REGION DIRECTORS RESPONSIBILITIES & PROCEDURES

2 REGIONS There are 7 regions in Florida
Each Region Director represents one (1) of those regions and is elected to a two (2) year term Region Directors-Elect serve for one (1) year before taking the position of Region Director Region Directors-Elect will move into and complete the Region Director’s position if the Region Director is unable to finish their term. They will then complete their term as Region Director.

RESPONSIBILITIES Assist the Region Director in promoting membership and planning the Region Seminar Attend FSNA’s Leadership Training in June Attend Board meetings, FSNA Annual Conference, and House of Delegates (as a non-voting member)

4 REGION DIRECTOR RESPONSIBILITIES Promote the Association’s Initiatives
Know and express the views of the local chapters in your Region when evaluating or voting on issues at meetings Communicate, assist, and share ideas with the local chapters in your Region Promote membership in the Association Some of the main responsibilities are: Association’s Initiatives. What does that mean? (Explain) Know what the chapters think when there are issues that need to be discussed It is important to get to know the chapter presidents in your region. The better you know them, the easier it will be for them to ask for your help and share their ideas with you. You are their “cheerleader” so to speak.

5 REGION DIRECTOR RESPONSIBILITIES
Attend at least one (1) meeting of each local chapter during your two (2) year term Survey the local chapters and provide recommendations to the Board on appointments to committees and/or for running for state office Serve as the liaison between the Board and the Local Chapters , phone or send a letter to chapter president about attending a meeting. Attending chapter meetings shows that you care and are interested in them and what they do - you are the board’s representatives. Remember you are the “cheerleaders”, so be prepared to say something at the meeting. It doesn’t have to be long – maybe an update from state office If members feel that the board is interested in them and their chapter, they will be more receptive to volunteering to be on a committee or running for an office.

6 REGION DIRECTOR RESPONSIBILITES
Utilize FSNA’s President-Elect as a resource throughout the year Communicate with Local Chapters on a regular basis. Local Officer Installation Ceremonies (the state office has several copies of ceremonies that you can use) You are the connection between the executive board and the chapter. The president elect can help interpret the president’s initiatives. Try and call or each of your chapter presidents at least once every 2 months. Send a letter of congratulations to each chapter officer. This helps you in the communication process.

7 REGION DIRECTOR RESPONSIBILITES
Encourage Local Chapters to submit Chapter Chatter articles for each publication of School Food in Florida Stress the importance of each Local Chapter having representation at the House of Delegates Contact and work with any County that does not have an active local chapter; or whose local chapter is struggling If asked, be prepared to install the officers at a chapter in your region. The state office can assist you. You may be asked to say a few words, have a speech ready. This can give you an opportunity to promote the association and membership. Encourage each chapter to send in something to the magazine. It makes it more personal when members read about what is going on in their chapter Please make sure each chapter president is aware of the importance of attending the house of delegates. This is the only business meeting we have. Without a quorum, we cannot take any official actions. For those that have counties that are not part of FSNA, look for ways to get them to become members of the FSNA. The state office can give you guidance in this.

8 REGION DIRECTOR RESPONSIBILITIES
Promote local, state and national membership Serve as a member of the FSNA Nominating Committee Work side-by-side with your Region Director-Elect to train them for office Encourage members in your Region to further their education with scholarships Again promote membership. Try and encourage members to become involved. Don’t always rely on the same people. Let members know about scholarships that are available. We are professionals.

9 REGION DIRECTOR RESPONSIBILITES
Plan your Region Seminar - working with the Chapter Presidents Region Director Handbook provides timetable Provide budget to Chair of Region Directors and state office including Foundation ($3) and Region Director’s expenses ($2) per person Work with state office for program approval and Professional Standards CEU Preside over your Region Seminar You are in charge of the Region Seminar. This is your main responsibility. Try and involve each county in the process. If they help with the planning, they will take ownership and there will be more participation Use the Region Director’s Handbook as a step-by-step guide to planning Prepare a budget for your region seminar. Be sure to include $3.00 per person for the Foundation to help with speaker expenses. Include another $2.00 per person to cover Region Director’s expenses not covered by FSNA Submit a proposed program to the state office for approval. They will approve the program, assign the CEU’s, and provide the certificates. You will be the host/moderator of your Region Seminar

10 REGION DIRECTOR RESPONSIBILITES Understand FSNA Bylaws
Assist local chapters with Bylaws Understand FSNA Bylaws Obtain copies of Chapter Bylaws Attend two (2) FSNA Annual Conferences Read and understand the bylaws of FSNA. Get copies of the bylaws of the chapters in your region. Attending annual conferences is an important part of your job

11 REGION DIRECTOR RESPONSIBILITES Participate as a voting member
Attend House of Delegates at FSNA Annual conference Participate as a voting member Submit report to state office and Chair of the Region Directors in a timely manner All region directors are voting members at the House of Delegates. Attendance is critical, as a quorum is needed to conduct official business. The Region Director Chair will compile the reports from the regions and give the report at the House of Delegates.

12 REGION DIRECTOR RESPONSIBILITES Participate as a voting member
Attend all Executive Board Meetings Participate as a voting member Submit report to state office and Chair of the Region Directors in a timely manner Report initiatives/goals/status August report – Region Seminar planning Winter report – Region Seminar results Spring report – Activities since last report Be prepared to give a written and verbal report at the Executive Board meetings. Written reports are to be prepared using the Strategic Plan format discussed during Board Orientation/Leadership Training

13 REGION DIRECTOR RESPONSIBILITIES
Submit receipts for all expenses incurred following approved procedures Assist with Legislative issues at both National and State level Utilize the Region Director’s Handbook All receipts for expenses incurred need to be turned in for reimbursement immediately following the meeting. Be familiar with Florida and US House of Representatives and Senators from your region. Information can be found on the FSNA web site Work with Legislative Chair informing Chapter Presidents in your region about upcoming bills and legislative issues Promote Legislative Action Caucus with Chapter Presidents Go over the calendar now. The handbook with give you step-by-step instructions.
