2 The following demo will show you how to utilize www. trackwrestling
The following demo will show you how to utilize to run your wrestling tournament. The program is an online program so wrestlers, coaches, fans, and media can follow the event live online as it progresses. There are many benefits to using the program to run a tournament and you will see them after you go through this demo. PART 1: This covers requirements and tips for using trackwrestling.com to run your tournament. PART 2: This covers things you need to know how to do about 1-2 weeks before your tournament. PART 3: This covers things you need to know in order to run your tournament on tournament day. NOTE: MINOR CHANGES HAVE BEEN MADE TO THE PROGRAM THAT MAY NOT BE REFLECTED IN THIS DEMO. IF YOU CAN’T MAKE THE CONNECTION BETWEEN THIS DEMO AND THE PROGRAM AS YOU SEE IT, JUST LET ME KNOW AND I WILL HELP YOU.

3 PART 1 REQUIREMENTS AND TIPS

4 Requirements You need a person that knows how to use a computer relatively well. This computer needs to be connected to the internet and a printer. Make sure that the person who will be running the computer goes through this power-point demo.

5 Tips The recommended platform is a PC running Internet Explorer. Some views may be distorted if you are using a different platform. If you decide to use a different platform, thoroughly test everything on that platform before the tournament day. If you can, go through this demo on a computer that is next to another computer, that way you can try things out as you follow along. When printing things, always set your margins as small as possible and make sure you select the right orientation. (For example: when printing brackets, you should print landscape, but when printing bout sheets you should print portrait). There are 4 servers that are used to operate trackwrestling.com 1. 2. 3. 4. 5. is used for viewers. This separates the server that people look at results on, from the servers you will use to run your tournament. Therefore if a million people hit trackwrestling.com and crash it, you will still be able to run your tournament because you will be working on trackwrestling 1, 2, or 3. When you login as an ‘Administrator’, the system automatically forwards you to one of these servers, but you can go directly to any of them if you need to. Please visit all of these sites before the day of your tournament, so you make sure you know how to do this. The next 4 slides illustrate what I am talking about.

Notice that they are all the same, the only difference is that only people that are running tournaments can login to 1, 2, or 3.

10 1-2 WEEKS BEFORE TOURNAMENT
PART 2 1-2 WEEKS BEFORE TOURNAMENT

11 Find the tournament in the tournament list and click on it
Find the tournament in the tournament list and click on it. The tournament name will appear here. Select ‘Administrator’ as your user type and then enter your username and password before clicking on the [Enter Tournament] button.

12 This is the screen you will see when you login as an admin
This is the screen you will see when you login as an admin. The black buttons along the left are your navigational buttons. When you want to do something you will start by clicking on one of those buttons. The ‘Basic Information’ button is self explanatory. Click on it and enter basic tournament information. The ‘Deadlines’ button is where you set tournament deadlines, and the deadlines are described on the page itself. The first thing I will show you is how to select the bracket types you will use in your tournament. To do so, click on the ‘BRACKET TYPES’ button in the left menu.

13 Now I will show you how to enter the teams participating in your tournament. To do this, click on the ‘TEAMS’ button in the left menu. You will see the bracket types added to your tournament listed here. You can set the default parameters for each bracket by clicking on the corresponding parameter in the ‘Added Tournament Bracket Types’ list and then entering the value you would like to use. To add or remove bracket types to and from your tournament, just click on the name of the bracket type and it will move back and forth. You will see all the bracket types that are not added to your tournament but are available to be added listed here.

14 To add a team, click on the ‘Add Team’ button, fill out the form, and click ‘Add’.

15 The screen will look something like this when you are finished adding your teams.
You add weight classes to your tournament in a similar fashion using the ‘WEIGHT CLASSES’ button. The next step in this demo is to look under the ‘PARTICIPANTS’ button. Notice one of the teams has (Home Page) after its name. If a team has a home page you can associate it with the team and then fans can get to the teams homepage from this website.

16 The page below is the ‘PARTICIPANTS’ page
The page below is the ‘PARTICIPANTS’ page. The possible operations you can perform from this page are listed in the ‘PARTICIPANT OPERATIONS’ menu. When you first come to this page as an ‘Administrator’ you should use the ‘Fill Weight Classes’ operation. This operation will add a wrestler to every team for every weight class in the tournament. To do this, select the operation and click on the ‘GO’ button.

17 Notice each participants name is ‘Unknown’
Notice each participants name is ‘Unknown’. This is because that information will be entered by the teams when they login and enter their own lineups. The next thing to address in this demo is how to setup seeding criteria for your tournament. To setup seeding criteria, use the ‘SEEDING CRITERIA’ button in the left menu.

18 The screen you see below is the screen you will use to setup seeding criteria for your tournament. The criteria is listed with the highest priority criteria at the top. The 3 criteria you see below are part of every tournament but you can change the record they refer to by clicking on the ‘Tournament Records’ link. Head to head information is also part of the seeding process, but you can control the maximum number of slots a wrestler can jump if he beat someone seeded higher using the ‘MAX SEED JUMP’ value. Use the ‘Add Criteria’ button to add your own criteria to the list. You can change the order of priority for the criteria using the ‘move up’ and ‘move down’ links along with the ‘Save Criteria Order’ button. The next thing to address is how to setup the tournament scoring. To do this use the ‘SCORING’ button in the left menu.

19 The page below is used to setup how a tournament will be scored
The page below is used to setup how a tournament will be scored. There are 4 facets to scoring a tournament. Activity Points (points awarded for winning a bout by a given win-type), Advancement Points (points awarded just for winning a bout), Placement Points (points awarded for obtaining a given place), and you can also indicate bouts that wrestlers are not allowed to score any points in. Click on each of the links and setup the points according to how you will score your tournament. The pages are pretty self explanatory. Take note of the select box surrounded in red. This box indicates how you would like to handle byes in your tournament. There is one on the Activity Points and Advancement Points page so make sure you set both to be what you want them to be. The next thing to address is how to setup your tournaments rounds. To do this use the ‘ROUNDS’ button in the left menu.

20 The screen you see below is the screen you will use to setup your tournaments rounds.
To add a round to your tournament, click on the ‘Add Round’ button and enter the name of the round you would like to add into the form that pops up. Ex: “Round 1 (10:00 am)”.

21 Finally click on the ‘Save Round Detail’ button
You will then be looking at a screen like the one below. This is the screen where you will indicate which bouts you would like to wrestle in the round you just added. Enter the bouts you would like to wrestle in the specified round for each bracket type that is part of your tournament. 1-4 You can view the chart to look at bout numbers by clicking on the bracket name. Finally click on the ‘Save Round Detail’ button

22 When you finish entering the tournament rounds, the screen will look like this.
You can use the ‘move up’ and ‘move down’ links along with the ‘Save Order’ button to change the order that you would like to wrestle rounds in The next thing I will address is how to setup teams to be able to enter their lineups online. To do this, click on the ‘USERS’ button in the left menu.

23 The screen below is the screen you will use to setup teams to enter their lineups online. The team reps that enter that information are called ‘Statisticians’. The first thing to do when you get to this screen as an ‘Admin’ is to click on the red ‘Statistician Operations’ menu and select the ‘Add Team Statisticians’ operation. This will add a statistician to each team, giving them a username and password to login under.

The screen will refresh and look something like what you see below. Notice a statistician was added to each team, and they are assigned a username and password. The next thing to do is enter the name and address of the contact person for each team. To do this, click on the current name and you will be brought to a screen where you can edit the information for that contact.

25 When you have finished, the names and addresses of each teams contact will be shown on this screen. You can add workers to your tournament to help with things like printing bouts and bout entry using the ‘Workers’ link. You can add other ‘Admins’ like yourself to your tournament using the ‘Administrators’ link. You can now send each contact an automatically generated containing all the information they need to enter their teams lineup online. To do this, click on “Send Notification s’ in the ‘Statistician Operations’ menu. NOTE: You should make sure the deadlines are set and the weight classes have been filled on the ‘PARTICIPANTS’ page before doing this. You can use the ‘Search Archive’ operation to search for addresses that you don’t know. You are now ready to allow statisticians to enter the lineups for their teams. You should keep an eye on who has entered their lineups so if someone hasn’t done it you can contact them. This is very easy to do using the ‘PRINT DOCUMENTS’ button in the left menu and then selecting ‘Weigh-In Sheet’. Also, the ‘Last Login’ column on this page will indicate the last time the statistician logged in. I will now show you how statisticians enter information so you understand how that process works, and then return to running the tournament on tournament day.

26 Statisticians go to www.trackwrestling.com just like ‘Administrators’.
Statisticians will click on the tournament, select ‘Statistician’ as their user type, enter a username and password, and then click on the login button.

27 When a statistician logs in, they are prompted with a window reminding them of the deadlines they have to meet. They will then click on the ‘PROCEED’ button.

28 The statistician will then be shown a screen listing the wrestlers on his/her team. They simply have to click on the name of the wrestler they will edit and enter the information. When they click on a wrestler they will be taken to the following screen.

29 Simply fill out the form with the wrestlers correct information and then click on the ‘Save Participant’ button. You will then be taken to that wrestlers ‘Seeding Criteria’ page.

30 Statisticians fill out the criteria form corresponding to the wrestler selected.
Finally statisticians can indicate which wrestlers in the bracket their wrestler has beaten using the ‘Head to Head’ link. This can only be done during the period of time specified by the ‘Administrator’ of the tournament. Criteria associated with a tournament record is automatically calculated and filled in based on the record(s) entered on the previous screen. Any other seeding information that may be relevant to seeding a wrestler can be entered here.

31 The head to head screen allows you to click on the names of wrestlers in the bracket to move them back and forth between the beaten and un-beaten lists.

32 The screen below is what a statistician sees when they have finished entering their lineup. They can print off the details of everything they entered using the ‘Print My Wrestlers Information’ button below. Statisticians can also enter addresses of local media using the ‘MEDIA CONTACTS’ button, so that results for their team can easily be sent to that media after the tournament completes. Statisticians can also change their username and password to whatever they want using the ‘EDIT PERSONAL INFO’ button. That is all there is to the Statistician process. I will now return to running the tournament on tournament day.

33 PART 3 TOURNAMENT DAY

34 After logging in to your tournament, you will see a screen that looks very similar to what you see below. The black buttons in the left menu are your navigational buttons. By this time, the initial information regarding teams should have been entered by the coaches. Click on the ‘PRINT DOCUMENTS’ button in the left menu.

35 The first thing you should print is the ‘Team Rosters’
The first thing you should print is the ‘Team Rosters’. This will list the wrestlers by team, and you can give it to the coaches as they come through the door in the morning, that way they can verify the information entered in the system, and you can take care of any changes right away. You should also print out the ‘Weigh-In Sheet’ for referees Click on ‘PARTICIPANTS’ I will now show you how to make changes and get things ready for the ‘SEEDING MEETING’.

36 If you have to add a new wrestler, select the ‘Add Participant’ operation, and click on the ‘GO’ button.

37 The following form will appear, fill it out with the correct information, and then click on the ‘Add’ button.

38 If you have to edit a wrestler, you should first use the ‘Search’ operation to find that wrestler. To do this, first choose the ‘Search’ operation, and then click on the ‘GO’ button.

39 The following form will appear
The following form will appear. You should fill out the form with whatever you are looking for, and then click on the ‘Search’ button. For example: This will find the 130 pounder for Madison West.

