Learning Objectives To understand the applications arranged by ICAI which are useful in day to day life for CAs. To understand how to use few important applications

Introduction In today’s business environment, it is difficult to render services without IT applications. At the same time, IT applications available in the market are costly as they involve one time license cost and then recurring yearly cost for maintenance. Considering this, the Institute has made certain arrangements with various vendors to provide these applications at minimum cost. Some of the applications which are listed below are available for CAs for their use. These applications are supported by external vendors. These applications help CAs to meet the day to day requirements. Let us briefly understand these applications. E-secretary Application
eSecretary–It is correspondence automation & management software that is seamlessly integrated with Microsoft Office. It helps in managing secretarial and organizational tasks, thus increasing efficiency and enhancing productivity in the office environment. eSecretary provides following core features: Contact Management – Basic Information Management, Profiling and Categorization etc. Correspondence Management-Organizing Outgoing and Incoming letters and other documents. Simplified Mail/ Merge with Microsoft® Word – Along with tracking of past group communication for re-use. Greeting Management – It includes sending greeting letters or s individually or in bulk but still personalized. Correspondence Automation- including letter and s generation etc. Management-Easy Archival of important s for organizational record etc. Template Management - including formats, stationery and s templates etc. Address Labels/Envelops Printing. Standard size and wide choice customizing through Microsoft Word.

E-secretary Application
Following are the 4 main options in e-Secretary application: Contact Management - This option assists user in creating new contacts Correspondence - This option assists user in creating new letters and templates. Provision is also made for editing and saving the documents present outside eSecretary. Templates - This option assists user in viewing and editing the existing templates including many other utilities. Merge / Call out - This option assists user in viewing the Mailing, ing and Call-Out list and many other utilities.

Contact Management :To create New Contact, access Contact screen from New Tab of Welcome Screen. To view all contacts access contact management from View Tab of Welcome Screen.

Templates: There are multiple ready templates which are provided along with the application, although new templates can be defined and stored. To view the existing templates, click on the option “Ready Templates” on welcome screen. There are two types of templates: Hazel templates – these are the templates which are provided by the software vendor. CCBCAF templates – these templates are provided by the ICAI. These templates are widely used by its members in day to day life.

Mail / merge This option is used for creating, printing and sending bulk individual mails.

K-DOC application It is a solution for structured file management and knowledge management. K-Doc helps to create systematic records of the documents, s etc for easy reference and re-use. K-DOC integrates seamlessly with Microsoft Office and comes with plug-ins for Word, Excel, Outlook and eliminates hindrances, occurring due to scattered documents and loose files. K-DOC compels users to save documents in secure K-DOC repository, thus assuring centralized management.

K-DOC application There are 3 options:
New – To create new file or document View – To view an existing document Archive – To cut and paste the completed and old document in a different (archived) folder. K-DOC application helps to create documents Word, Excel etc.

Payroll Application Payroll management software helps to record attendance, process salary, arrears, gratuity, reimbursements etc. It includes the following: • Recruitment management – stores and searches resumes, scheduling interviews. • Time and Attendance – it is integrated with time and attendance devices, leave allotment, encashment, leave application and approval system. • Meets statutory requirements of various Acts like Provident Fund, ESI, TDS deductions etc. • HR office and Communication management • Employee Information Portal – It provides the facility to view the salary slips, apply leave etc. after login by the employee.\

Tax Suite application ICAI- Tax Suite is comprehensive package that combines Income Tax Service Tax e-TDS e-AIR Balance Sheet Project Report and Form manager Software

Tax Suite application Income Tax :
Preparation of Trading, P&L Account, Balance Sheet, Multiple Capital Account, and statement of Affairs Computation of Income tax thereon taking Care of Statutory deductions, Set off of losses. Clubbing of Minor's income, Rebates etc., MIS Reports viz. assesses register, Filed Cases List, Pending Cases List, Returns to be Prepared, Refund Cases List, Advance Tax Register, Advance Tax Estimation Computation of Foreign Company And Non Residents And Trust Has Been Provided With Detailed Provisions. Report and Assesses without PAN, Automatic as well as manual calculation of interest u/s 234A, 234B& 234C. Client-wise backup and restore facility. Import Profit & Loss account and Balance sheet items, as required. List of MICR Codes Automatic Preparation of Return Forms viz. lTR1 to ITR8. Automatic calculation of Relief u/s 89(1) and Preparation of Form10E. Automatic Calculation of MAT and preparation of Form 29B.

Tax Suite application E-Filling XML file generation of ITR1 to ITR8.
Verification as per schema of File generated. Facility to view and edit the XML file in the Editor provided with unique line number search facility as well as normal find facility.

Billing and Accounting software
The main purpose of Billing and accounting application is to help management: To generate invoices raised on various customers, print invoices and recognize revenue. To perform day to day accounting transactions such as journal entries, cash payment, bank payments, receipts etc. To prepare financial statements at the end of month / year.

ICAI – ROC application The software provides a complete package to manage secretarial requirements & generates forms as per MCA21 requirements. It provides the facility to prepare Auto filing of eForms, Shares Records/Certificates, Meetings & Minutes, Resolutions/Drafting, Annual Return forms and maintenance of Registers and Reports. Its key features are as follows: Generation of forms as per formats and requirements of MCA. Pick up certain data directly from MCA website. (For eg, while creating a new company, provide CIN and click on auto fill. System automatically picks up the detailed record from MCA website. Similarly, once user specifies the DIN, system automatically picks up the detailed data about director from MCA website. Application provides pre-drafted resolutions. User simply need to provide the required data, system would generate the resolutions.
