1 SportSuite Forms – Email Invitations

2 What is an email invitation?
An invitation is an that you send out to someone to invite them to participate in your survey How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

3 What does an email invitation allow you to do?
Send out an invitation to user through the SportSuite Forms module Use your newsletter template to ensure consistency with your brand Be able to send invitations to your whole database or a target groups by using ‘User groups’ within SportSuite Core Change the invitation content depending on the target group using different instances Keep track of which users you have sent and invitation to and which you have not. Keep track of which users have completed your survey How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

4 Set up and test your form
Create your form in the design view Create a test instance to make sure the form works and display as expected. To add a test instance: Add new instance > name = test > type = target > enable invitations = yes > save How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

6 Setting up your instance
Instance name: Choose something that will relate to the target audience of this instance and include reference to invitations Friendly URL: if you are sending invitations a friendly URL is not necessary as person will simply click the button in the to go through to the survey Collection Type: to send out an invitation through the system select ‘targeted audience’ Enable invitations: yes Complete the rest of the instance set-up to meet your requirements How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

7 Selecting the recipients
Go to the recipients area within the instance as shown in slide 5 Click ‘select users’ Search through your database to find the uses you want to receive this invitation. You could search by user groups, location or keyword search. Note if you click ‘search’ without any filters it will display your whole database. Use the tick box next to each person name to add people individually or use the tick box in the grey line at the top to add everyone in one go. Once selected everyone using a tick box click ‘add selected’ or ‘add all’ Click ‘Return to recipients’ at the bottom How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

8 Creating your email invitation
To create and send an invitation use the tick box next to each person name to add people individually or use the tick box in the darker grey line at the top to add everyone in one go. Once selected everyone using a tick box click ‘with selected’ or ‘with all X users’ and ‘send invitations’, then click ‘continue’ To add your content to the invitation click ‘Edit content’ Choose the title, description and the label on the button within the invitation and when happy click ‘update’ The final step to send out an invitation is to choose the subject and date/time to go out as you would in SportSuite Newsletters. 9 Managing responses Filtering system: the grey bar at the top containing the search bar allows you to filter through participants based upon whether you have sent them an invitation or not, or if they have responded. Follow-ups: if you are running a before an after survey that requires you to compare responses. Filter to those that have completed the form and create a follow-up instance from this group only. User groups: create a user group directly from SportSuite Forms. Downloading: download the recipients into a csv for interrogation Sending reminder invitation: For those that you have already sent an invitation but have not yet completed you could send a reminder invitation to encourage to complete just before the closing date. Removing: you can remove people from the instance you need to. How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?

10 Tips to perfecting email invitations
Check the effectiveness of an invitation by only sending to half of the selected users, and send a normal to the other Test if a reminder notification is effective by only sending to half of the group that have not yet completed your survey Perfect the content of invitations by A/b testing Test the subject Test the day of the week or time of day Test button label Test the description content Test the heading How do they know that users fit into those particular segments/ what tools do they use/ what data do they collect?
