2 myLegion is a free, secure internet site that provides access to member information and electronic communication tools. myLegion is the interactive aspect of The American Legion website. It is free to access and provides member’s information and electronic membership tools to communicate at different levels of The American Legion.

myLegion Access through MYLEGION.ORG Access myLegion through the homepage of The American Legion website at: MyLegion can be accessed through National Headquarters' website The myLegion.org link will take you to myLegion home page. Notice, there are also links to The American Legion’s social sites such as face book and twitter, find a post, service officers, legion.org, baseball teams, and mySAL.org. Legion.org is a public web page so you do not have to be a member to search this site. We will see shortly how the Find a Post (or post locator) is related to myLegion. You can also go directly to the myLegion page by typing in the address box.

6 Available myLegion Sites
Member = Individual member only Post = Post and Squadron membership Administrator – Post Adjutant County = All Posts within County (View only) Administrator – County Commander District = All Posts within District (View only) Administrator – District Commander Department = All Legion and SAL Administrator – Department Adjutant / Commander Currently there are 5 available myLegion sites. Member, Post, County, District and Department. The amount of data accessible varies upon each level. The member will only see their member information. Post access will provide Legion and SAL data for all members of the post/squadron. District and County contains data for all posts within their area and Departments have access to all Post and Squadron membership. Only post and department levels have Edit capability. Members can update their own information.

myLegion Administrators Member = Individual member Post = Post Adjutant County = County Commander District = District Commander Department = Department Adjutant ONLY THE SITE ADMINISTRATOR WILL BE PROVIDED WITH THE USER NAME AND PASSWORD IF LOST OR FORGOTTEN. Each site is assigned an administrator. The administrator of the site is the only person who will be provided the user name and password if it is lost or forgotten. FAQ: Why only one administrator per site? My Post Adjutant doesn’t work membership. Answer: Because myLegion is a secure site that includes personal membership information such as address, Date of Birth, address, etc., it is important to maintain once source of control. The Post Adjutant’s manual states that “The adjutant keeps membership records and minutes of meetings, checks up on and assists the work of other officers and committees, and publishes official orders, announcements and instructions.” (ref. Page 3, 2014 Adjutant’s Manual) Therefore, the adjutant is the administrator at the post level. At the District / County levels, Commanders have the responsibility for providing the link between individuals, posts and department. (ref. Page 3, 2014 District/County Commander’s Manual) Commanders are responsible for assigning responsibilities to other officers. However, National only records Commanders at the District/County level.

8 POST/DIST/CTY/DEPT LOG IN PAGE
myLegion POST/DIST/CTY/DEPT LOG IN PAGE This is the log in page for Posts, Districts, Counties, and Departments. Once the request is processed by National staff an is sent to the contact to register the site. During the registration process a user name is assigned and a password is created by the user. After the myLegion site has been registered you will enter the user name and password and click on the Log In button. Once you register you will not have to re-register. As new officers are assigned the site will transfer from the old officer to the new officer upon logging in. FAQ: The previous administrator doesn’t know the user name and password / the previous administrator left and cannot be reached, how do we get the user name and password? Answer: Call National’s customer service toll free number and ask for myLegion assistance. NOTE: The user name and password will only be provided to the site administrator. The administrator must make the call even if he/she is not the actual person who will be using the site.

9 myLegion Welcome to myLegion.org’s Home page for post officers! ***The bulletin board allows National to post information on the site such as frequently asked questions, new features, maintenance alerts, etc. This bulletin board will be updated periodically. This provides national staff the opportunity to display any maintenance alerts, new features, etc. ***Notice the top tool bars Legion, SAL, Downloads, Contact Us, My Account and Log Out. Clicking on one of these options takes you to a different area of the site. Example: the download area provides reports. ***The Home page opens on the Legion database options. The left hand column provides the general tools available. This screen shot is from the Post site. District and County sites vary slightly. Now let’s look at the available tools from the Legion area.

