Budget Request Process

Steps to budget process:
April 6th- All clubs will receive an message through RoyalSync to go to their portal to fill out their budget Budget link will be under the “MORE” tab, go to “PAGES”, then click on the “BUDGETS”, thwen click “Budget ” Clubs then submit their budget by April 24th, 4pm Once a club submits their budget they will receive a submission confirmation with a link to sign up for a meeting with the SG Appropriations Committee Clubs meet SG appropriations committee April 25th-April 26th Some things to remember: Have your budget prepared at least a week before you receive your budget - this will leave you time to have questions answered before you submit your budget- (This means now!) Budget should be prepared by outgoing and incoming officers You may submit your budget early! Budgets will be accepted any time after you receive your budget link. On-screen demo led by Matt/Liz

Important Deadlines Community Service will also be due, April 24, 4pm
Not sure if you completed your CS? Your total can be viewed in your portal under the “MORE” tab- go to “Pages”, “Community Service ” Club/Appropriations Meetings with SG, April 25 - April 26, 4pm SG will vote on all budgets at the May 8th senate meeting Dr. McShea will review all budget allocations over the summer Clubs will receive their budget in August

SG Approriations committee will hold open office hours to answer your budget questions starting the week of April 6th : Mondays-Wednesdays-Fridays (10am-noon) Tuesdays-Thursday (10am-11am) & (6-8pm) Tricia O. Cummings, club/org office, DeNaples 205S is also avaible to help, Office hours: Mondays-Wednesdays (Noon-2pm) Fridays (Noon-4pm) **Or by appointment **

How To Fill Out Your Budget:
Enter the following: Event Name- i.e. Annual Conference Event Date Item column- what you need to purchase, i.e “plane ticket” Info column- explain purchase, i.e “2 plane tickets to san $479pp” “Requested” column- Total amount of purchase, i.e. $958 ($479 x2) Items will be totaled automatically Add any additional comments in comment box (blank box under each entry

Completing your budget (cont.)
Some things to remember: Items must be listed in the semester they will be spent (Fall or spring), we do not “move” requests once budget is approved. Adding notes in comment section helps student government understand your request- this allows student government to understand what you need and why you need it. Do not add or delete rows or columns!!!! Doing so will break your budget spreadsheet and your budget will not be readable when received

Examples of what we can fund:
Educational programs open and of interest to the entire University community Social events open and of interest to the entire University community Travel $ for intercollegiate events National/regional conferences

Examples of what we cannot fund:
Programs/activities resulting in personal financial gain for any member Food for meetings, as defined by Student Senate Direct contributions to philanthropies, charities, etc.

April 24, 4pm Club/Treasurer Meeting Sign Ups: You will receive a link to sign up once you submit your budget

This is your opportunity to Sell yourself and Sell your club events to SG Bring back-up documentation Such as: Speaker Bios Conference information Historical data about past club events
