Alma Implementation Project Key Performance Indicators
Vision Advance Harvard Library’s ability to manage large scale library collections including print, digital, and licensed electronic resources by migrating to a next generation unified resource management system with advanced workflow capabilities, innovative analytics tools, and greatly enhanced support for collaboration within and across research institutions. Alma Implementation Project Configure Alma and migrate data from Aleph/SFX/Verde to Alma by July 2018 Improve information discovery and access for library patrons Renovate library workflows to increase efficiency in “backroom” library operations Optimize use of analytics to empower staff to make informed decisions Strategic Objectives Guiding Principles Key Performance Indicators Improve user experience through adopting common practices across Harvard libraries Enhance library services by leveraging shared approaches and minimizing custom developments Review all library workflows and engage staff in process of transforming work using new tools and approaches Successful migration of relevant metadata from Aleph/SFX/Verde to Alma Streamlined, predictable access to library collections result in increased user experience and satisfaction with library services New “backroom” workflows achieved by engaged staff, with minimal system customization University-wide adoption of analytics tools enable staff to make evidence- based decisions on collections, processing workflows, and library services

Alma Project - Timeline
Phase 1: Planning and trials (February – June 2017) – includes pre- testing of the system, which includes trial data migration and configuration/functional testing Phase 2: Implementation (July 2017 – June 2018) – comprehensive configuration, data migration, and workflow redesign Phase 3: Post-Implementation (July 2018 – December 2018) – refine features, workflows, address post migration issues.

Alma Project – Project resources
Project funding - $3M over 2 years LTS staff – 7-8 FTE Total Harvard staff involved: 80+ Added project staffing – 7 FTE (3.5 for 2 years) Substantial engagement from ExLibris (vendor) 12 Project teams that cut across library functional areas plus technology, training, communications, and an Exec oversight team

Alma Project – HUIT/CADM help needed
The core library system interoperates with a variety of systems at Harvard: Hkey integration/Directory Services Load - “patron file” Accounts Payable – most library collection purchasing runs thru Aleph Accounts Receivable – library fees and fines Term bill – library fees and fines Support services - helpdesk