10 Member / Post Processing
myLegion Member / Post Processing Member Search In the Members/Post Processing section you can: 1.) look up members and access all membership information including payment history. 2.) Submit the data change form electronically such as address and updates. However you cannot transfer, add or renew members through myLegion. These transactions must be submitted through the department headquarters. 3.) View and print reports for members who have renewed online. 4.) Post inquiry provides information on file for the post. 5.) Submit their Consolidated Post report electronically. And 6.) view members of your post who have created a myLegion member page. 6.) Quick link to Paid Up For Life (PUFL) application. Not available on the District/County level. The member/post processing section is where you will search and edit member information, produce online renewal reports, look up post information, link to CPR report and view other myLegion users. *** When searching for members there are 3 options. Selecting List All Members will display an alphabetical listing for all members. You can also search members by ID# and Name.

11 myLegion LIST ALL MEMBERS undeliverable Y Does not provide print roster from this screen. Rosters and reports are available in the Downloads area. Here is an example of List All Members. It displays a listing with the members ID#, Name, Status, Last Paid Year, Membership Type, and Undeliverable status. Please note the UN column refers to Undeliverable. If there is a Y in that column than that person is currently not receiving any mail -- magazine, renewal notices, etc. Correcting the address through this site will remove the undeliverable flag. If you have verified the address is correct than you should call National Customer Service to remove it. The myLegion site does not provide access to simply remove the flag. *** The List all Members tool is designed to assist with membership look up. Rosters are not printed from this screen. Rosters are available in the downloads area. *** Notice the ID# is in blue. That is referred as a hot key and clicking on a hot key will provide more information. To view additional membership information click on the Member ID#. NOTE: If a Paid up For Life Members (PUFL) member is marked undeliverable you CANNOT make an address correction electronically. PUFL members in undeliverable, cancelled or deceased status cannot be updated through myLegion. Contact our National Customer Service for those updates.

12 myLegion There are four sections to Member Information. The Member information section displays standard data national maintains in their membership system.

13 myLegion Selecting Payment History displays payment history back to 1991 when National’s membership system was converted. Payment history includes any donations as well. This can be useful if you are researching continuous years.

14 myLegion Offices/Commissions displays any offices held on file at National Headquarters. Please note that National does not record all officers at the Post/District and County levels. FAQ: What officers does national track? Answer: Post Adjutants and Commanders. District Commanders. County Commanders. Department Adjutant, Commander. All National Officers, Commission and Committee members. FAQ: What if the officer on file is incorrect? Answer: All officer updates must be submitted through the department.

15 myLegion The Data Changes section lists any changes applied to the record. Select Stat in the left column to display comment detail. This comment detail will provide the date and source the change was made.

16 myLegion To Edit membership information click on the Edit Data button to open the Member Data Change Form. Going back to the Member Information screen you can edit member information select the Edit Data button. This will open an electronic data change form.

17 myLegion The member data change form allows you to make changes such as name, address, address, continuous years, dates of service and Branch of Service. You can also mark members as deceased. However, if a member is flagged as deceased and you have verified they are currently alive, you must call our customer service toll free number to take the flag off. myLegion does not allow users to remove the deceased flag. Also, if a Paid up For Life Members (PUFL) member is marked undeliverable you CANNOT make an address correction electronically. PUFL members in undeliverable, cancelled or deceased status cannot be updated through myLegion. Contact our National Customer Service for those updates. To submit changes select the ***Submit Changes button. Address updates will be run through a standard USPS Group One software to assure address standardization is applied.

18 myLegion Another way to open the data change form is to go directly to the members record if you know the member’s ID#.

19 myLegion If you have changes to make and know the member’s ID# you can bypass the Member Information Page and go directly to the Data Change form. This tool will bypass the member information page and go directly to the Data Change form.

20 DATA CHANGES ARE AVAILABLE FOR POST AND DEPARTMENT LEVELS ONLY.
myLegion DATA CHANGES ARE AVAILABLE FOR POST AND DEPARTMENT LEVELS ONLY. DISTRICT/COUNTY SITES HAVE VIEW ONLY ACCESS. Data changes are only available at the Post and Department levels. Districts and Counties cannot edit member’s records.

21 myLegion Select the Review Member Changes option to view, edit, or cancel pending changes. This area only stores pending changes. Once these changes have posted in National’s database they will no longer appear.

