2 OVERVIEW The purpose of this presentation is to teach the campus about the new and improved Google Sites! Google Sites allows everyone to create a website without knowing how to code. Our goal is to empower you to maintain and create content on the campus site. We will be focusing on the proper procedures and processes for gaining and maintaining the campus website, given the proper template and guidelines to follow. Need to work on this slide, phrasing isn’t coming across correctly. Work on verbage and being direct.

HOME PAGE Navigation Bar Preview/Publish Site Insert Menu/Pages Menu Whenever a “New Google Site” is opened, the Home page is the first page seen. From this page, users can navigate to add content, pages, or text to existing site. See Slide 7 for more on the Insert Menu.

6 NAVIGATION BAR RES Information Services will provide a basic website for all campuses. . Pages will have subpages, as shown above with the drop down menu. From the HOME page, users can visit the ResponsiveED main page, as well as view other RES campuses. Apply Now button will redirect parents to the online application TIP: Ctrl + / will open a menu that can searched for all keyboard shortcuts available within each Google App. Click Here to view all available shortcuts.

8 ADDING CONTENT If Text box is the selected option, Sites automatically places it on the page. If Embed URL is selected copy & paste link into search bar and click add. TIP: By double clicking in the middle of any page it will enable the “Quick Add” menu.

9 ADDING CONTENT If Images is selected copy & paste, drag and drop, search or add image from Google Drive. If Upload is selected, the windows explorer will open and files can be directly added from the Desktop or My Documents.

10 ADDING CONTENT From Insert menu, attach something directly from Google Drive, or use the ability to embed a YouTube video, Campus Calendar, or Map. TIP: By adding from Google Drive, the feature will search through the entirety of the user's drive. If the needed document is specifically a sheet, it can be added from the Google Docs area, which will make searching and adding documents more efficient.

11 ADDING NEW PAGES From the Insert menu, click on Pages option. At the bottom of the list click the add page option and give the Page a name. After a page is created, a subpage can be created, to have nested pages within one. Editing the Home page and renaming is available.

12 EDITING TOOLBAR From the Edit toolbar, content can be altered by:
Text Size Text Alignment Hyperlink Delete Content Text Emphasis Bullets & Numbering From the Edit toolbar, content can be altered by: Text Size Text Alignment Text Emphasis (Bold, Italic, Underline, and Strikethrough), Bullets and Numbering Adding hyperlinks Deleting content Clearing Formatting TIP: Highlight text that is meant to be used for the link. Click on hyperlink button, copy & paste URL and click done. If clicked on, the link we reroute user to the correct page.

13 CONTACT FORM On the Home page and Contact page, there is an automated Google Form for prospective parents and students. Once the user clicks Submit, the information is then tabulated in a Google Sheet, that will be shared with the campus at the beginning of the school year.

PREVIEW Share with collaborators When site preview is selected, the website is able to be viewed in a “Live” desktop view. Meaning, it will be seen as outside users will see it. Undo/Redo Site Preview Available Views in Preview Mode: Smartphone View Tablet View Desktop View 11 2 3

15 PUBLISH Whenever ANY change is made to the Google Site, Google Drive automatically saves all changes, BUT for any changes to be visible to outside users, the site MUST BE REPUBLISHED. In the upper right hand corner is the Publish button. By clicking on this button the page is published with whatever changes that’ve been made to the Campuses site for all to see. Before EVER publishing, make sure site is previewed. Switch back and forth on the different views, (phone mode, tablet mode, and desktop mode) to make sure all edits are visable. TIP: ALWAYS preview site before publishing!

16 SECURITY ALERT ALL content on the Google Site is published unrestricted to the public. All content on the site: MUST BE SUITABLE FOR GENERAL PUBLIC CONSUMPTION. MUST NOT CONTAIN CONFIDENTIAL OR PERSONALLY IDENTIFIABLE INFORMATION. It is imperative that we communicate this information clearly and repetitively from this point forward. Campus publishers will receive an annual notice in addition to the notice received when granted publishing or collaboration permissions.

17 AFTER TRAINING After the Google Sites training has been complete, a folder containing the Google Site, Contact Form, Form Responses, and pictures used to create the site will be shared on Google Drive. After all documentation has been shared, the campus may start editing/adding content. Please be cautions whenever adding content from Google Drive onto the Site. If the content is moved within Google Drive, then within the Site there will appear to be a broken link. It is important to take the time to re-link those respective files within the Site.
