1 Grievance Systems Real-time awareness changing the landscape of workers relations and stakeholder engagement

2 Springfields has developed a universally adaptable Mobile Grievance System and Online Dashboard to connect workers directly to their management or buyers within the supply chain. This system can be used in a range of sectors including: garment & footwear, manufacturing & industrial, rural communities, marginalized groups, agriculture, cooperatives, public sector and more. Overview

3 About Us Springfields specializes in the development and implementation of communications programmes, research and training. Our company is built on the conviction that to be successful, development initiatives need to choose dynamic and innovative communication approaches and constantly adapt to the rapid changes in society. Formed in 2011, this Singaporean-based company delivers professional services which positively impact on people’s lives. Across the region, we have a permanent office in Jakarta, ongoing projects in Cambodia and Vietnam and growing our reach across Asia to new markets.

4 Context: in Indonesia 67% 72% 50% 130%
The proliferation of technology has enabled a new way to communicate grievances and information sharing. Workers can be made aware of changing or updated policies, best practices, day-to-day events and new information on myriad labour issues. These messages, and additional content through the use of the smartphone can improve productivity, reduce absenteeism from injury or illness, and improved workplace atmosphere. Of Indonesians have access to the Internet through their phones 67% Mobile Phone penetration rate in Indonesia 130% 72% of Indonesia’s Internet traffic is via mobile phone 50% Indonesia’s smartphone penetration rate in 2017

5 Why adopt a grievance system?
Workers need to be informed of their rights and entitlements Workers need to be informed of company regulations and policies Conventional communication methods are ineffective, e.g. posters, loud speakers, suggestion box Workers should be able to voice their grievances in anonymity through a cost-efficient approach

6 Data is processed into reports to establish an action plan.
How it works? Two types of systems are available, SMS and Android. Both operate with a similar workflow with the Android System having added functionality similar to that of a messaging application. Additional recipients can be added into the database (if using SMS) or downloaded via the app if using the Android application Data is processed into reports to establish an action plan. Workers send their grievances through their mobile phone (either SMS or Android App) The operator can respond to grievances individually or collectively through either the SMS or Android System These messages can be scheduled based on the needs of the factory. abc Any ‘high risk’ grievances, can be sent directly to management for quick response Based on the keywords established by management, the messages can be filtered and automatically categorized

7 1 2 3 4 Options Available Unified Dashboard Android Based System
Deployed remotely, hosted online using the clients or 3rd party hosting service SMS Based System Installed locally (at the clients premises) – uses modem and software 3 Both 1 & 2 Systems running in Parallel 4 Unified Dashboard Pulls data from both systems into one online dashboard Web-based dashboard Local-based dashboard

8 Options Compared: Android App, SMS & Dashboard
UNIFIED DASHBOARD ANDROID SMS Installed locally with a USB Modem at the clients choice of location Management can access a offline dashboard on the PC engage with all users to send messages, content, updates, receive all incoming grievances and generate reports. Management add users to a database Collates data from both the SMS and Android System into one display Can also be used if multiple systems are deployed under one stakeholder. E.g., multiple factories each with their own system overseen by one buyer. Hosted on cloud-based server Management can access a web-based dashboard through a URL and engage with all users to send messages, content, updates, receive all incoming grievances and generate reports. Workers download and install a simple Android application to send and receive communication.

9 Management can be informed in advanced of emerging issues within the workforce
Filtration system can categorize grievances based on severity and regularity Factories can understand workers needs using supporting data Streamlining of HR grievances processes Workers can report a grievance with anonymity What are the Benefits?
