1 Project and Project Formulation and Management
Prof. Pramod B. Shrestha June 2016 Kathmandu

2 Outline Project: Definition Characteristics Framework Matrix
Management Major Steps to P.M. Management Map Tools

3 What is a Project? Time Cost Resources
A series of activities leading to a specific goals has to be completed within a certain Time Cost Resources

4 Example of Projects Constructions of Roads Establishment of Institute
Organizing a Training Program Implementation of LAN

5 Characteristics of Projects
Projects are non traditional, innovative process for development Projects are complex efforts A Project is the process of creating a specific result A Project has a life cycle Projects need multi disciplinary skill

6 Plan-Program-Project
A plan is a cluster of programs A program is cluster of projects A project is a cluster of activities Plan a Plan Plan a Program Plan a Project Plan an Activities

7 Project Framework Matrix
Why the project is carried out Purposes What it is expected to achieve Outputs How it plans to achieve Activities Which factors are crucial Assumptions How to measure the success Targets How much it will cost Costs

8 MANAGEMENT ROLE Goal Attainment Planning Organizing Leading
Controlling Goal Attainment Human Resources Financial Resources Physical Resources Information Resources

9 PROCESS VALUE ANALYSIS
S1 Strategize S1 Strategize - Define what to be done S2 Specify S2 Specify - Specify activities S3 Sub Contract S3 Sub Contract - Out source activities S4 Standardize S4 Standardize - Essential processes standardized internally S5 Sustain S5 Sustain - Sustain through continuous improvement

10 TQM for Project Success
Focus on Customer proponents beneficiaries funders Manage by facts plan measure progress

11 TQM for Project Success
Energize People project team customer Improve Process best practices Make Change Lasting learn innovate

12 What is Project Management?
Planning, Scheduling the various activities of the project so that it can be completed in time by Allocating Resources Organizing and motivating personnel Directing the implementation Monitoring and controlling progress

13 Observation There is no single way to manage projects. Infact if you ask 10 project management expert to explain the best way to manage project, you will probably get 10 different answers( all of them of course true). But generally, a successful project has four phases.

14 Four Major Steps To Project Management
Build a Plan Define objectives Track the Project Close the Project

15 Project Definition Define Project scope, goals and objectives
Determine resources Determine schedule’s limit

16 Project Plan Identify project tasks and who will do them
Time estimates for task Determine task dependencies Enter task and project constrains More accurate the information, more accurate the PLAN

17 Project Tracking Track project progress
Review resources, scope and schedule Identify problems Analyze resource requirement Make mid stream changes

18 Closing of Project Compare original plan to the actual course of project events Analyze problems and identify areas of future improvement Archive the project file

19 Measures of Project Performance
Efficiency : Inputs to Outputs Effectiveness: Output to Purpose Impact: Purpose to Objectives

20 Project Map at a Glance Microsoft Project Management Map

21 GANTT Chart GANTT chart is a bar chart with time as the horizontal axis . Each activity is plotted as a bar on a separate line of the vertical axis. The length of the bar is activity duration. It provides sequencing visual display of actual progress guideline for project management

22 Network Diagram It displays in a simple and direct fashion the complex interrelationships between the activities of a project. It allows computational of activity in a simple manner It provides critical path of the project.

23 Thank You Very Much
