Hutto ISD Athletic Event Workers Meeting August 9, 2016

Important Information
Important Information will be posted in the ticket booths Homecoming, HYFCA Night, Little Hippo Cheer Clinic, etc. UIL Passes Pre-sale tickets from other schools

Ticket Prices Adults - $8.00/$7.00 pre-sale
Student pre-sales at HHS Cafeteria during block lunch - $4.00 Presale tickets sold at Central Office Fridays from 8:30-4:00 Football tickets at the gate are $8.00 general admission (adults and students) Children under the age of 5 are FREE (5 years+ is school age)

Expectations All Friday night football workers are required to arrive by 5:45 p.m. Gates open at 6 p.m., we recommend to arrive in time to count cash/get set up All other game workers (volleyball, basketball, soccer, etc.) are required to arrive to work the ticket booth at least 45 minutes prior to game time Please be on time!

Expectations If you arrive late, we will replace you with someone else, it is a commitment. Wear your Hutto Spirit Shirt!!!

Money Jeffri Orosco, or another Business Office employee, will bring the money over for all the money boxes on Friday games Money bags for all other games will need to be picked up in the Athletic Office from Michelle, unless other arrangements have been made

Money Please take a moment to separate your money and organize your money box, especially for Friday night Football games If you need reorders, please call or text Jeffri or other Business Office personnel on duty Jeffri Orosco –

Deposit Workers at the ticket booths will complete a deposit slip and put it in the deposit bag and lock it, before it is picked up by Jeffri or other Business Office personnel and an HISD police officer

Concession Workers Football and Band Concession workers will already have received tickets to get in to the game from the Booster Club Presidents We are not responsible for keeping a list of workers Refer them to the Booster Club President

MS, JV, or Freshman Football Players
Their coach will have to meet them at the Field House gate at a certain time If they aren’t there at that time, they have to pay For Freshman and JV Football Games on Thursdays, Michelle will give stickers to players for their badge Badge with sticker must be presented to gain entry at gate

NO CHILDREN OR STUDENTS ALLOWED IN TICKET BOOTHS!

Employees All Hutto ISD employees may gain free entry to the game with their ID badge This allows the employee plus 3 They must have their ID badge to get in FREE!

Emergency Information
DO NOT HESITATE to call an a police officer or Administrator if an emergency shall arise Each ticket booth will be provided with a radio on Friday nights Please refer to the attached Emergency Contact Information Sheet

Reserved Seats These should have already been purchased by the regular season ticket holders Individual Reserved Seat tickets will be sold at the Athletic Office prior to 4 p.m. for Friday Night Football games for $9.00 each If they want the entire season, we will charge the $45.00 per seat, or the remaining balance depending on the number of games left All seats and rows are numbered and designated for season ticket holders

Bleacher Creatures T-shirts for bleacher creatures are purchased through their school’s PTA Dana Wilcott is contact for PTA Students (K-5) with the t-shirt get in free for home games WITH a paying adult, and they run through the tunnel on their school’s spirit night They will be instructed where to line up and where the parents will pick them up

Hippo Items, Shirts, etc. Athletic Booster Club has a Hippo Depot trailer set up at FB games to sell Hippo gear Check the Hipponation Store on the HISD website

Freedom Game August 26th Free admission for all Veterans, Uniformed Military and First Responders

Senior Passes Michelle Thomison will handle the distribution of the passes through the Athletic Office They must be signed by Coach VanMeter

NO BACKPACKS, NO SKATEBOARDS, OR OUTSIDE FOOD OR DRINK ALLOWED
NO BACKPACKS, NO SKATEBOARDS, OR OUTSIDE FOOD OR DRINK ALLOWED. WE WILL NOT STORE THEIR ITEMS IN THE TICKET BOOTH!

Parking Lot Attendants
Cones and signage will be placed by our Facilities personnel as soon as school is out on Friday If a parking lot attendant receives any negative comments from an official/district employee regarding preferred parking, please get their name and report it to Ed Ramos, Deputy Superintendent Visiting Team busses should park between the Field House and Gym SROs, Parking Lot Attendants, and HISD PD may assist in directing

Extra Duty Timesheets ALL athletic timesheets must be sent to the Athletic Office for Coach Van Meter’s approval This includes Parking Attendants, Game Workers, and anyone who works Extra Duty at Athletic Events Extra Duty timesheets must be turned in at least monthly

Include date of event, hours worked, and original signature Please put in inner-office envelope to Michelle Thomison in the Athletic Office (mailbox at Administration Office)

Extra Duty Timesheets Do NOT turn in your timesheets to your immediate supervisor Coach VanMeter is the only one who will be authorized to approve

Maintenance On-Call Need someone on-call should an emergency arise during an athletic event Plumbing issue, lights go off on field, leak in gym, etc. Michelle needs to know emergency contact prior to each game

If you cannot work your scheduled day and time, PLEASE, let Michelle Thomison know at least a week in advance All ticket and gate workers must be approved by the Business Office
