2. Student Records Transfer The process of transferring Student Records enables WebIEP data to be shared between SELPAs. Only SELPAs that have given permission for their data to be transferred are listed. This is a fee-based add-on module. SELPAs must be on WebIEP 2.0 to participate.

3. Only users with Administration privileges see the IEP Transfer button. Student Records Transfer

4. This process should only be attempted by trained WebIEP Administrative level users. Without knowing the risks, you could actually end up losing (or over-writing) important data. It is not for use by end users!! Student Records Transfer

5. Types of Data There are three types of data that can be copied to an incoming SELPA. You may do one or all of these steps independent of the others. –Transfer Data Records –Transfer Attachments –Transfer History Records

6. Transfer Data Records Data may not match up perfectly with your SELPA's data structure. This is because most SELPAs have unique data structures. Only data fields that are in common will be transferred. Sometimes data coming from another SELPA may be incomplete. If data is transferred to an existing Student in the system, any existing data will be overridden.

7. Transfer Attachments Attachments are transferred individually. Attachments already transferred will be shaded in green.

8. Transfer History Records History Records are transferred individually. History Records already transferred will be shaded in green.

9. Data can only be transferred between SELPAs using WebIEP 2.0. Student Records Transfer

10. For this demonstration, there is a student at South East SELPA whose IEP needs to be copied to FMS Santa Clara Alpha. Student Records Transfer

11. Enter the student to be transferred. Student Records Transfer

12. Students matching the criteria will be listed. –Click [Select] on the student you wish to transfer. Student Records Transfer

13. The Student Records Transfer program checks the incoming database to see if there are any student ID conflicts. Student Records Transfer

14. If a student ID conflict is found in the incoming database, the student(s) are listed. The administrator is given the option to either assign a new ID, or to use the existing ID. WebIEP Transfer should only be used by knowledgeable personnel that understand the problems that would be caused if one student is overridden by the student ID of a different student. 16. When selecting [Assign New ID], the program checks WebIEP to find the next available student ID number. Student Records Transfer

17. If the user keys in a student ID number, [Check ID] can verify that the student ID is not used in WebIEP or DA. Student Records Transfer

18. Once the student ID is confirmed to not cause a conflict, the transfer process can continue. Select the attending school for the transferring student. Student Records Transfer

19. Select which type of data will be copied to the incoming SELPA. Student Records Transfer

20. [Transfer Data Now] starts the transfer process. Student Records Transfer

21. Return to the Menu. Select [Transfer Now], if history is desired. Student Records Transfer

22. Return to the Menu. Select [Transfer Now], if attachments are desired. Student Records Transfer

23. Student Records Transfer Summary The process of transferring Student Records enables WebIEP data to be shared between SELPAs. Option available only when using WebIEP 2.0.
