Introduction Banner is a 3-part system that gives users detailed information regarding accounts at FAU. The systems are: Banner Production, Web Finance and Eprint. This presentation will take you through all three systems, and show you how they are all related to each other.

Introduction You will notice (when Banner is running), a small icon of a coffee cup. With that in mind, I’d like to introduce you to your tour guide for this program: Banner Buddy….. Hi! I’ll be your guide. Keep an eye out for me, and I’ll show you what you need to know.

Try This! Introduction When you see a “Try This!” button like the one in the top right corner, just click on it and you can practice what I’m showing you. Try it now! Then you can click the “Return” button to come back to me.

Activity #1: TRY THIS! Return
When you see this button, you can click on it to take you to the Banner Log in Page. It will automatically open Internet Explorer and you can choose the application that you want to practice in. Use one of your accounts (you will need the Index) and view your own account information. When you are ready, click on the Power Point in the bar at the bottom of the screen to return to this presentation. Good Luck!

Introduction Welcome Back! Keep in mind that some of these screens in Banner will be useful for all types of accounts. So, if you are viewing this presentation in its entirety, some material may appear repetitious.

First Step You will need to set up an Excel Spreadsheet to keep track of your expenses and budget, if you haven’t done so already. Part 1 contains information related to each particular type of account and describes which screens/reports you can use to maintain correct balances. Part 2 contains information that can be used for all types of accounts and allows you to search for specific information. Click on a hyperlink to go to that part of the presentation. Types of Accounts State Accounts – “GTAIDS” or Grant and Aids.
These are the types of accounts you will be dealing with. Clicking on each of them will show you how you can check balances for each type of account or just continue to the next slide to see them all. Types of Accounts State Accounts – “GTAIDS” or Grant and Aids. Grant Accounts – There are Federal, Federal Flow-Through, Non-Federal, Corporate, Foundation and Overhead. Auxiliary Accounts – Used for various administrative purposes, such as lab fee accounts, and club accounts. State Grant Auxiliary

Part I: Checking Account Balances in Banner for State accounts
You’ve been to Banner training, so you are familiar with this first screen. This screen will take you to any form that you need. The first we will go to is FGIBAVL.

Banner - FGIBAVL In this form, you will be able to view your available balances in each budget pool (Salaries & Benefits, OPS, Expense, etc.). It will show your “Year to Date” activity, your “Commitments” (encumbrances) and your “Available Balance”. To view more detailed information, you will need to access other screens. This will be described later.

You’ll be logging into this later on. But, first, let’s discuss what you will see and where you should go.

Another way to check for available balance in your account is to access the Eprint Reports. Specifically, the “Report of Budget” will and should give you your account balance as did FGIBAVL in Banner. You will also be accessing the “Organization Detail Activity Report” to view details of your account. You will need to select your Organization (Org.) when you select this report, and can do this by clicking on the Drill.

You will need to go to the WFBEGLE Report. You can find it by clicking NEXT until you see it, or by selecting it from the pull down window. You will need to select “PDF” to get the most up to date information.

Once in the report, you can search for your Org. by clicking on the Binoculars. My Org. was B12000, so here is my information. (Oh, and by the way, if you see a negative balance, you’ll need to find out why!)

You will need to go to the FGRODTA Report, or the “Organization Detail Activity.” You will need to select the “Drill” and choose your report. You can either select a particular month report, or a Fiscal Year to Date Report. Just pay attention to the dates in the list and make your selection. I mostly use the Fiscal Year to Date Reports, myself.

Use one of your accounts (you will need the Org.) and view your own account information. Try both the “Report of Budget” and the “Organization Detail Activity” Reports, as we did earlier. Since these are PDF files, you can either print or save your reports. You may see your charges in several places in the “Org Detail” report. As an encumbered charge is paid, the encumbrance is released and the payment is shown under Transaction Activity. Also, as a Requisition is made into a Purchase Order, the Requisition is liquidated and the Purchase Order is encumbered. When you are ready to return, click on the Power Point in the bar at the bottom of the screen to return to this presentation. You will need e~Print later on. Ok, we’ve been here with State accounts, so I’m sure you’ve gotten the hang of this. This screen will take you to any form that you need. The first we will go to is FGIBAVL.