22 myLegion Updates post at 5:00 pm EST All changes are forwarded to the Department Headquarters. NOTE: Transfers and New Member transactions must still be submitted through the Department at this time using the paper MDF or paper cards. Updates post at 5:00 pm EST every night. After the updates post on National’s system the record will no longer appear in Review Data Changes. Once these changes have been posted, your department headquarters will receive a weekly data update file that includes changes submitted through the site. However, new member and transfer transactions must be submitted directly to your department and are not available through MyLegion portal.

23 myLegion The next tool is Members Renewed Online. This tool allows you to view all members who have processed their renewals online rather than through the post. Post Officers can keep a record of online renewals to send members their current membership card in a timely manner. This tool is also available on the District and County sites.

24 or next month Move to previous myLegion
A search page will appear to enter the data range. Using the calendar buttons, enter the date range you would like to view and Search Results. ***To change a date click on the Calendar icon. To move to previous or next month click on the light grey boxes. It is suggested to use this tool on a regular basis rather than waiting on notification from the member or department.

25 myLegion A list of members who have renewed online will appear. This list provides the renewal date as well as dues allotment a the National, Department, District and Post level. Posts will be receiving their dues directly from the department via credit or check. It is determined by the department how to distribute post dues. ***You can then generate reports in either PDF or CSV formats.

26 Report Options PDF – Portable Document Format Print only.
myLegion Report Options PDF – Portable Document Format Print only. CSV – Comma Separated Value Allows report to be opened in other applications such as Microsoft Excel and Access so you can work with the data in the file. myLegion provides reports in the following 2 formats. 1.) PDF. This is a Adobe format that only allows you to save and print the report. This format is valuable if you are wanting to send it to someone via ) CSV. The comma separated format can be opened in database programs so you can actually work with the data to produce custom letters and labels. If you need help with using the CSV format you can click on the help tool How to Import a CSV file into Excel.

27 Members Renewed Online - PDF file format.
myLegion Transaction Date Renewal Year Member ID# Name Total Dues Total # Members Renewed On-Line National/Dept/District/Post Dues Allocation Sample PDF. This report can only be printed. This report displays the transaction date, renewal year, member ID#, total dues, total # or members on report and dues allocation. You may see an asterisk next to a member’s name. This indicates that the member was in expired status at the time of their renewal.

28 Members Renewed Online - CSV opened in Excel
myLegion Includes addresses for custom letters/labels. Here is an example of the CSV file format that has been opened as an Excel file. The CSV file includes the mailing address. Using this data in other database applications allows you to work with the data like creating mailing labels or custom letters. This can help if you have multiple renewals.

29 myLegion Next we will look at the Post Inquiry tool.

30 myLegion Post Inquiry Displays information on file at National Headquarters. Updates cannot be made to post information. To correct information listed, contact your Department Headquarters for the post certification form. It is important to have correct post information on file at National. This information is displayed in the Find a Post from ***The Dues Information area is also very important to have accurate. The information in this area will appear on renewal notices and the dues posted are what will be collected when members renew online.

31 myLegion The next tool is the Consolidated Post Report or CPR.

myLegion Consolidated Post Report (CPR) Available February through *July 1. Complete in sections. Departments Receive Copy. Displayed on Member myLegion page. Districts/Counties can view and print all reports submitted by their posts. Submit your Consolidated Post Report on-line. This option is available from approximately February through July 1. National enters CPRs until all mailed forms are entered. The electronic form will be available until all entries are completed. However you will want to check with your department for their reporting cutoff dates. The electronic CPR can be completed in sections. National s all submitted CPRs to the appropriate department. The CPR is also linked to the myLegion members page thus allowing them to see what activities the post supports. Districts and Counties can view and print submitted reports from their sites. FAQ: Why isn’t the CPR available to enter sooner than February? Answer: Each year the CPR is modified by National’s Membership Division. Once the modified form is submitted to IT, it will be posted to the site and made available.

33 myLegion The CPR will look like this. To enter data go to the section you want and select Edit.

34 myLegion Now the Americanism section is open to enter data. If you do not see all line items, you may need to adjust the Zoom settings on your internet browser. Once you have entered your data, click the Update button to save entered data and Escape key to exit. If you exit out of the page without hitting the Update button, entries will not be saved.

35 myLegion Once you have completed the CPR, click Save and Submit. This submits the report to National Headquarters. However you can go back and make more entries until the close of reporting. Each time you submit the report it will replace the previous submission. After clicking Save and Submit *** you can generate a PDF report to save and print. FAQ: Can we get past CPR reports? Answer: No, only the current year report is available. National does not store past reports. Check with your department for previous year reports.

myLegion Registered myLgn Members / myLgn Posts Displays all members within the post that have created a myLegion site. Districts/Counties can view all posts within their area that have registered. Registered members display all members of your post that have created a myLegion Member site. District and county sites can view all posts within their area that have created a post site.

myLegion Report Server Report Server Reports/Labels Print mailing labels and reports from the new Report Server. Report Server now allows easy label printing options and reports that can be exported to other applications.

Post sites only To create mailing labels select Legion or SAL. Labels must be created separately. Select Labels for either Legion or SAL members. Labels must be created separately.

Designate last paid year. Select the desired criteria. You can designate labels based on last paid year.

Designate address type. This allows you to exclude foreign addresses. Once you have selected the last paid year, select address type. The address type will be either US Domestic or Foreign. To exclude foreign address labels to be created, uncheck the Foreign option.

Designate sort by requirements. Click on View Report. You can sort the labels by last name or zip code. ** Once you have selected your criteria, click on the View Report button.

Report renders one-column but will print 3-across 30/sheet. The report will render one-column when viewed. It will export to a PDF 3-across, 30/per sheet labels which is the most commonly used label.

Use the Export icon to and select PDF to create labels. You can also export the file to other formats. Use the export icon and select PDF to open labels as a PDF document for easy printing. You can also export the mailing data to other applications such as Excel and Word.

Select zip code(s) – all state zip codes available Target Transfer Post – designated post to transfer into Target Post Information – editable information for letter Other Legion Family at Target Post – select what other American Legion family your post sponsors. Results for current members only. Export to PDF or Word document Select the search area criteria and use custom fields to add personalization to your letter. This report pulls current members belonging to the state headquarters post. Search for members: Select the zip code(s) to search for members in the headquarters post. Target Transfer Post : Post contacting the member to transfer Personalize letter: Post Address – Displays top of page Post Rep – Signature block on letter Title – Displays above signature block Other Legion Family: Add to letter other Legion Family affiliated with your post. No labels needed! The letter will include the mailing name and address at the bottom of the letter so it folds to fit inside standard #10 window envelopes. Export letter to a PDF file and print using the Export icon.

55 myLegion The letter will include information selected. **Notice the 3rd paragraph. This paragraph includes the organizations your post supports. If None is selected, the first sentence of this paragraph will be excluded.

The bottom of the letter includes a signature block requesting transfer into the target post. NOTE: This letter does not replace the Data Change Form currently used to transfer members. Continue to complete the form, write “per member’s request” on the form and attach a copy of the letter. Transfers continue to go through the state headquarters. The letter also includes information currently on file at National Headquarters. This allows the member to correct any information needed. It also includes

myLegion Creating Reports Project Stay Active by Area Americans are on the move, and Legionnaires are no exception. National Headquarters’ Project Stay Active helps local posts maintain contact with members who move into your area. When moving into your area, the post should contact and welcome the member to the area. This is an ideal time to offer assistance and to invite the member to visit your post. In many cases, the Legionnaire may wish to transfer membership to a post in the community. As may be expected, some of these Legionnaires are involved in temporary moves, some may have a life membership “back home,” and others may have sentimental feelings toward their hometown post. However, many of them will be receptive to an offer to transfer to your post when asked.

