StudentInformation Homeless Unaccompanied Youth Updates
Starting in FY18, ‘* - Not Applicable’ will no longer be a valid option. ODE will allow * this year but for next year, all “*” must be replaced with “N” Script included in will mass update all ‘*’ values to ‘N’ for FY17 and FY18 Fall Initialization updated to update ‘*’ to ‘N’, if any are encountered. Valid Options for FY18: N – No Y – Yes Homeless Status Element (FD 150) definitions updated for FY18, see EMIS manual for changes

StudentInformation College Credit Plus Attributes added to District Organization (DN) Records CCPDENIALS – the count of CCP students denied participation because they did not give notice of CCP participation by the deadline date. CCPREIMBCT – the count of students who failed or dropped a course where districts sought reimbursement from the student for the cost of the course CCPRESTITU – the total dollar amount a district is seeing for CCP reimbursement due to a dropped or failed course for all students. Round to the nearest dollar The valid options for each fields are It is possible that the value should be zero for some districts, if not applicable, then leave the attribute value blank. These attributes will be collected starting in early May

StudentInformation FC Student Withdrawal Record being updated to Student Withdrawal Override Withdrawal date being incorrectly reported is the number one thing causing appeals or supplemental grad situations Will start using FC record in the Graduation Process (Period G) Will be able to use FC to request student overrides or correct incorrectly reported withdrawal reasons Documentation on reason for change must be maintained locally

New Score Not reported Option Added ‘2 – Assessment score not reported because student received graduation credit for alternative Non-Public school EOC assessment prior to public district enrollment Number in Score field represents the number of graduation points earned Alternate Assessments – Writing Assessment Area code eliminated Writing still available or regular GX assessments but not for Alternate Assessments Import adjusted to no longer create Writing Assessment record for Alternate Assessments If the student transferred from another district or a non-public student, chartered non-pubs must meet the same graduation requirements. Non-public schools were giving a waiver in 14/15 for non-pub kids, they can actually use the W Score not reported reason and earn credit for Algebra I. Public school students can't use the W. In 15/16 there was no waiver in place. Non-pubs were supposed to have given the EOC exam so there is no code for them if they earned credit in the non-pub but didn't take the test. If they've transferred to a public district, they have to take the test. This year, they can take an alternative test. If they take the alternative test this year, and then come to a public school, there are certain cut points that generate PL levels. They can get credit for alternative tests while at the non-pub. Test is given at the end of the year. There probably won't be any this year that transfer so late in the year. Most districts will start to see this next year. Alternate test 16/17 school year Is the first time this test was given.

Codes are available now in StudentInformation Valid Diploma Types: * Not Applicable – not a graduating student Regular Diploma Academic Diploma with Honors Diploma received in another state via Military Compact International Baccalaureate Honors Diploma Career Tech honors diploma STEM honors diploma Arts honor diploma Social Science & Civil Engagement honors diploma The new diploma types have been added to StudentInformation and are available now on Student Profile Edit, Diploma Type Mass update, Grad Only Records, Student Profile Bulk Update and all period G processes.

New Code added: M – Student did not meet the reading requirement in the Third Grade Reading Guarantee, but was not retained due to adequate performance on the TGRG Alternative Assessment – STAR before the start of the next school year Code available in FY18 for fall Retention Reporting collection in August

StudentInformation FY18 – Collect the Fiscal Year Began 9th grade element in all ‘S’ reporting collections (except retention) Make sure incoming freshmen are updated ASAP for FY18 Create an Ad-Hoc Membership Use Student Profile Bulk Update to mass update students Will be changing the business rule on which cohort a student should belong to. There are situations where kids are in 9th grade in a private school last year, moved to a public school this year and the school chooses to put them in 9th grade again. That kid would end up in the cohort to graduate in four years. but if the district used the year from the private school, it would change the student’s requirements to graduate. What the business rule will be: if student was not in an Ohio Public district school in the prior year, they were home schooled, out of state, or something else in grade 9 or above. Will start using the FYB9th grade for those students to assign them a cohort based on that value. Will create a report which kids they use for FYB9th to determine their cohort to make sure students who moved in are in the correct cohort. Will recalculate cohorts as far back as FY15 data.

StudentInformation New Assessment Extract/Import
Introduced in the last release, provides the ability to extract Assessment results for students and send results to other districts that have the student and need the results. Extracts data into a spreadsheet. Can be edited prior to importing.

StudentInformation Use filters to select students Assessment Filter allows you to select the assessment(s) to export Filter options are included for selecting specific students based on student ID, Inclusion in an ad-hoc membership (either public or private) The Filter Non-Specific students provides a broader selection. Students may be selected by Student status codes, Grade Levels or students from a specific school. For example, all students attending a JVS could be included if a student status code is assigned to them that identifies them as JVS students. The Assessment Filter Allows you to choose which assessment records you wish to include. Multiple assessments may be included in the same file. This option can be used for students who have already been transferred into your school but have results at other districts. In the release, CTE Industry Assessments, DORP, OCTCA and OELPA assessments are being added to the extract process.

StudentInformation ProgressBook is committed to provide a tracking method for attendance in FY18 There will be EMIS Data reporting requirements, which will be included in StudentInformation EMIS Reporting will start in the 17/18 school year, no data to be reported for 16/17 Reporting will be at the SSID level

Reports are available by clicking on the Page Icon
Ad Hoc Reports Reports are available by clicking on the Page Icon Submit new requests for reports to your ITC Support Team. All requests are reviewed by the Ad Hoc Committee and prioritized for development. Reports can be created outside the release cycle speeding up the implementation of requested reports In the EMIS Checklist, report references have been added if there is a report that corresponds to the task or data on the task The following slides highlight some of the ad hoc reports available to your for EMIS Reporting. Specifically, under Assessment, there are several reports on the End of course record performance. New reports are also being available based on the graduation points data and will be released soon.

StudentInformation AD Hoc Reports – EMIS Reports
EMIS Admission Calendar Comparison Admission Calendar Comparison points out students who have a different calendar assigned on their General Tab of the student profile than the calendar/attendance pattern assigned on their FD record. When students change buildings during the school year, the calendar on the FD record should be changed to match the general calendar if the student has a primary building change. The calendars highlighted in Red point out the differences and need to be verified.

StudentInformation EMIS Sub-Calendar Hours Analysis Report
Provides total number of hours students assigned to a selected calendar should have attended. Can be used to troubleshoot attendance issues for students. EMIS Sub-Calendar Hours Analysis Report This report calculates the hours per day a calendar has met through the school year up to a selected date. Report includes exceptions on each calendar in the ‘Report in Days Column.