Banner - FGIBAVL This form is also useful for Grant accounts.
In this form, you will be able to view your available balances in each budget pool (Salaries & Benefits, OPS, Expense, Sub-contract, Grant Office Supply, etc.). It will show your “Year to Date” activity, your “Commitments” (encumbrances) and your “Available Balance”. To view more detailed information, or “Grant Life to Date” you will need to access other screens or reports. This will be described later.

Ok, we’re back to Eprint to view reports that are used to help track grant accounts.

The “Report of Budget” will give you your account balance as did FGIBAVL in Banner. You will also be accessing the “Organization Detail Activity Report” to view details of your account. You will need to select your Organization (Org.) when you select this report, and can do this by clicking on the Drill, as we did with the State accounts. The third report we will be looking at, is the “Grant Inception to Date Report.” Since many grants are multi-year awards, this report will show your expenses from the start of the grant.

You will need to go to the FGRODTA Report, or the “Organization Detail Activity.” You will need to select the “Drill” and choose your Org. First, select the Magnifying Glass, then select “Pick Values Manually”, click on the Org. (I have selected the B11042 org. for Federal Grants) and then click “Get the Report.”

You will need to go to the WFBGRINC Report, or the “Grant Inception to Date Report.” You will need to select the “Drill” and choose the most recent report. Select the PDF file and use the binoculars to find your account.

Part 2: Checking Encumbrances
We’ll spend most of our time in WebFinance, and a little more time in Banner & Eprint. Just to keep you on your toes, we’ll begin with WebFinance. Later, you can use the hyperlink to return to any part. Banner – You’ve checked your available balance here, but there is so much more you can use Banner for. We’ll look at others useful screens. (No way can we cover them all, but once you are really comfortable with these, you’ll be fine with any others.) Eprint – You’ve seen reports that give your account balance. You’ve also seen reports that give you more detail (such as the Organization Detail Activity and the Grant Inception to Date Reports). We’ll also look at a couple other useful reports. Web Finance – This is also commonly known as “Banner Owls”. You haven’t been here yet, so we’ll spend some time with this application.

WebFinance As I am sure that this is familiar to you, you will be logging in here. (Don’t forget that you need your Z# for this log-in!) In many ways, this system is much more user-friendly than Banner. But, you can decide that for yourself.

WebFinance (cont.) We will only focus on the “Financial Information Menu”. There are three options here that we will take a look at…… Budget Queries, Encumbrance Queries, and View Documents. You won’t need to worry about the others (at least for now…..) We’re all still growing with this system.

I normally select the second type of query, “Budget Status by Organizational Hierarchy,” in screen shot #. Check off the boxes as shown in screen shot #2. When you enter your Index, and press “Submit Query”, the Fund, Org, Program and Activity codes automatically populate. Press “Submit Query again to see your account. #1 #2 #3

By clicking first on the Organization (in this case B12000), then clicking on one of the “Account Types”, you will see more details about your account. After selecting “70”, I’ve also selected “71” on the following screen.

Try This! WebFinance – Budget Queries (cont.) As you can see from this screen, all of your expenses are broken down by account code. You will be able to see further details of your expenses, whether they have been paid (shown under “Year to Date”, encumbered (your Purchase Orders and TARs will be listed here until they are paid), or reserved (your requisition is shown as a reservation until the Purchase Order is completed). You can see these details by placing your mouse over any of the amounts. If there is information for you to see, the amount will be underlined, so you can click into it.

