Oklahoma City Community College Community Outreach and Education Off-Site Student Intake Objective: to explain enrollment procedures

3 When can students enroll?
Students can enroll the first class of each month. This is the designated “Intake Day.” No new students are admitted in December and May because there are only two weeks of class in these months. Exception: students are welcome to enroll for the first week of each semester.

4 What if a student comes on a different day?
A student who arrives on a day that is not an Intake Day is not turned away. This student is considered auditing. A student can audit only once. Write audit next to the student’s name on the sign-in sheet.

5 What if a student comes on a different day?
After class, talk with the student to see if the class is a good fit. If yes, complete and give them the card on the right. If no, look at the schedule and give the student a location that better fits their abilities. LIKE CHECK OUT DOWN HERE – DID YOU EVEN KNOW YOU COULD PRESENTATION NOTES HERE? 6 What documents do they need?
All students must have three documents: Enrollment Form (grant mandated) 2. Conduct Form (OCCC mandated) 3. Pre-Test (grant mandated)

8 Enrollment Form: A Closer Look
Students don’t have to have a ssn, but it makes more funding possible if they have one. Intake Date Students often switch the names Students often switch month and day Students often overlook gender Students often overlook disability

9 Enrollment Form: A Closer Look Part 2
Students must answer both #’s 1 and 2. If a student doesn’t know, you can make suggestions. We can’t answer for them. Students only check if applicable.

10 Enrollment Form: A Closer Look Part 3
Students sometimes overlook this section. It must be completed. Students must circle “Yes” or “No”. If they circled “Yes”, they must circle a barrier. Students sometimes don’t understand US Based and Non-US Based. This is on the back of the form, so it is easy for students to miss.

11 Enrollment Form: A Closer Look Part 4
The teacher checks ESL for the ESL class. The teacher is also responsible for: Class Location Circle Days Class Time: AM or PM Teacher: First and Last Names

12 Explain the conduct form to your students.
If students violate the conduct form, the teacher has the authority to remove them from class. If this happens, inform your supervisor immediately. Students sign, print their name, and date to show agreement.

13 The Best Literacy is a reading and writing English language exam.
Pre-test The Best Literacy is a reading and writing English language exam. Students have 1 hour to do their best on the test. No phones, dictionaries or friends. Students can use unmarked rulers, magnifiers, or colored overlays if needed. Nieto Elvis O. 1/10/2017 your location your name, class day, and class time

14 While they test… While students test, double check their enrollment documents to make sure no piece of information is missing. If a student is missing something, don’t be afraid to interrupt their test to get the missing information. NEVER MARK SOMETHING FOR THE STUDENT no matter how obvious the answer is.

15 Where do I send the paperwork?
Put students’ enrollment forms and conduct forms together and place them inside the corresponding test booklet. Put the booklets in alphabetical order. Complete a Test Log List (on the right). Put everything together with the Test Log List on top. 1/10/17 Nieto Elvis O X 1/10/17 Patel Lakshmi X

16 Putting All the Paperwork Together
Paperwork must be turned in before the end of the week. Paperwork can be: Mailed into the office c/o your supervisor to 7777 S. May Ave., Oklahoma City, OK Dropped off in person into the SETA box in Workroom 77 at the Family and Community Education Center.