Select the zip code, distance, and # of days from the date the address change was entered. Select the zip code, distance and days back of the reported move. This report allows you to go 45 days back.

myLegion Tools Tools Publish Post Message Publish Post Image Publish Newsletter Find Members in my Area Global Member Lookup * * The tools section includes publishing tools to post a message, upload an image or picture that will appear as their page profile in the chat forums, and create and upload a newsletter. The Find Members in my Area helps identify potential members by retrieving lists of Expired and DMS members eligible for transfer. The Global Membership lookup allows you search any member using their ID# or name and post to assist with member transfers and SAL and Aux eligibility. The District and County site has the same tools with the exception of publishing message and newsletter. The next section to cover is Tools. It includes Publish Post Message, Image, Newsletter, Find Members in my Area, and Global Member Lookup. *** Publish Message and Newsletter is only available at the post level. * Post and Dept Only

The newsletter is also linked to the post information from post locator tool.

67 myLegion Images must be in JPG or GIF file format. Use the Browse button to locate the image and select Upload File.

68 myLegion Create a newsletter and save it as a PDF. Use the Browse button to locate the PDF and select Upload File. The newsletter is a great place to add your monthly calendar.

69 myLegion MEMBER PAGE Here is an example of a myLegion Member’s page. Each tab directs the member to information about The American Legion. This site also provides post, department and national contact information. The newsletter published from the post site can also be viewed from the myLegion member page.

70 myLegion Publishing tools from the post myLegion site can also be seen on National’s site In the upper right hand corner this search tool allows anyone to search for a post by city, state, or zip code. ***Once they find your post they can view your newsletter or click on the link for more information. To view the published image and message from the post site select the More Info link.

71 myLegion Here is where the published image and message are displayed. Also displayed is post information including post officers, dues and dues remittance address. Please note it is important to have post information correct as it is published on a public webpage.

myLegion Tools Tools Publish Post Message Publish Post Image Publish Newsletter Find Members in my Area Global Member Lookup In addition to the on-line communication tools, post officers can now use information stored on national’s database to assist them with locating expired members and members who have joined through Direct Mail Solicitation (DMS) but have not transferred to a local post. This tool is called Find Members In My Area.

73 myLegion Selecting Find Members in my Area opens a window to enter a zip cod and mile radius to search. You can only go up to 99 miles and the results will only generate the first 500 records. FAQ: What if I want to do multiple zip codes? Answer: You can only search one zip code at a time. However the report will include all zip codes within the radius search. The search will NOT however, cross state lines.

74 myLegion When you select search a listing will appear with basic information. ** Use the report options to print a listing. Click on the Generate PDF button to create a printable report. If you would like to work with the data in an Excel or Access database program, select generate a CSV file. Notice you can select “Using CSV files” to assist with this format.

75 myLegion PDF and CSV Files provide the following information to assist with contacting the member: Member ID# Name Address Branch of Service War Era Phone Number Last Paid Post Last Paid Year Continuous Years # Miles from search Address (CSV only) Information in the PDF or CSV file will include: Member ID#, name, address, branch of service, war era, phone number, last paid post, expiration year, continuous years and number of miles from the search and address. The PDF does not include the address.

Complete the transfer by filling out a Member Data Form and send to your Department. Using data from Find Members in my Area is a proven membership tool. Many posts have increased their membership by contacting these people. Now that you have the information --- make contact!!! Knock on the door, phone, or send them a letter. Convince them why they should belong to your post, then complete a transfer by filling out a member data change form and send it to your department. Transfers must be submitted through your department and cannot be filed electronically.

myLegion Global Membership Lookup Search basic information for ALL Legion members to assist with transferring members and verifying eligibility for people wanting to join your SAL Squadron or Auxiliary Unit. This tool will allow you to look up basic information for ALL Legion members (regardless of Department) to assist with transferring members and verifying eligibility for people wanting to join your SAL Squadron or Auxiliary Unit.

96 myLegion In the Membership Reports and Files folder, you can generate a current membership roster and Expired, Deceased, and Undeliverable listings. These reports are only available in PDF format. There is also a Current Paid listing available in both PDF and CSV formats. The All Members LGN and SAL can be downloaded in a CSV file format so you can work with the database. These listing include all data including current, expired, deceased and undeliverable. ***If you need assistance with the CSV format, refer to the help documentation by clicking on “Using CSV files”. These CSV files produce data for all members, including expired, deceased and undeliverable. Using the CSV file allows you to open the data in an Excel spreadsheet so you can actually work with the data such as sorting, filtering, and merging to create letters or labels. To find more information about using the data in Excel click on the “Using CSV files” link. To help identify dual members you can create a CSV file that will indicate possible Legion/SAL dual members.

