1 Time Matters® Feature Friday Linking Time Matters® with QuickBooks®
The training you will be receiving over the next few hours will prepare you to use the essential functions in Time Matters. We will be discussing many of the customizable areas of Time Matters. We won’t have time to cover everything you will need to know, so there are additional recorded, virtual and live trainings. You will also have support in the form of Time Matters Help documents and the Support Department.

3 Set up the link between Time Matters and QuickBooks
Agenda Set up the link between Time Matters and QuickBooks Send Contacts and Matters to QuickBooks as Customers and Jobs Send Time and Expenses to QuickBooks Use Time Entry Advisor to capture unbilled time

4 VERIFY THAT YOUR VERSION OF QUICKBOOKS IS COMPATIBLE!
Set up Link VERIFY THAT YOUR VERSION OF QUICKBOOKS IS COMPATIBLE! Check the Time Matters web site

5 Set up Link Open Time Matters
Click on File>Setup>General>Program Level

6 Set up Link Click on Links Check Activate Billing
Select QuickBooks from the dropdown Click Set Billing Options

7 Set up Link Complete the General Tab Click on File Locations

8 Set up Link Click the ellipses and point to your QB company file
(Default install location is Documents>Intuit>QuickBooks>Company File) Click the Client Options tab

9 Set up Link Complete the Client Options setup Click OK Click OK again

10 Set up Link Click on File>Setup>General>User Level

11 Set up Link Click on Links Click on Activate Billing Click OK
Click on Yes to Exit Time Matters

12 Set up Link Open QuickBooks with the company file you want to link to
Open Time Matters Click on File>Setup>General>Program Level

13 Set up Link Click on Links Click on Billing
Click on Set Billing Options

14 Set up Link Click on File Locations tab Click on Test Link

15 Set up Link The QuickBooks – Application Certificate window will open
Select Yes, always Click Continue

16 Set up Link Click Done on Access Confirmation window

17 Set up Link Time Matters will detect the QuickBooks company file and let you know the link is successful

18 Set up Link Click on the Rates tab Complete as necessary

19 Set up Link Click on the Setup tab Complete as necessary

20 Set up Link Click on Matching tab Complete as necessary Click OK
Click OK again

21 Set up Link If necessary, go to File>Setup>General>User Level

22 Set up Link Click on Links Click on Billing
Click on Set Billing Options

23 Set up Link Make any necessary adjustments to the user settings
Click OK to finish setup of link

24 Add customers to QuickBooks
There will be a new labeled field on the contact form

25 Add customers to QuickBooks
Copy the client name to the new customer field Click Save & Close

26 Add customers to QuickBooks
Click Yes to add the contact to the customer list in QuickBooks Verify the information is correct and click OK

27 Add customers to QuickBooks
The first time information is sent to QuickBooks, Time Matters will create a link file Click OK

28 Add customers to QuickBooks
The customer is added to QuickBooks

29 Add jobs to QuickBooks There will be a new labeled field on the contact form

30 Add jobs to QuickBooks Copy the client name to the new customer field
Add a colon Copy the matter name to the new customer field Click Save & Close

31 Add jobs to QuickBooks Click Yes to add the contact to the customer list in QuickBooks Verify the information is correct and click OK

32 Add jobs to QuickBooks The matter is added to QuickBooks

33 Add time to QuickBooks Click the Add a billing item to invoice button to create a billing item and send it to QuickBooks

34 Add time to QuickBooks Make sure Item, SalesRep, and Customer are all correctly filled in to bill to QuickBooks

35 Add expenses to QuickBooks

36 Time Entry Advisor Use Time Entry Advisor to bill any unbilled items in Time Matters

37 Time Entry Advisor Choose how you prefer to send the time entries over and click OK

38 Billing Matters and QuickBooks

39 Tips If QuickBooks codes, vendors, sales reps, etc. are updated, re-initialize the link in Time Matters to see that new information Do as much matching as possible between Time Matters and QuickBooks to save time Make sure to mark records Billable to take advantage of Time Entry Advisor If you don’t have enough QuickBooks licenses for all Time Matters users, consider the QuickBooks server setup:
