1 TRAINING FOR GREEK LIFE PROGRAMMERS/RECRUITERS By the end of this presentation, Programmers/Recruiters should be able to… Understand the priorities of the Programmer/Recruitment position Policies, procedures, documents essential for the Programmer/Recruitment position

2 WHAT SHOULD ALL PROGRAMMER/RECRUITERS DO…  Programmers/Recruiters plan programs, events, and activities for the entire council/Greek community  Programmer/Recruiters coordinate chapter activities within their council (attendance requirements to council programs, etc.)  Programmer/Recruiters form committees made up of chapter representatives to help plan events and programs  Programmer/Recruiters know how to reserve campus spaces, request Ed media, and B&G  Programmer/Recruiters have positive interactions with the Greek Life staff (GA’s, CAA’s. RTJ)  Programmer/Recruiters know how to effectively market their programs

4 CAMPUS PROGRAMMING PROCESS…  Program Consultations  CAA’s or GA’s within the office  Mandatory to request funds from SGA  Should happen after budget is submitted on Orgsync  Budget still needs to be approved by Council  Occurs for Greek Life the last week of February this semester* Program Consultations

5 CAMPUS PROGRAMMING PROCESS (CONT)…  Reserving a Space on campus  Events.pace.edu click ‘Request an Event’ and sign in  IMPORTANT: Be as detailed as possible-include tables, chairs, and Ed media details. MAKE COMMENTS  Once space is CONFIRMED you will receive an e-mail from SDCA staff member  Make sure to work with your Council Treasurer if you need money for an event

6 CAMPUS PROGRAMMING PROCESS (CONT)… Student Activity fees: Must be approved by Council & SDCA before going to BAC for a vote Council Funds: Need 2 things: (1) Money in agency account (2) Agency Account Authorization Form How does my council receive funds for programming when working with the Council Treasurer?

7 CAMPUS PROGRAMMING PROCESS (CONT)… What are things Programmers should consider when planning programs? NeedsInfortmationAmount $$$ Risk Management Are there risks to consider? How can we minimize them? (e.g. Slip & Slide Waivers) Ed MediaProjector, microphone, computer, screen, sound$20/hr Doc ServicesFlyers, Postersvaries, $25 Publicity Flush Flash, Social Media, Word of Mouth, Residence Halls, Pace Chronicle Ad, TVs* Chartwells What package? How many people? Service Fees? Total Amount? varies SecurityDo you need any? $30/hr, 4 hour min., Wilcox Party=4hrs, 8 guards= $960 Transportation How many people? Time of pick up/departure time? Destination? $115/hr, 4 hour min. WPAW You must fill out WPAW DJ Services Request Form on Orgsync $100 set up fee + $50/hr (3 hour event is $250) OtherGift Cards? Vendors? Eventbrite?

8 CAMPUS PROGRAMMING PROCESS (CONCLUSION)… What does the Budget process look like for Greek Councils… the process is the SAME for chapters within your council… 1 Reserve space through events.pace.edu (Remember to use next semester calendar from RTJ when choosing dates) Submit the budget request to OrgSync with detailed quotes after you receive a space confirmation 2 Council Treasurer reviews budget requests Council votes on all budgets requests to be approved for a program consultation* 3 SDCA reviews budget requests for accuracy and completeness If approved by SDCA, the budget will go to BAC for final approval 4 Chapter/Council follows up with SDCA Staff to prepare for the event

9 PROGRAMMING EXPECTATIONS  What is it?- A set of programs each COUNCIL must accomplish each semester.  What do I need to do?  Cannot be:  Trips/ Conferences  Parties  Tabling/ Bake Sales  Co-Sponsored Two (2) Priority Programs: -Must tie to your mission -Must have at least two (2) forms of marketing -Must plan for 50-200 students and you must track attendance  Ideas/ Suggestions:  Weekend programming  Faculty-featured programming  Philanthropic programming  Take pictures during programs

10 PROGRAMMING EXPECTATIONS (CONT)… You may plan for as many Non-priority events as you want, but not all of these may be approved These still have the same criteria, but may include co-sponsorship, trips, parties, etc. There will be some changes in the near future with the wording of this process Please look out for this information!

11 PROGRAMMING EXPECTATIONS (CONCLUSION)…  Be aware of the Recruitment timeline  Always two weeks after Circle of Greeks  Try not to plan or co-sponsor too many events during this time  Try to structure recruitment events to meet the Chapter programming requirements  For instance, if UPC says that all chapters must host a program with a faculty member in Recruitment, those chapters will accomplish this goal- and may not even know it

12 PROMOTION/PUBLICIZING EVENTS…  Why is this important to do?  Is your council “branded”?

13 PROMOTION/PUBLICIZING EVENTS (CONT)…  Why Brand?  Establishes your organization on campus  A recognizable identity of an individual organization  A sense of uniqueness that correlates with your organizations identity  Work on branding yourself to maximize wanted results  Simple steps: 1) Find an image; 2) Make sure the image connects with organizational values; and 3) Post the image on everything!

14 PROMOTION/PUBLICIZING EVENTS (CONCLUSION)…  What are my other publicity options on campus  Flush Flash  Posters through doc services (already up on digital signage if you do)  Small flyers, buttons, stickers (helps with word of mouth)  TV outside SGA office  Twitter, Facebook, Instagram, Social Media  Pace Events APP (must be on the Orgsync global calendar to list on the app)  Sidewalk chalk (when warm)  Others?

15 PRESENTATION CONCLUSION QUESTIONS…  What are the priorities of the Programmer/Recruitment position? (Should there be others?)  What would make a “successful” Programmer/Recruitment ?  What impact can Programmer/Recruitment make to the council’s success?  Why are we here?
