6 What to Expect during Transition
HUIT Provided Resources On-site resources work directly w/FAS dept. contacts to organize the conversion Ensures department goals are being met for the project Coordinates network and building walk-throughs Manages vendor resources for station reviews, set placement and number porting Provides support to end users during conversion Conversion Process Desk phone is placed one week before conversion (desktop plugs into the phone) Users configure their new voice mail box and download soft phone on devices (optional) Telephone number “ports” to new service at 7am on the conversion date (up to 1 hour outage) HUIT and Vendor staff on site during conversion day Communications & Education Communications Outreach Plan creates awareness, engages community and informs on conversions Program brochures, building posters, leave behind cards and quick reference sheets Instructor led and Web-based classes Program Website phone.harvard.edu

Harvard Phone FAS Engagement Council Meets monthly since Feb, 2015: guides planning, provides input on service development and impact, and helps guide the implementation processes Communicating Early and Often HUIT Local Implementation Manager and local FAS Contact to inform, educate and set expectations for service delivery Securing Conference Rooms Early for Education/Classes To help ensure high participation in education and classes, local to buildings Understanding special building or office access requirements Particularly with faculty offices and secure areas