WebFinance - Encumbrance Queries
Pssst…..Wait! Before we continue on to Encumbrance Queries, I must leave you with one more thought on the budget queries….. Although this is rare, if you see a discrepancy between the available balance in WebFinance and the available balance in Banner, try one thing before you get really worried. Once you enter your index in WebFinance and click “Submit,” remove the “Activity” and “Program” codes. Then press “Submit.” This will allow WebFinance to query the account as Banner does (with the Fund and Org. only). Keep in mind that this is rare, though. You shouldn’t have to worry about this for most of your accounts. Ok? Ok. Let’s continue on to the Encumbrance Queries!

Selecting “Encumbrance Queries” gives a next screen similar to the “Budget Query. Still enter your Index, click “Submit Query” and see the Fund, Org, Program and Activity codes populate. Before continuing, enter the account type. (hint: Use only expense account types, otherwise your personnel encumbrances will cause your system to hang.) Then click “Submit Query.”

Try This! WebFinance - Encumbrance Queries (cont.) Here you will see a summary of all your encumbrances. It gives you the Account Code, the Document number, any liquidations, the current commitment and the percentage used. This is especially helpful near year-end, so that you can see what is left in each of your P.O.s.

Now that you have some documents from the “Encumbrance Query,” let’s go back to this screen, and select “View Document” as I’ve done here.

You can use one of the document codes that you got from your Encumbrance Query earlier. Just choose the type (any of those listed in the drop down box) and enter the “Document Number.” Press “View Document.”

Activity #10: TRY THIS! Click on the “Internet” link to open Internet Explorer. Go into WebFinance by selecting “Banner OWLS – Web Finance” and log in. Go to “View Document.” Use one of your accounts (you will need the Org.) and view your own account information. Use some of your document numbers that you found in the Encumbrance Query. Remember, you don’t need to use only a Purchase Order. Just select the correct “Type” from the drop down list, and then enter its corresponding document number. Eprint – Other Reports Let’s look at a few more Eprint reports. With the Banner system being a three-part system, there are many more than one way to find your information. As you use each of these systems, you’ll develop your own preferences.

Eprint – Open Encumbrance Report
By selecting the “PDF” file, you will get the most recent report. Here, just as we saw in the “Encumbrance Query” in WebFinance, we can retrieve information on Requisitions, and POs.

Eprint – Payroll Encumbrances
Each of these reports helps to track personnel contracts. Your “Payroll Encumbrance Reports for Salaries & Benefits and OPS will show who is encumbered on each of your accounts. (You can select the Org. when you go to the next screen, as we did earlier.) If there are any inconsistencies between these reports and Banner, you should also check the “Report of Payroll Transactions” Report. In this report, you will need to search for a particular individual. Since these reports contain information of individuals, I am going to leave it to you to check these reports for your department. Go ahead and try it! Try This!

Activity #11: TRY THIS! Click on the “Internet” link to open Internet Explorer. Log into e~Print. Pull up the “Open Encumbrance Report” and search for one of your Requisitions or Purchase Orders that use used for the “View Document” in WebFinance. View the Payroll Encumbrance Reports. Select an Organization in your area. Choose someone in your area, and try to locate them in the “Report of Payroll Transactions.” Hint: Use the Binoculars. Banner – Let’s Take another Look!
We discussed the FGIBAVL for all types of accounts earlier. But, there are other screens that can yield more information. We will look at some of those.

Banner – FGIBDSR (Account Summary)
FGIBDSR gives your account balance (as FGIBAVL did) with all expenses, but does not list expense under each budget pool. Instead, by clicking on “Account Type,” you can view the details of one budget pool. You can then click on “Item”, then “Duplicate” to view the details of that transaction.

Banner – FRIGITD (Grant Inception to Date)
This screen is the “Banner Version” of the “Grant Inception to Date Report” in Eprint. While this looks like a lot to go through, you can use some of its features to make this screen more user friendly. You should enter the Grant, Fund and Org., or just enter the Index.

