DES – Improving Patient Online Access
…it is expected that by March 2015 everyone will be able to book GP appointments and order repeat prescriptions online and everyone who wishes will be able to get online access to their own health records held by their GP. However secure you think the data is it’s likely to seem to get a lot more insecure. We have around 5

What does this mean? 2013-14 Book Appointments on-line

Smartcards Don’t use part of card number, 1234, 1111, etc.
Don’t write it down – leave on display Consider – old phone number, first car registration number. Can be a word and numbers, just numbers or a mixture of letters and numbers. Show staff how to change their password themselves.

Clinical system Do your staff change their passwords regularly?
Do you force a password change? Do you always shut down PCs at night? Don’t use Password 1, or 2 or 3!! Don’t have a list – even one that is locked away!! Don’t have it written on a piece of paper stuck on the screen or keyboard!!!

Patient access Registration for on-line access – do ask for ID.
Patients registering partners – We don’t… Be prepared to help the patient get on-line the first time Issues for practice Not enough online appointments Queries with prescriptions Patients forgetting their passwords Apple Mac – Safari and configuration settings

Changes to be made to records before sharing.
3rd party details – any third party details should be redacted Data quality - If it’s wrong change it. Female codes on male records – delivery details on baby’s records. Unconfirmed diagnoses from discharge summaries.

Data sharing is here to stay
Check that your in-house processes comply with information governance requirements. Do all your staff know how to register patients for online services. Offer it to all new patients registering. Have posters around the public areas offering the service. Do check records and medications before making them available – they will let you know if they are wrong. Monitor the medication requests and respond promptly. Audit and monitor the patients use of the service.
