the discretion, under the direction, and under control of the Club Board). Bear in mind that discretionary fundraising must be monitored, kept free of conflicts of interest, and must not compete or conflict with the Penn Fund or other broader University fundraising efforts.

5 2. Financial Management & Governance A. 501-c3 Status or other issues of formal structure (Colleen Blair, Penn Alumni Rel.) B. Dedicated Club Bank Account C. Signature Control on Checks D. Bank Statements on DropBox or other file sharing sites (password protected) or distributed for Club Officers (and access changed after cycling off the Board) E. E-Payments/Credit Cards (On-Line and On-Site Swiping Options)

6 2. Financial Management & Governance, cont. F. Maintain Lists of Club Members who have paid Dues G. Maintain Sign-In Sheets list of attendees for pre vs., during event payment comparisons H. Tracking revenue and expenses to help in planning club operations (spreadsheets, software) I. Reimbursing for club program expenses (reimbursement forms, receipts, responsibility)

7 3. Financial Talent A. Recruit experienced, financially literate alumnus to Treasurer Position within Club B. Recruit financially literate/credentialed alumni/people to a financial advisory role to assist Club Treasurer

8 Breakout Sessions – What Are Your Club’s Issues?  Please share the Club goals, issues, and or problems that matter most to you.  Let’s breakout into 10 minute brainstorming sessions and then report back your solutions to the entire group  Final comments and lessons?

9 Post-Event Next Steps  Presentation Distribution to Regional Club Leaders  One-page document of key “Highlights” to be distributed  On-going process discussion and documentation – let’s keep the conversation going!  Development of a revised and renewed club Playbook/Manual for Regional Club Leaders.
