17 OPEX Data Entry Form Detail Sections
Current Year Section: This is the section in which the Projection data is stored. It is pre-populated with the year to date actuals and original budget Users can update the data values. Users can expand to view monthly drilldown by clicking on the plus sign (+) next to the Year Total Label. Budget Year Section: This is the section in which the BUDGET data is stored . It is pre-populated based on the original Budget. Users can expand to view monthly drilldown by clicking on the plus sign (+) next to the Year Total Label. Original Budget and Actuals: To use as reference when entering projection and Budget. READ-ONLY. Original Budget shows Year Total Actual shows Year To Date: When new actuals are loaded into Hyperion, this column will update automatically. Forecast years Year Section: Not pre-populated. Users may enter a year Total forecast. Can’t Expand

18 OPEX Data Entry Form Summary Section
Total revenue, expenses and appropriations for all types (on-going and one-time) are summarized in the last lines of the form. A_3000: The total of revenue and expense for the type (On-Going, One-Time or All Type) selected in the point of view. Note that this total could be different than the Deficit or (Surplus) – All Types if the point of view has selected only On-Going or One-Time. Total Revenue – All Types: The total of all on-going and one-time revenue. Total Expenses – All Types: The total of all on-going and one-time expenses. Deficit or (Surplus) – All Types: The net of all on-going and one-time revenue and expenses. Opening Appropriations - All Types: Actual and Current Year Projection: Actual Current Year opening appropriations Budget: Ending appropriations forecast in the Current Year Projection PS Adjustments – All Types: Actual year-to-date journal entries to appropriation accounts in PeopleSoft GL Closing Appropriations – All Types: Total of Deficit/(Surplus), Opening Appropriations, and PS Adjustments In the 5 mo Review we know the starting point. The 5 month review opening appropriations will be the actual carry forward from FY14.

19 Hyperion Form Point of View
The Point of View (POV) is the criteria or filter of the data we want to see on the form. The different dropdowns are: Department: Lists the departments you are entitled to. Program: Lists all the available Programs. Type of Expenditure: One-Time or On-Going. Version: Lists what version you are working on: Working, or any of the What-If versions. Fund: READ ONLY indicates the fund. Please note that there are different forms for each fund. Hyperion only has the data associated to Operating fund (20), Ancillaries Fund (30) an Specially Funded (45). After entering the POV, we need to click on the REFRESH button to let Hyperion know that it can now search for the data relevant to our criteria and display it on the form.

20 No Valid Rows? No Worries.
First time opening a form in Hyperion may result in no valid rows warning. This indicates there is no data for the default Point of View (criteria). In the next slides we’ll learn how to set the Point of View to retrieve the data we need.

21 Change the POV of the OPEX data Entry form – remember to click REFRESH
Practice TIP To avoid browsing through the long PROGRAM dropdown lists: Select the text in the dropdown box (you will know it’s selected when the background color becomes blue) Type P_ followed by the program number you need. I.E. P_30000 The list will narrow down to the program you need. Either select the program in the list using the mouse, or use the TAB key on your keyboard.

Practice TIP You can enter data under YearTotal and the system will fill out the monthly values proportionally. Enter multiple values at monthly and year levels and then click Submit. If you forget to click SUBMIT and decide to change the POV, Hyperion will give a warning that the data will be lost if you decide to continue.

24 When are cells Locked (Grayed out)?
Represents a calculation: Appropriations High level Accounts is the SUM of all the lower level values. Salary and Benefits are calculated in Labour module, so these accounts are grayed out in the OPEX forms. Represents Actuals or Previous Budget Point of View is set to a High level Department or Program Form has been submitted for Approval

25 The Account I need is not displayed in the Form –
UNSUPPRESS ACCOUNT FUNCTION When to use? The OPEX Data Entry form suppresses (hides) Accounts that have NO data. If the pre-populated form doesn’t show a specific account, that means that there was no Original Budget and no actuals for that account. If we need to add a forecast to an account that does NOT show in the pre-populated form, we can UN-SUPPRESS a specific account using this function.

26 Un-Suppress Account How?
Right-click on any cell in the smart view form, and select the Smart View option to Open the SmartView Menu. Select the Un-Suppress Accounts option from the SmartView menu. The pop-up opens. Then select the account to un-suppress and the scenario.

