OBJECTIVES By the end of this training, participants will be able to successfully enter student answers to English Language Development assessments through scanning or manual entry into School City for teacher monitoring and reteaching. By the end of this course you will be equipped with two ways on how to enter Avenues assessment data to SchoolCity. The first way is through scanning and the second way is through manual input.

School City online vs School city installed
What can you do with School City Online? What can you do with School City application installed? There are two routes to enter SchoolCity and each route allows you to perform certain functions. The first route is through the internet using the direct link of tusd1.schoolcity.org. Access through this route allows you to print pre, post and unit tests bubble sheets, manually enter assessment scores. And view assessment results. The second route is through the SchoolCity Scan App. This is a desktop icon that Technology Services installs at the workstation connected to the Brother 8080 scanner. This desktop app is only used when you are ready to scan completed Avenues assessments answer sheets. 1. Log into School City Use School City online
Let’s learn how to enter SchoolCity through the internet route of tusd1.schoolcity.org. 1. Log into School City

Log into School City Browser recommendation is CHROME
The Language Acquisition Department recommends using Google’s Chrome browser to access SchoolCity online.

Find the School City link from TUSD intranet : http://intranet/
Scroll down and look on the lower right side of the intranet for the School City link From the district network, finding SchoolCity from TUSD’s Intranet page is easy. Simply type: in your browser to access TUSD’s INTRANET. Use the light blue menu on the right of your screen to locate the School City Staff Portal link and click on it.

(and make it a favorite on your browser menu) Enter your TUSD credentials. (This is the username and password to log into your computer and .) Otherwise, type the url address – tusd1.schoolcity.com Login using the user name and password you normally use to login to your computer or TUSD account.

2. Place work order for School City application and scanner installation
Next, let’s learn how to place a work order to have Technology Services install the Brother 8080 scanner and the SchoolCity scan app. The scanner is the device that you will use to scan your tests and the SchoolCity scan app is the software to “scan tests”. Both must be installed before you can send student assessment data to SchoolCity.

Create and Submit a Work-Order to Install the Scanner for Avenues and SchoolCity app
To request installation of the scanner and app at your site, do the following: Create and submit a track-it work order on the intranet. Name the room location of the scanner. Specify the computer that is connected to the scanner. The following slides will walk you through the steps you will need to submit a work order to Technology services.

Instructions to Create a Work Order
Visit this link to start your work order (link only works within the district): Click on VIEW MY WORK ORDERS 2. Click on ADD A NEW WORK ORDER Open your Chrome browser and type in the address bar. When you have accessed Technology Services’ menu of services, click on VIEW MY WORK ORDERS. There is an icon of a person in a life preserver ring identifying the link. You then click on ADD A NEW WORK ORDER. There is an icon of a pencil writing on a clipboard identifying that link.

Instructions to Create a Work Order, con’t
Type the following information into the “Note section” “Please click on the link below to view instructions on how to install the Avenues Scanner and SchoolCity App on my computer. Hit Submit Example: You will see Technology Services work order form. This form will timeout on you if you do not complete it within a few short minutes. The information you see in the example on your screen is what your should type in your work order. BE SURE TO ADD THIS NOTE: Please click on the link below to view instructions on how to install the Avenues Scanner and SchoolCity App on my computer. If you do not add that note, TS will not be able to complete your work order. The link provided in the note is a website with directions for Technology Services to install the drivers and SchoolCity app .

After you login, you will see a menu appear along the top of your SchoolCity dashboard. Find ASSESSMENTS and click on it.

Filter for the Assessment
Print Answer Sheets Filter for the Assessment Optional - Change your role, if you have more than one role and role change is needed Select Assessment Make sure year is Select the District tab (Important-if District tab is not selected, Collection tab will not appear.) In Collection tab, choose a grade level under the ELD (If only Subject tab is visible, under Subject, choose ELD) Click REFRESH Finding an assessment is simple using the filter feature. Keep in mind you must make sure the school year is set to , the district tab is selected, and the grade level is chosen under ELD or else the ELD assessments will not appear. When you are finished, click REFRESH. See next slide for a visual of the items to filter.

Filter to find the Assessment
Print Answer Sheets Filter to find the Assessment 1 2 4 5 3 Hit refresh button after filters are selected Let’s review. If you have more than one role in the district, you may have to change your role. Look at the first figure and click the down arrow to change your role (some teachers may not have to do this). Second, click on ASSESSMENTS. Third, click on the DISTRICT TAB (the district tab must be clicked or else you will not see ANY English Language Development assessments). Fourth, be sure you choose the current school year. Fifth, click on your desired grade level under the collection dropdown menu. Once you have completed the steps, click the REFRESH button. The tests will appear and you are ready to find your desired test!

