2 Purpose of Meeting To train each of you individually on your responsibility as a Commissioner Training on what must be done to fill your assignments in Scouting Primary role is to: “Serve as a Resource to Help Scout Units Succeed” “Register w BSA and Receive Required Training” “Provide initial orientation & instruction for units” “Report the condition” of each unit “Provide meaningful communication between Units and the BSA District” through “Roundtable & Leadership Meetings” “Establish a close relationship with Ward Scout Leaders and Interact with them regularly”

4 Commissioner Responsibility
A very wise man once said: “Performance improves when performance is measured and feedback given.” How do we measure performance in Scouting? What do we have that helps us measure performance and provide feedback to Scout Masters or leaders? How many golfers in the audience today or basketball players? What does the Scorecard or Scoresheet mean to the game? To teach all Commissioners how to measure Scouting Responsibility: One contact per month

5 Responsibilities Stake Young Men Presidency = Unit Commissioners.
Stake Primary Presidency = Unit Commissioners Stake High Council = Assistant District Commissioner All Commissioners need to report the “condition” of Scouting How do you do it? It is called a Unit Visit or a Contact Report It means as commissioners you should “contact”the Scouting Units on a regular or monthly basis.

High Councilors Aaronic Priesthood Assistant District Commissioner (ADC) Primary Stake Young Men Presidency Unit Commissioners (UC) Stake Primary Presidency Each person filling one of these callings in the LDS Church should register each year as a Commissioner This is a separate BSA application Registering with each Ward or Unit does not register you as a Commissioner It is a separate registration!

9 How to Register? If you are already registered in your Ward/Unit, then fill out the Adult Leader Application and use Position Code 91 Have your Ward/Unit Committee Chair sign it Have your COR/Chartered Organization Representative to sign it If you are not already registered in a Ward/Unit, then fill out the Adult Leader Application and pay fee to register If you register every year as a commissioner when the Unit/Ward registers, then there is no additional fee

10 What Are Commissioner Tools?
It is a toolbox with many tools Tools to help you as Commissioners Tools to help improve Scouting Units Tools to help Scout leaders be better prepared Tools when used properly will assist Scouts Tools only help if they are used Need to use the right tool at the right time

11 What Do I As a Commissioner Need to Do?
Visit Scout Units Unit Visits should be done on a recurring basis Using Commissioner Tools perform a Simple Assessment on each Unit in the Ward Using Commissioner Tools perform Detailed Assessments on the Unit in the Ward Unit Commissioners should perform these functions in Commissioner Tools on an ongoing basis Simple Assessments – regularly every month on a Unit. Detailed Assessments – twice a year

12 What Do I Do in Commissioner Tools?
ADCs or DCs should assign Unit Commissioners to Units Very important District Commissioners should report on visit with Assistant District Commissioners(ADCs) ADCs should report on their visits with Unit Commissioners Unit Commissioners should record visits or contacts Unit Commissioners should report on their visits with unit cub leaders, scout leaders, varsity leaders or venture leaders Provide a scorecard for unit evaluation Provide history of a unit performance

13 How to Get Access To Commissioner Tools?
Basic steps everyone must do to get access: Register, Register, Register as a Commissioner-Very important Go to my.scouting.org Create a login and password for my.scouting.org It typically takes minutes after password setup to get access Click on the “Home” in the upper left hand corner “My Dashboard” will appear General list of options: Commissioner Tools Commissioner Administration Training

14 Why Contact Reports? The mission of the Boy Scouts of America is?
Prepare young people to make ethical and moral choices over their lifetimes by instilling in them the values of the Scout Oath and Law. Unit Commissioners must help strengthen Scout Units to fulfill this mission Not all units are performing to the required level Assistant District Commissioners (ADCs) and Unit Commissioners must coach, train and teach Cub, Boy, Varsity and Venture Scout Leaders! How do you train if you don’t visit?

16 How to Navigate Commissioner Tools
Click on the District or Unit for which you are responsible Pack 0603 Troop 0603 Crew 0603 Snow Horse 07 There are multiple sections to open Commissioner Tools Commissioner Administration Training Manager Member Manager Any time you want to return to your Home or your dashboard just click on the symbol in the upper left hand corner

This is what you see when you select a District as a District Commissioner If you select a unit, you will only see the 4 or less Units in the charter 0083 To select a unit, put unit number in this box, “0042”, The system will pull up all units for 0042

19 Entering a Contact In Commissioner Tools, navigate to the Unit you wish to do a report on Select “New Contact “ Select “Type of Contact”- Unit Meeting default -asterisked fields required Select “Date of Contact” (Can load a date in the past) Select “Unit health” – choose “declined, improved or unchanged” Select either: “Simple Assessment” – monthly or regularly “Detailed Assessment”- twice a year Simple Assessment - Fast and simple way to record a unit contact Record concerns and/or positive ideas discussed Complete an “Assessment” with every contact Value of Assessment – measurement & feedback “Performance Improves When Performance is Measured and Feedback Given”

20 Completing a Contact Report
Select “Overall Assessment Score” 1-5 in half point increments Click on “Score” you desire to give the unit Select “Comments Box” Enter information on how service plan is being implemented Special needs Good ideas General observations Other relevant information Select “Save and Complete Contact” This completes a Simple Assessment System will return to Unit Screen Notice Health Score in Upper Right Hand Corner

Goal: High percentage of units with assigned commissioners Jim Bridger is at 2 or 0.7% Trapper Trails is very low, less than 25% Goal: High percentage of commissioners entering unit contacts Currently Jim Bridger is at 0 or 0% Should have 1 per quarter per unit of over 261 units Goal: High percentage of units with Simple Assessments Goal: High percentage of units with Detailed Assessments Currently there are very few in Trapper Trails