28 Copy Monthly values using Function
When to use? Copy specific monthly values for one or multiple months from one scenario to another. I.E. Copy July Actual into July Working Copy forecast monthly values for one or multiple months from one year to another. What is copied? The monthly values are copied over and the Year total is re-calculated to add up to the sum of the monthly values. Also mention you can copy paste using EXCEL actuals into your forecast months…..

When to use? Copy year total from one program to another. Copy forecasts from one year to another. Copy the Original Budget into 8 Month Review scenario. What is copied? The year total is copied over and then spread amongst the open months keeping the proportion of previous monthly values.

33 Adding Comments to a Cell
When to use? Comments can be used as a communication mechanism between team members Comments can be entered when we need to adjust the budget. Comments are a useful tool to keep track of transfers. You can specify the department/program where the transfer is either coming from or going to.

36 TIPS Add Cell Comments Practice
Cells with comments are outlined in blue as a visual cue. Add and save a cell comment, then open the comment box for the same cell, each commentary is linked to date and time the comment was entered as well as the user id of the person that entered the comment.

37 Adding Supporting Details
When to use? Supporting details add an extra breakdown of the data. Supporting details can be used to show how a specific number is derived. Supporting Details are useful when entering Recoveries and Transfers

43 Putting it all together
You open the OPEX Data Entry form and the system displays no valid rows… What do you do? Change Point of View to a valid department program and type. You need to enter a budget for a brand new department that has no actuals and no previous budget. What will Hyperion display when you set the form to that department? No Valid Rows How can you start entering the budget? Option 1. Unsuppress the required accounts, then enter values Option 2. Use the Copy year function to copy the existing budget from a similar department/program to your new department/program – then update the data

44 Putting it all together
It’s the beginning of the budget cycle and there is only one month of actuals, how to get a better sense of a monthly forecast? Try copying previous year’s monthly actuals into forecast, then apply adjustment as necessary. You open the OPEX data entry forma and all cells are grayed out… what is the first thing to check? Ensure POV is at lowest level of hierarchy

SALARY Based on the Master data and the Assumptions, Hyperion calculates the total Salary forecast per month per employee for the current year’s open months. FTE Based on the Standard Hours from the Master Data and the Current Actual Hours, Hyperion calculates the FTE forecasts for the current year’s open months. Practice TIPS By Entering an End Date prior to the beginning of the current fiscal year, you will CLEAR OUT the forecast for that employee. By entering an end date beyond four years the forecast will recalculate for all 4 years. Multiple employees can be updated at once.

From 04.3 OVERRIDE ACCOUNT form Enter an end date value in the END_DATE_OVERRIDE column for the employee(s) that requires an override – This may be a date out in the future, or the same original end-date. 65 Adjusting Hourly Rate to Existing Employee
If Necessary, planners can adjust the base hourly rate to an employee within their department. The adjusted rate will be ADDED to the hourly rate loaded from HR. Negative adjustments are valid. 66 Adding or Adjusting Stipend to Existing Employee
Planners can also assign a Stipend to an employee within their department. The Stipend may have a specific start and end dates within the forecast period. If no end data is specified, the application will add the stipend up to the end of the forecast period. If no Start date is specified, the application will add the stipend from the first open month of the forecast period. Navigation: Hyprdp01>McM_Plan>Forms>2.Labour>04.1 EXISTING EMPLOYEES - INPUT 3. 67 Copying Employee Data Planners may need to Copy the data related to an existing employee into a different Department, Program or Type. An example is the need to add “One-Time” stipend to an existing Employee. In this case, planners can copy all the master data for said employee into the “One-Time” type and then enter the stipend using the Existing Employees Input form. From the EXISTING EMPLOYEES- INPUT Form. Select POV. Right Click on editable cell of the employee to be removed to open Menu Select SmartView option. Select Copy Existing Employee. Select the TARGET where the data shall be copied (in the example above, select “One- Time” Type. Click OK.

68 Copying Employee Data Contd…
After the copy function completes, Planners may make changes to the employee. Following the example, In order to add the stipend, the first step is to change the POV to type “One-Time”. The employee now shows up and planners may enter stipend, start and end date.

