Agenda Who we are University and College Printing Trends Change Impact of Change on Print Things to avoid Change Considerations How to adapt and prosper Summary Questions
3

We understand the industry, the challenges faced by the BPS and the strategies of your service providers
4
University and College Printing Trends
Introduction of document management Electronic work flows have increased dramatically (blackboard) Declining budgets Decrease in printing year over year Scanning increasing year over year Numerous software options to assist with Managed Print Services (MPS)
5
University and College Printing Trends
User demands and expectations are on the rise (students, administration and faculty) Environmental sustainability Departments accountability Under utilized devices (print centre and fleet) Over featured fleet printers capturing traditional print centre volume
6
Change The only thing constant is change
Change in the print world has never been so dramatic Change management is critical to the success of all projects Our survival/success is dependent upon our ability to change
7
Impact of Change on Print
Declining revenue Less budget dollars Profitability of fleet and print centres are at risk End user satisfaction Competition (desktop printers, independent print shops) Administration of billing (chargeback) Under utilized printers Contract scalability Increased costs to provide solutions (Papercut, digital storefront, etc.) Print optimization (reduction in print devices A3 and A4)
8
Hardware vendors completing optimization
Things to avoid Doing the same Will result in not meeting your objectives Adjust pricing to current market conditions Hardware vendors completing optimization hardware vendors often increase the current A4 costs to justify cost of their solution contracts lack flexibility to adapt with changing print requirements Promote colour printing Refresh like for like most print fleets have been refreshed numerous times using “you can get more for the same” which results in feature rich oversized printers and under utilized printers Refreshing only a portion of the fleet results in non-coterminous contracts traps clients in evergreen strategy
9
Things to avoid Lack of Reporting Lack of Environmental Gains
Print strategy score boarding must be provided to all staff, faculty and students on a regular basis Lack of Environmental Gains Your students expect and demand a sustainable print solution Your staff will modify their behaviors if they understand the environmental benefits of the solution Lack of Senior Management support Senior Management must support and follow the print strategy direction or the project will fail Limited communications strategy In order for end users to embrace the future mode of operation, they need to be informed and understand the process Not having a print policy/guidelines Print policy/guidelines provides support of the initiatives implemented
10
Change Considerations
Unified strategy (fleet, MFD’s and single function printers and print shop) priced to drive the behavior you desire Offer archiving and scanning within print centre Seek out organizations that can use your print services Hospitals Government agencies (OACAS, CCAC, Canadian Hearing Society, etc) Non-profit organizations The strategy must have the flexibility to adapt to future requirements (digitization and print less) Manage third party print through print centre
11
Change Considerations
Charge for scanning (critical to drive revenue to provide printers in the future) Do not provide over featured fleet devices (drives volume from print centres) Implement print migration strategy and colour management strategy Printer optimization Implement fax server (reduction of 80% of fax lines) Implement management software and follow me print
12
How to adapt and prosper
Develop business case Gain Senior Management acceptance and support Understand current infrastructure, objectives and your clientele Understand current costs Understand your document management and work flow strategy state/direction Develop, adjust, and manage your Communication strategy
13
How to adapt and prosper
Market your services to internal and offsite clientele Understand your current state (visit and map every device, do not extrapolate or use a cookie cutter model, customize to your requirements) Conduct user interviews for each and every department (workflow and print) Apply software (print audit) to capture networked device information Development of Print Policy/guidelines
14
Summary Embrace change Develop business case Senior Management buy in (savings and environment) Communicate each and every step Manage the change Prosper