Try This! Banner – FRIGITD (cont.) By changing the “Date From” and/or the “Date To” field, you can view a particular fiscal year for your grant, or leave them as they appear for the “Life to Date” figures. By clicking on the “Account Type”, as we did in the FGIBDSR screen, we can get a balance for a particular budget pool. You can also enter a specific “Account Code” if there is one in particular that you need details of.

Try This! Banner – FGITBSR (Trial Balance Summary) This screen is great to view your “Cash”, especially in your Auxiliary and Overhead accounts. Just enter the “Fund” and “Fiscal Year.”

Activity #12: TRY THIS! Click on the “Internet” link to open Internet Explorer. Log into Banner. Use FGIBDSR to view some pf your accounts. Change the “Account Type” to see various budget pools of different types of accounts. Use FRIGITD to view a multi-year grant account. Change the dates to view the “Fiscal Year to Date” as well as the “Inception to Date” expenses. Change the “Account Type” to view different budget pools. Banner – FOIDOCH (Document History)
Let’s take a look at documents and vendors. With this screen, you can track an expense through all of its stages. By entering the Requisition #, the Purchase Order #, the Invoice # or the Check #, all of its related documents will be listed. If you wish to view the details of any of them, select “Item” and then “Duplicate”. The details of that document will be displayed.

Banner – FAIVNDH (Vendor Detail History)
Try This! With this screen, you can pull query a particular vendor. This screen will give you all payments that the particular vendor has received in the selected fiscal year. (You can verify when and how much the vendor received.) By selecting “Options”, you can “View Invoice Information” to see details of that invoice.

Activity #13: TRY THIS! Click on the “Internet” link to open Internet Explorer. Log into Banner. Use FOIDOCH to view some of your documents that you viewed in WebFinance. See if you can view some of the related documents to the one your entered. Use FAIVNDH to search for some payments that one your vendors may have received. Then view the “Invoice Information.” When you are ready to return, click on the Power Point in the bar at the bottom of the screen to return to this presentation. Good Luck! Banner – Employees & Contracts
In this section, screens relating to employees’ information and their contracts will be discussed. Only samples of the initial screens will be shown, without any actual employee information. You can experiment with these screen is the “Try This!” exercises after our discussion. Keep in mind that employee information should always be kept confidential.

Banner – FOIIDEN (Person Search)
To find the Z# of an employee who has had previous contracts with FAU, enter the last name and run the query. Their Z# and birth date will populate in the appropriate fields.

Banner – NBAJOBS (Employee Contracts)
You will need to begin by entering either the Z# or the last name followed by the “Enter” key. Select the arrow on the drop down box of the Position # and double click it to populate the “Position” field. Press “Next Block” to fill in the information in the tabs. Activity #14: TRY THIS! Click on the “Internet” link to open Internet Explorer. Log into Banner. Use FOIIDEN to find the Z#’s of some employees in your department. Then use NBAJOBS to some of their contract information. Click on the tabs to see the various information given in this screen. You may want to compare the information on this screen with your E~Print reports for “Salaries & Benefits” and “OPS”. Banner – FOAIDEN (Person Identification)
This screen gives you much useful information about your employees. I know the tabs are difficult to read above, but they are: Current Information, Alternate Id., Address, Telephone, Biological, and Emergency Contacts. Just enter the person’s last name and press “Enter” or enter the Z#, then go to “Next Block.” Click on the tabs to get updated employee information.

Try This! Banner – PEAEMPL (Employee Info.) This screen will give you information about the employee’s “Home Org” and “Check Distribution Org.” You will want to check these to make sure that your employee is listed in your area. If this is not correct, you may not be able to view their contracts in NBAJOBS.

Closing Remarks Please remember that this is not all that you will need to know about Banner. There are many other screens and reports that we did not discuss in this presentation. There is much information about Banner out there. If you look further at the Banner screen, ( there are other presentations and opportunities for other training sessions. Take a look at them. The more comfortable you are with Banner, the better. We’ve been using this system for only a couple years and new reports are being developed as there is a need for them. (So everyone is learning these new additions.) The best way to learn this system is through much practice.
