Faculty Advisor Definition
Faculty Advisors are faculty members or research program directors who agree to serve as the faculty advisor to a student or postdoctoral researcher. They are an active mentor to the student and share responsibility for the ethical conduct of the research and compliance with applicable laws, regulations, and CUNY policies. Adjunct Faculty may also serve as faculty advisors as this role is determined by each college and academic department.

Ethics and Compliance Prior to the student’s or postdoctoral researcher’s involvement in human subjects research the faculty advisor or research program director is responsible for: Discussing general principles of research ethics with the student; Discussing the principles of the Belmont Report with the student or postdoctoral researcher with the intent of guiding the student researcher in the ethical conduct of research involving human subjects; Ensuring that the student researcher is familiar with any federal regulations, state laws and CUNY policies that are applicable to his/her research; Assisting with determining whether or not student research requires CUNY HRPP/IRB review and approval; and Guiding the student researcher through the IRB application and review process.

Research Design and Planning During the research design and planning phase, the faculty advisor or research program director must: Assist students in designing a research project that is appropriate to the student’s level of training and experience; Ensure that the student allocates sufficient time to obtain HRPP exemption or IRB approval, as appropriate; and Oversee the student’s preparation of the HRPP or IRB application. A clear, concise, consistent, and complete application package will result in a more efficient process. Oversight The faculty advisor is responsible for monitoring student and postdoctoral researcher’s progress so as to ensure that: The research is being conducted in a compliant and ethical manner; All modifications to the HRPP exempt or IRB approved protocol are submitted for review and approval prior to their implementation; Any unanticipated problems or adverse events are reported to the IRB in accordance with CUNY HRPP Policy; A complete and accurate Final Report is submitted to the IRB at the conclusion of human subject research activities.

During the conduct of the research the faculty advisor is responsible for ensuring that the research is being conducted in compliance with applicable federal regulations, state laws, and CUNY policies. Additionally Faculty Advisors must ensure that the research is being conducted in compliance with the CUNY UI IRB Approved protocol and any stipulations imposed by the CUNY UI IRB.

Tips for Faculty Advisors
In order to ensure research compliance Faculty Advisors should do the following: Establish a Communication Plan with Students – It is recommended that faculty advisors and students meet regularly to report their progress and to address any issues that may be occurring in the research. If the student is conducting fieldwork there should be additional communication procedures in place in case problems occur in the field. Take an active role in mentoring students – If a faculty member actively mentors/supervises students throughout the research process this greatly reduces the review time it takes for a project to be approved and greatly improves the chances of a quick and efficient review process. Also, a strong student/advisor relationship will greatly reduce the likelihood of non-compliance. Allocate Adequate Time for Student Advisees– depending on the number of students being advised faculty advisors must allocate time to individually address student questions/issues. Know the levels of IRB review (Exempt, Expedited, Full, or Non-Human Subjects Research) – Advisors must be informed and know what projects constitutes human subjects research and must be reviewed by the CUNY HRPP/IRB. Anticipate the time required for students to secure IRB approval and conduct research.

HRPP Services Application Assistance – This includes assistance with the development and submission of an IRB Application on IDEATE our on-line system. HRPP Liaisons and Assistant are available to assist researchers with the development of their proposals. Please go to our website and click on the Investigators Assistance link for further details. Departmental/Classroom Presentations – The HRPP Office will conduct department/classroom presentations in consultation with departmental chairs , faculty members, and instructors. Please contact the HRPP Coordinator, who will assist with setting up a presentation. Guidance regarding HRPP Policy and Procedures – The HRPP Coordinator will assist researchers with interpreting CUNY policies and procedures to ensure compliance. This includes but is not limited to assisting investigators with determining whether or not their project requires HRPP/IRB Review, assessing the level of review, or navigating researchers through the CUNY IRB process.
