15 Why is Writing a Good Report Important?
Persuasive communication is an essential skill for auditors at all levels and high-quality audit reports are a key communication tool Reports must be organized to reflect professional standards, elicit management action, and communicate crucial messages to executives and board-level readers A good report enables the writer to distinguish him/herself in their current position

16 The Report The SAR should:
Include all relevant observations and comments Contain only statements that are factually accurate and unambiguous Be objective and constructive Be useful for future benchmarking Provide specific recommendation for continuous quality improvement activities Be written in style which is clear, concise and readily accessible to its intended readership Provide professional judgement based on the format and scale provided Also see the ‘Don’t’ list

17 SA Manual: Criteria (See the separate list)
Criteria 1: Governance Criteria 2: Curriculum Content Design & Review Criteria 3: Student Admission, Progress and Achievements Criteria 4: Physical Facilities Criteria 5: Teaching - Learning and Assessment Criteria 6: Student Support Services Criteria 7: Staff and Facilities Criteria 8: Research and Extension Criteria 9: Process Management & Continuous Improvement

18 Analyzing the Criteria
Scope: what is the question here Evidence: data needed to answer the question Source: from where I can get the data How: means of accessing the data Who: people who can help/ source of data

19 GUIDELINES FOR SAR Criteria 1: Standard 1.9
Scope: To assess accountability and transparency of the program towards the students manifested through a specific published document Evidence: A comprehensive students handbook (undergrad and/or grad) in printed and/or electronic form containing mission, objectives, graduate profile, academic calendar, rules regulations and program related information + School/ Department brochures, booklets, newsletter Source: Dept office/ Dean office/ Registrar’s office/ website How: Physically go and collect from concerned office/ download/ request for one Who to consult: VC office/ (Registrar’s office/ Dean/ Dept Chair)/ Students and guardians

20 In-house Exercise In your SAC, review the Standards given to you in line with the previous slide – each member can choose any one standard given in the next slides Raise the main difficulties you may have with the Standards when writing the SAR (For example, lack of data, lack of documentation, lack of cooperation from colleague, staff) How do you plan to overcome these difficulties

21 1.7 Code of conduct for the students and code of conduct for staff members and disciplinary rules and regulations are well defined and well communicated. 1.13 Management of stakeholder’s feedback to get useful insights for the purpose of improvement in all aspects of teaching learning and research. 2.2 There must be a program specific body or committee with representation from the major stakeholders to take care of design and redesign of curriculum. 3.9 Student progress and achievement monitoring system is comprehensive enough to identify the students who are showing poor progress, who are not achieving and who are at risk. 4.2 The higher education institution provides and ensures access to the necessary information technology resources, computers, Internet, and other communication equipment for the teachers and students.

22 5.10 Assessment procedure must be designed to test abilities and skills of student for integration and application of knowledge and analytical approaches. 6.4 Career counselling and activities relating to placement of graduates need to be done on a regular basis under the management of a permanent administrative setup. 7.16 Evidenced and documented involvement of academic staff members in community services is considered as an integral part of the KPIs. 8.3 University should have a system and policy to disseminate and transfer the research findings to the industry and community through extension services. 9.2 The University or the entity conducts self-assessment following a cycle, develops strategic plan, identifies the limitations to implement the plan and adopts corrective measures for attainment of desired quality.

23 Let’s Draft Each of you draft a report for the Standard you chose following the dos and don’ts

24 Let’s Critique Select one of the reports written by your teammate, and two of you critique that Identify the positives first, and then suggests ways to improve it Improve the report Send all the three improved reports to I will provide feedback as well as share with the rest of us This will provide the basis for our upcoming training sessions and preparation of SAR

25 Organization and Structure of a SAR
A SAR is a self-reflective and critical evaluation of current state of QA practices in the programme The SAR should reflect to what extent each quality standard is met The universities and the program offering entities are free to adopt any organization and structure for the report as long as the information and the analyses regarding the different criteria and standards are explicitly present.

26 General Guidelines for Preparing a Good SAR (1)
The SAR should clearly describe the purposes and scope of self-assessment. provide QA related comprehensive information focusing on the strengths, weaknesses, threats and opportunities of the entity under assessment. But the volume of information and the report should be just enough. be accurate, clear and persuasive, and supported by facts and solid empirical evidences. be able to meet the needs and information requirements for strategic planning and resources allocation.

27 General Guidelines for Preparing a Good SAR (2)
contain sound arguments, be readable and formatted in such a way as to help readers to understand the contents with ease (e.g. meaningful headings /titles, written in clear and concise language with abbreviations and glossary). make recommendations for improvement that are practical in nature and limited to the more important issues so as to focus on priority.

28 Things to do Read SAM thoroughly, note down questions and share – by June Review the survey questionnaires thoroughly, note down questions/ modifications/ improvements and share – by June Start developing a departmental action plan keeping in mind the deadlines – by June Identify areas that cannot be addressed at department level, and need concerted efforts – by June