40 To edit this wrestler, click on the wrestlers name and you will be taken to the following form.

41 You can also edit this wrestlers seeding criteria, and head to head information, using these links.
I will now show you how to delete all invalid wrestlers before the seeding meeting. For example: wrestlers that did not make weight, wrestlers that were left as ‘Unknown’, wrestlers that are entered as Forfeits… To do this, click ‘PARTICIPANTS’ in the left menu. Use this form to change whatever you need to change about this wrestler, and then click on the ‘Save Participant’ button. Do this to change a wrestlers name, weight class, team…

42 After checking the boxes next to the entries you want to delete, select the ‘Delete Selected Participants’ operation, and then click on the ‘GO’ button. Use these links to go through the list of wrestlers in your tournament. When you come across an invalid entry, check the box next to that entry. For example: No Entry and Forfeit Forfeit are both invalid entries. First, click on ‘PRINT DOCUMENTS’ in the left menu. Once you have made all of the changes you need to make, and deleted all invalid entries from the system, you are ready for the seeding meeting.

43 You are now ready to hold the seeding meeting and create the brackets for your tournament. To do this, click on ‘SEEDING MEETING’ in the left menu. You should now print out the ‘Weight Class Rosters’. This can be given to coaches to refer to during the seeding meeting. It will list all the wrestlers in each weight class and order them based on the seeding criteria.

44 This wizard is used to make creating brackets simple
This wizard is used to make creating brackets simple. For each weight class in your tournament, select the weight class using the drop down menu labeled ‘Select a Weight Class’. Once the wrestlers are in the order you want them in, choose the number of wrestlers you would like to seed (the rest will be randomly drawn in) and click on the ‘Build Bracket’ button. If you want to change a wrestlers seed, use the arrows next to the ‘Move Wrestler’ label for that wrestler. The computer places the wrestlers in order based on the seeding criteria. The #1 seed is furthest to the left and the lowest seed is furthest to the right.

45 Continue this process until the brackets have been built for each weight class, and then close the window that contains this seeding meeting wizard. If you would like to start over for any reason, click on the ‘Delete Bracket’ button and try again. The screen will refresh, and when it comes back, there will be a bracket link. You can click on that link to open up the bracket you just built.

46 After you have completed the seeding meeting, click on weight classes in the left menu.
Remember that this screen shows you the current state of the weight classes. You can now verify that the seeds have been saved and the brackets have been built for each weight class. Once again, click on ‘PRINT DOCUMENTS’

47 Now I am going to cover how to print bout sheets
Now I am going to cover how to print bout sheets. There are many ways to print bout sheets, and I am going to start by showing you the bout sheet parameters form. To get to this, click on the ‘Bout Sheets’ link. You can also just print the team scores by clicking on the ‘Team Scores’ link. NOTE: This screen will refresh itself every 5 minutes, therefore if you can project it on the wall in the gym, fans could watch the team scores change throughout the day. You should now print out the ‘Brackets’ to hand out to fans, coaches, … The brackets can be printed throughout the day to keep people up-to-date on what has happened.

The bout sheet parameters form looks like this. It allows you to specify what bouts you want to print. For example, if I clicked on the ‘PRINT’ button with the form filled out as follows, it would print bout #1 for weight class 119. 119 1

49 As another example, if I clicked on the ‘PRINT’ button with the form filled out as follows, it would print ‘Round 1’ for every weight class in the tournament.

50 One more example, if I clicked on the ‘PRINT’ button with the form filled out as follows, it would print ‘Round 1’ for weight class 145.

51 Now that you understand how the bout sheet parameters form works, we can move on to the ‘WORKER WIZARD’. This is where you will spend the majority of your day on tournament day. To get here, click on ‘WORKER WIZARD’ in the left menu, and you will see a screen like what you see below. Click on the ‘Bout Schedule’ link and you will be taken to the following screen.

52 This screen is very helpful for tracking the progress of your tournament. It shows your tournament’s planned schedule, this way you can always see where you are at in your tournament, along with some other very nice features. For example: 103 Quarterfinals bouts 1-4 will wrestle first, then 112, 119… To print multiple bouts at once, place a check next to the bouts you want to print and click on the [Print Selected Bouts] Bouts with a grey background are ready to be printed. Rows corresponding to bouts with a yellow background are not ready to be printed yet because they are waiting for the results of some other bouts. For example: 103 Semis cannot be printed until 103 Quarters are completed.