Here is an example of a Current Roster. Rosters include current membership year minus 2. As an example, 2015 membership year will include last paid years 2015, 2014, and 2013 on the roster. The roster printed from myLegion is current with what has been processed at National Headquarters. The PDF listings look similar to the green bar roster received quarterly. Since the file is in PDF format, this listing can be printed or easily be attached to an .

98 myLegion Current Paid The Current Paid reports lists only the members who have paid for the current membership year. This is only members who have paid to your post. If you have members who have transferred into your post but paid at their previous post, they will not be included in this report.

99 myLegion All LGN CSV Member ID#, Status, Name, Address, Phone #, Address, Date of Birth, War Era, Expiration Date, Continuous Years, Renewal Date, Last Activity Date, Join Date, Last Paid Year, Branch of Service, Environment, Undeliverable. Selecting the All LGN or All SAL CSV will produce a report that includes multiple data about each members such as Member ID#, Status, Name, Address, Phone #, Address, Date of Birth, War Era, Expiration Date, Continuous Years, Renewal Date, Last Activity Date, Join Date, Last Paid Year, Branch of Service, Environment, Undeliverable. Using the CSV allows you to open the database file in Excel or Access so you can work with the data such as creating labels or custom letters. Help tools for using CSV are available that will assist with editing, sorting, and filtering in Excel.

104 Post/District/County Order Processing
myLegion Post/District/County Order Processing Complete an Authorization Form and return to National HQs. Posts/Districts/County authorization forms are available at Mail or Fax form to National for processing. National will verify officer signature and obtain authorization from the department. Once authorization is received by the department, an will be sent with registration instructions. Before Posts/District/Counties can create a site they must first submit an authorization form available at and then mail or fax it to national for processing. When the form is received by National staff they will verify the signature on the form, or if needed, work with the department to update. Per Resolution, National will not send out data without approval of the department and national adjutants. Once both authorizations are received registration instructions are ed to the contact on the order form. Generally processing requests take 1-2 business days depending on the volume of orders and response time of authorizations.

105 myLegion Access Information The user name is provided during registration and you will create your own password. Only one user name and password is assigned per site. If the user name or password is forgotten you must contact National Headquarters. Forgotten or lost login information will only be provided to the current Post Adjutant or District/County Commander. During registration a user name will be assigned. Only one user name and password is assigned per post/district or county. If the user name or password is forgotten the site administrator must contact National Headquarters. The Post Adjutant, District Commander and County Commander have been assigned as administrators of the site. Therefore, forgotten or lost login information will only be provided to those officers.

Legion Members only Members can create a myLegion Member page without an authorization form. To create a site, you will need a 9-digit membership ID# and be in current status. This site is for Legion members only. New members that have a temporary number will not be able to sign up until they know their permanent ID#.

The member log in page looks like this. All members with a 9-digit membership ID# can register a member site. There is no authorization form required prior to setting up a member site. To create a site begin by click on the link in the lower right corner. Once you are registered you will enter your address and the password created during the registration process and Log In. NOTE: this log in also logs you into legion.org. FAQ: What about new members who have a temporary ID#? Answer: A 9-digit membership ID# is required to create a member page. These numbers are assigned once National processes their membership. Members can call our customer service number to obtain their assigned membership number. FAQ: Can SAL members create a member page? Answer: Not at this time. Member sites are only available for Legion members.

110 myLegion MEMBER PAGE The members home page provides post, department, and National information. Members can also have quick access to Legion newsletters, charities, and member discounts. The member can also update information from this page using the ** Edit Profile button. Updates on this site will be posted on National’s database. If the member is set for renewal, they will be able to renew and print their current membership card through this page. FAQ: Why is the calendar tool no longer available? Answer: This tool was having very little usage among post users. It was not a effective tool and will not appear on the new myLegion Member page that is being designed. It is suggested to place calendar events in the published newsletter.