Print Answer Sheets Find the assessment and click on Print icon After you find your assessment, move your curser to far right until you find the printer icon. Click on the printer icon.

Drill down to select students
Print Answer Sheets Drill down to select students Clicking on the sign expands to the specific school, teacher, classroom, or student. Clicking on the □ will select everything below. Clicking on □ by school will select all teachers and their students. Clicking on □ by teacher will select all students. Clicking on □ by student will select just the student. After you click on the printer icon, you will see a list of schools or a list of teachers in the grade level you selected. If you wish to print the tests of an entire class, click on the box besides your name. If you want to print tests of only certain students, click on the PLUS icon to expand the list so you can just select certain students. Another method: Click on the dropdown menu to filter and then click Refresh.

Select student(s) and click on Print Answer Sheets
After you have selected your students, click PRINT ANSWER SHEETS.

Answer sheets will appear in PDF file
Print Answer Sheets Answer sheets will appear in PDF file Then click on the Print icon. A PDF will appear containing all of the students you selected. Click on the print icon to print the answer sheets.

Tips on using the answer sheet

Tell students to bubble “I” on answer sheet rather than “J”, which is what Avenues uses. Avoid making marks in the QR code , which contains student information. As in the video, click on Configure, Detect - choose TW-Brother, and then Save. As the video directs, click on Configure, Detect - choose TW-Brother, and then Save.

Click on Bulk Scan This will scan several tests of different grade levels and units at the same time. Place the bubble sheet with bubbles face up and the QR Code entering the scanner first. As soon as you select your scanner, you are ready to scan! Place several answer sheets at the same time. For example, try scanning about 5 – 10 sheets. Too many sheets might cause a paper jam. Click on the BULK icon to start. You will then see a button labeled START BULK SCAN. This will start the scanning process. Start Bulk Scan

Review Scan results Scanning error If scanning errors result, try scanning the answer sheets a few more times. Sometimes that works. If not, enter answers manually. Successful scanning After you have scanned, you will see a list of the scanned tests. If scanning errors result, a red “Test ID Error” will appear. Try scanning the answer sheets again. If that does not work, enter the answers manually with the directions we will give you in the next topic. You can enter the scores manually using this School City program application, but entering using School City online is easier. Scroll across the page to see all the answer results. Yellow highlights mean the answer was left blank. Make sure to scroll across the page to check all answer results. Then look for the highlighted yellow errors. BLK means blank for no answer.

Fixing errors Click on Image Preview to see what was bubbled. Double-click on the yellow box to make changes. If you’d like to see what answers were bubbled, click on IMAGE PREVIEW. If you need to change an answer, double click the answer box under the question number. Highlight the answer and replace it with the new answer.

Manually enter scores When to manually enter answers?
Answer sheets gets damaged and will not scan. No access to print answer sheets and students have to write down answers. Students struggle with bubbling in the answer, so teacher/tester enters the answers for them. Here are some reasons to enter scores manually: Answer sheets gets damaged and will not scan. Manually enter scores Log into School City Online
Go to Assessment and filter for the test. (See topic 3 – Print Answer Sheet for directions on filtering for test) Next to the test, click on the fifth icon called Score Online Log into School City online and find the assessment. Directions for finding assessments are back on topic 3 under Printing Answer Sheets. Enter answers manually is as simple as clicking on the fifth icon on the last column labeled FUNCTIONS of the list of assessments. When you hover over the icon, you will see a caption that says SCORE ONLINE.

Click Refresh. Then enter the answers, click save and next. Filter to the school, teacher, classroom or period. Click Refresh. Click on the dropdown menu next to student to navigate from student to student, or click on the Next button. Enter the answers, click Save and Next.

Click on the REPORTS tab along the top of the webpage to view test results.

View pretests for proficiency level—beginning, intermediate, advanced. Unit tests are aligned to standards. Resource teachers can filter results by school or classroom. Results appear only for tests that have been scanned or manually entered. Note: If you are an itinerant teacher and have more than one school, you can filter for a School and then click REFRESH. View Results Example of TEST RESULTS tab. Click on the colored part of the pie chart or on a student’s name for more information. When the TEST RESULTS tab is clicked, you will see a pie chart and below the chart is the list of students with their assessment scores. For more information, you can click on the pie chart sections to see details of just the students test results based on the colored pie section. That information will populate below the pie chart.