69 Adding New Employees Planners can forecast for new employees in their departments. Planners can “group” multiple new employees into one New employee for budgeting purposes . There are placeholders for interim, T.A’s and sessional positions for this purpose Navigation: Hyprdp01>McM_Plan>Forms>2.Labour>02. NEW EMPLOYEE - INPUT 3. SUBMIT data 1. Enter Point Of View 2. What you KNOW: Annual Budget I.E. $50,000 YTD Actual Salary (This can be obtained from the Labour Summary by Account report) I.E. $5,000 YTD Actual hours I.E. 50 238 hours per 3 Units and how many total units they are to teach Remaining weeks in the year (This can be obtained from the Number of pay periods per month form under the Assumption) I.E Calculate: Total hours in the year = total units * 238 / 3 Current Standard Hours per week = Total Hours in year – YTD Actual hours ) / Remaining Weeks in the year (500 – 50) / = 14.93 Hourly Rate = (Annual Budget – YTD Actual Salary) / (Annual Deemed hours – YTD Actual hours ) ($50,000 - $5,000) / (500 – 50) = $100 Enter in the New Employee form:

73 Adding New Employees to Represent a group of Temp - Casual
What Planners KNOW: Annual Budget I.E. $50,000 YTD Actual Salary I.E. $6,000 Remaining weeks in the year (This can be obtained from the Number of pay periods per month form under the Assumption) I.E Current Standard Hours. In this case it should be the Total hours per week for all the Temp/Casuals I.E. 140 Calculate: Hourly Rate = (Annual Budget – YTD Actual Salary) / (Current Standard hours * Remaining weeks in year ) ($50,000 - $6,000) / (140 * ) = 10.43 Enter in the New Employee form:

74 Removing New Employee Function
Right-click on cell next to the NEW EMPLOYEE you wish to delete in the NEW EMPLOYEES - INPUT form. Select the Smart View option to Open the SmartView Menu. Select the Remove New Employee option from the SmartView menu. The pop-up opens. The criteria defaults to the POV and the New Employee selected when the function was called. You can add more NEW EMPLOYEES to be removed by clicking on the magnifying glass and selecting additional NEW Employees from the list.

75 Adjusting Labour Hours in the Labour Hours Input Form
This form allows entering the current standard hours per employee. By updating the hours, the system will recalculate the salary, benefits and FTE accordingly. From the Labour Hours Input Form Select POV. Refresh Enter the amount of hours per period in the editable cells. Note that the FISCAL YEAR is at the POV, you can change the hours for every open fiscal year by selecting the appropriate year in the POV, and refreshing the form. 76 Monthly Forecast by Employee – LABOUR HOURS REPORT
This report displays the hourly wage per month, monthly salary, monthly benefits, monthly FTE and monthly total compensation per employee. After changing monthly hours, this report can be used to see the impacts of the change. The hourly wage per month section can be used to see if and when employees received their merit increase. 77 Entering Over Time Hours for any Employee
Planners have the option to forecast for overtime at an employee level. From the Labour Overtime Hours Input form Select the POV and refresh. Enter the forecast for overtime hours. Submit Navigation: Hyprdp01>McM_Plan>2.LABOUR>2.2 PLANNERS>06.LABOUR OVERTIME HOURS INPUT

78 Entering Hedge at an Account Level

79 Un-Suppress Labour Account for Hedge
Planners may un-suppress an account in order to enter a hedge adjustment. Start in the Hedge Salaries Input form. Right Click on any editable cell to open Menu Select SmartView option Select Un-Suppress Labour Account for Hedge. Select Account to Un-suppress from the list. 80 How Does Workflow work? After Planners are done with their changes, they submit the Projection and Budget to the Envelope Manager for approval. Envelope managers have the option to approve and submit to Budgeting Services. Or reject changes and send back to the planner for modifications.

81 How to Submit for Approval
On the Planning menu, click on Approvals Select a view from the drop down menu and click Refresh Highlight a Planning Unit to promote where you are the Current Owner, and click on Change Status. In Approvals window, select Action from the drop down box, and Submit Refresh the screen to view the current owner (you may need to use Tree View).