53 This screen should look familiar
This screen should look familiar!!! Notice the bouts you selected show up, and therefore all you have to do is click on the ‘PRINT’ button.

54 This slide is used to show you what this page may look like after you have started your tournament.
A line turns green and crossed out when those bouts have been entered into the computer. So we know 103 Quarterfinals are done. Now that you know how to use this schedule, I will show you how to enter the results of bouts. To do this, use the ‘Bout Entry’ link. Also notice that all of the Quarterfinals bouts have been printed. 103 Semis and Wrestleback is ready to print because it is no longer yellow, and it is indicated that it has not been printed.

55 The screen you see below is the screen you will use to enter the results of bouts. For example: If you wanted to enter the result of bout #3 for weight class 112 you would first select 112 from the drop down list.

56 Then enter a 3 into the ‘Edit Bout Number’ box and hit ‘Enter’ or click ‘GO’.

58 Another thing I want to point out is the ‘Bracket’ link
Another thing I want to point out is the ‘Bracket’ link. This will open the bracket for whatever weight class is currently selected. The following screen is a sample bracket. Fill out this form with the winner, win-type, … and then click on the ‘Save’ button Do the same thing for every other bout in your tournament.

59 You should open the bracket whenever you have to make a change
You should open the bracket whenever you have to make a change. For example: If you accidentally entered Brandon Fuller as the winner, but Tylar Ramsey actually won the match, then you should open the bracket, and click on the bout number you would like to change. In this case, it is bout #2.

60 This will open the bout sheet, that way you can change the winner to Tylar Ramsey and click on the ‘Save’ button.

61 You can also print the bracket from here by selecting File->Print
The reason for opening the bracket to do this is because you can now verify that the correct person went out the front and back of the bracket (Ramsey out the front and Fuller out the back).

62 If you have to adjust a team’s score for any reason (for example: If Middleton loses a point for ‘unsportsman-like conduct’), you should click on the team name for the team you would like to adjust the score for. The last thing to cover is ‘Team Scores’. This page will display the updated team scores throughout the day. After every bout is entered, the new team scores are calculated, so this page will always be up to date. To get to this page, click on ‘TEAMS’ in the left menu.

63 Then click on the ‘Team Point Adjustments’ button and the following screen will appear.

64 Then click on the close button, and then click on teams
Enter in the point adjustment, the reason for the adjustment, and then click on the ‘Add’ button.

65 You can now see that ‘Middleton’ has 1 less point
You can now see that ‘Middleton’ has 1 less point. You can actually see how Middleton scored their points by clicking on the points associated with Middleton.

66 The following screen will appear, showing you how Middleton has scored their points, broken down by wrestler. If you want to see how a wrestler scored his/her points, click on the points associated with that wrestler, and you will get a breakdown of that wrestler’s points by match.

67 The last thing to address with team scoring is how to handle a wrestler that gets tossed out of the tournament. To do this, click on ‘PARTICIPANTS’ in the left menu. Then find the wrestler that got tossed out, and click on his/her name. NOTE: You may have to use the ‘Search’ operation I showed you earlier in this demo.

68 You will be taken to the following screen, which should look familiar
You will be taken to the following screen, which should look familiar. Change the ‘Scoring Wrestler’ option to ‘No’ and then click on the ‘Save Participant’ button. This will remove this wrestler’s points from their team’s score.

69 You can get a complete breakdown of results by team by clicking on the ‘PRINT DOCUMENTS’ button and then clicking on the ‘Team Results’ link. When the tournament completes, you have one more task. Click on the ‘MEDIA CONTACTS’ button in the left menu and click on the ‘ Media Updates’ button to send results to each of the media associated with each team. 2. You can get a complete breakdown of the results by weight class including place winners and final match results by clicking on the ‘PRINT DOCUMENTS’ button and then the ‘Weight Class Results’ link. 3. You can see all kinds of tournament statistics like most pins least time, fastest fall, … by clicking on the ‘STATS’ button in the left menu.
